PR software covers three jobs that vendors sell separately or bundled: sending press releases and pitches, keeping a journalist database, and tracking coverage once it runs.
Prices range from a published monthly plan to a sales quote, and monitoring scope is where invoices grow. This guide ranks twelve products on first-90-day effort, real price, exit, independence and fit.
Vendors can pay for visibility on this page. It never changes what an entry
says about a product, including the criticism, and we earn nothing when you click through to a
vendor. How that works.
In short
What PR and media monitoring software does
PR and media monitoring software helps communications teams distribute news, manage journalist contacts and pitches, and track coverage across online news, social media, print and broadcast, then report what that coverage achieved.
In this order: setup effort, what it really costs, how your data comes back out, whether
you can leave, and who each PR and media monitoring tool is built for. One rule sits on top of those tests:
Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Why those five, and why there is no
score out of ten, is on the how we work page.
Large PR departments needing monitoring, outreach and wire distribution from one supplier.
Small teams that need a short setup and published prices.
Country is where the vendor is headquartered or contracts from, which is a
different question from where your data is hosted. Where the two tell different stories, the
entry says so.
Belgian PR platform joining newsrooms, media lists and pitching, with listed plans
Ranked #1 of 12 in Best PR and Media Monitoring Software in 2026.
Published pricingEurope
Prezly puts the newsroom, media lists, email pitches and coverage analytics in one subscription, and its migration page says contacts, stories and campaigns are moved from your old tool without extra fees.
The trial runs 14 days with no card. Standard adds white-label sites, localisation and sending from your own domain, while single sign-on and an uptime agreement belong to the quoted Enterprise tier.

Essential is capped at one user, one site and 5,000 contacts, so a second colleague forces the jump to Standard.
The monitoring feature page lists no print or broadcast sources, so offline coverage may need another tool.

Wrong for
Teams needing broadcast monitoring or enterprise single sign-on at entry level.

Nordic press release distribution and monitoring with a pay-per-release option
Ranked #2 of 12 in Best PR and Media Monitoring Software in 2026.

Mynewsdesk sells PR distribution and media monitoring as separate products that can be bundled. Distribution includes journalist matching and a company newsroom; monitoring advertises 230,000 sources in 222 countries and brand reports.
The FAQ states that you, not the vendor, answer for the GDPR compliance of contact lists you upload. A monthly GO plan exists for distribution, though its price is not shown.

PR and media monitoring software helps communications teams distribute news, manage journalist contacts and pitches, and track coverage across online news, social media, print and broadcast, then report what that coverage achieved. The differences that matter are rarely in the feature list, so this is
the order we would work through them.
01
Decide whether you need a published price
4 of the 12 tools here publish what they cost; the other 8 quote per organisation. The ones you can compare without a sales call: Prezly, Mynewsdesk, Presspage, Prowly.
02
Decide how much the jurisdiction matters
These 12 vendors are established in 6 countries across 2 regions (North America 6, Europe 6). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.
Decide whether you need outreach, monitoring or both
PR software is sold in two halves that many buyers treat as one. Outreach tools such as Prezly and Presspage give you newsrooms, journalist lists, pitching and release distribution. Monitoring tools such as NewsWhip watch what is published and send nothing. Suites such as Cision and Meltwater sell both and charge for both.
Write down which half causes your current pain before a demo, because a monitoring product will not fix a pitching problem and a newsroom will not catch a crisis on television. Buying a suite for one half means paying for modules that sit unused for the whole contract term.
Do you send more than a few releases a month?
Do you need print or broadcast clips, or only online mentions?
Who pitches journalists, and in which tool?
Price the monitoring scope, not the platform
Monitoring invoices grow with sources, regions and volume. Prowly limits the media database to 250 contacts a month on Base and puts monitoring from Pro, Muck Rack lists print and broadcast monitoring as add-ons beyond its tiers, and Meltwater says its quote depends on regions, data volume, users and onboarding.
Ask for the quote with the exact sources you need, such as television, radio, paywalled print or podcasts, and ask what happens when mentions pass the cap. A cheap entry plan that stops at a limit during a crisis is a worse buy than a flat quote.
Which sources are in the base price?
What happens when you pass the monthly mention or contact cap?
Are print and broadcast included or add-ons?
Read the contract terms before the demo
Contract shape differs more than price in this market. Meltwater states there is no self-serve trial and that most agreements run twelve months or more. Prezly shows yearly-billed plans and a 14-day trial without a card, Mynewsdesk sells a single release without subscription, and Agility PR Solutions says annual billing is standard.
Presspage states a yearly floor for both plans, while Cision and Onclusive publish no prices at all, so the term is negotiated in a sales call. Ask for the term, the renewal notice period and the price at renewal in writing, and who owns the clipping archive if you leave.
What is the minimum term and renewal price?
Can you test with real data before signing?
Is the archive of your clippings exportable?
Test the AI visibility claims
Several vendors now sell AI visibility modules, which track how chatbots describe your brand. Meltwater lists AI visibility tracking, Onclusive an AI brand visibility product, Cision an AI visibility option, Critical Mention AI brand visibility with GEO analytics, and Agility a visibility intelligence solution.
These are new products sold beside core monitoring, and a quote may include them by default. Treat them as an optional line, ask which AI assistants are queried and how often, and request a sample report for your own brand before paying. If the module is not why you are buying, ask for it to be removed from the proposal.
Which assistants and prompts does the module track?
Can it be removed from the quote?
Do you get a sample report on your brand?
What goes wrong most often when buying PR and media monitoring software
Buying a full suite for monitoring and discovering later that outreach and distribution sit in a separate contract.
Comparing published plans with quoted suites without asking the quoted vendor for the same sources, regions and users.
Uploading a journalist list without checking GDPR, since Mynewsdesk states the customer answers for the lists it uploads.
Signing a twelve-month agreement before testing coverage of your own brand, competitors and local-language outlets.
