Best Fixed Asset Management Software in 2026

Fixed asset management software keeps the register of equipment, vehicles and property a company capitalises, then calculates depreciation, handles transfers and disposals and prepares the schedules auditors ask for.

This guide ranks eleven products on setup effort, the bill once update fees are counted, how the register can be exported, and whether you can buy without a partner.

Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.

In short

What fixed asset management software does

Fixed asset management software records each capitalised asset, calculates book and tax depreciation, tracks transfers, disposals and construction in progress, and produces the schedules and journal entries accountants need.

How we ranked these

5 criteria, in order

Our order comes from five tests, taken in turn: effort to set up, what you really pay, what happens to your data on the way out, how locked in you are, and the intended customer. Vendors outside the best-known names fill places 1 to 3 when they exist, and the big brands rank from place 4. The reasoning behind the five tests, and behind having no score out of ten, is set out on the how we work page.

#1 AssetAccountant

Cloud depreciation and lease register that posts journals to Xero or QuickBooks

Ranked #1 of 11 in Best Fixed Asset Management Software in 2026.

Pricing on requestAsia-Pacific

The corporate page lists ISO 27001 certification, IFRS 16 lease accounting and multi-entity support, and says the register scales to tens of thousands of assets. New assets are picked up from the connected ledger, which removes double entry.

Support is described as available around the clock, and free implementation help is listed. The vendor shows no price; a calculator on the site invites visitors to ask about pricing.

What stands out
  • Cloud register
  • Accounting integrations
  • Lease accounting
Where it costs you
  • Pricing is volume-based and shown only after contact, so budgeting needs a call.
  • Its own terms are governed by Australian law with disputes heard in Queensland, which matters to buyers elsewhere.

Wrong for

Buyers who want a price list before speaking to anyone

#2 Fixed Asset Pro

Windows depreciation database with published subscription prices and unlimited assets

Ranked #2 of 11 in Best Fixed Asset Management Software in 2026.

Published pricingNorth America

The product page lists import and export for Excel and CSV, templates for entering common assets, and mass edit for disposals. It tracks construction in progress until an asset enters service, then applies bonus depreciation and Section 179 where relevant.

Renewal is stated as generally lower than the first-year subscription, and the page says no other support contracts exist. Multi-user work happens in a shared database stored in a Windows folder.

What stands out
  • Windows desktop
  • Six sets of books
  • Published prices
Where it costs you
  • The software runs on Windows desktops or remote desktop servers, with no browser version mentioned.
  • Its tax reports target US forms 4562 and 4797, so buyers outside the United States get little from them.
Right for

Small and mid-sized organisations that want one depreciation database at a published price

Wrong for

Teams that need a browser-based register shared across countries

United StatesPublished subscription per single user or per site, with a lower annual renewal

#3 Depreciation Calculator Pro

Single-user tax and book depreciation program from a Californian one-product firm

Ranked #3 of 11 in Best Fixed Asset Management Software in 2026.

Published pricingNorth America

The features page lists MACRS lives from 3 to 39 years, luxury automobile and truck limits, Section 179 reductions and a mid-quarter test. Book depreciation covers 125, 150, 175 and 200 percent declining balance.

Multiple companies are handled, limited by disk space and memory. A demo can be downloaded before buying, and the purchase page offers a 30-day money-back guarantee on the single-user licence.

What stands out
  • Single user
  • Tax and GAAP
  • Yearly update
Where it costs you
  • A licence covers one user and cannot be installed on a network server.
  • Updates for each tax-law year are sold separately, and tax methods cover ACRS and MACRS only.
Right for

Solo accountants and small firms preparing United States depreciation schedules on one computer

Wrong for

Teams sharing one register or filing outside the United States

United StatesPublished one-off licence for one user; paid yearly update; demo download

#4 xAssets

Fixed asset register with a single-user edition and published per-user prices

Ranked #4 of 11 in Best Fixed Asset Management Software in 2026.

Free tierSelf-hostablePublished pricingElsewhere

Professional pricing is by named user, with licence blocks of 2,000 assets; Enterprise starts at two users with blocks of 10,000 assets and can run in the cloud or on-premise.

The pricing page gives worked Express examples for 1 to 50 users. Features listed include asset accounting, depreciation, planned maintenance and contract management. Configuration beyond Express is done by the vendor on the higher editions.

What stands out
  • Cloud or on-premise
  • Per named user
  • Barcoding
Where it costs you
  • Free demonstration instances exclude depreciation, procurement, barcoding and workflow.
  • The site lists offices in the United States and the United Kingdom without naming a head office.
Right for

Wrong for

Buyers who need a vendor with one stated country of registration

#5 ERPNext

Open source ERP whose accounting module holds a fixed asset register

Ranked #5 of 11 in Best Fixed Asset Management Software in 2026.

Free tierOpen sourcePublished pricingAsia-Pacific

For fixed assets, ERPNext sits inside its accounting module rather than standing alone. The documentation covers asset categories, straight line and declining balance depreciation, finance books, capitalisation, sale and scrapping, and the software costs nothing under GPL version 3.

The catch is who does the work. Frappe earns from hosting and enterprise support, and says it does not run implementations, so the setup effort that specialist vendors absorb lands on your side. That makes it a low licence bill with a real labour bill.

What stands out
  • Open source
  • GPL licence
  • Asset module
Where it costs you
  • Frappe provides no implementation services itself, so a finance team must find a partner or set up the asset module alone.
  • The asset module is a feature of the accounting module, so the ledger around it must be set up and run as well.
Right for

A finance team with in-house technical help that wants capitalisation, depreciation and scrapping inside an open ledger it can host itself

Wrong for

An accounts department that wants a vendor to configure the register and hand over audit schedules

IndiaFree and open source to run yourself; Frappe Cloud hosting prices published by usage

#6 Fixed Assets CS

Thomson Reuters depreciation software built for accounting practices and their clients

Ranked #6 of 11 in Best Fixed Asset Management Software in 2026.

Pricing on requestElsewhere

The vendor lists adding, changing, disposing and transferring assets through wizards, imports from spreadsheets for clients not using the program, and custom reports per client.

Integration with accounting software saves manual entry. Two hosted routes are named: Virtual Office CS and a software-as-a-service lease of the CS Professional Suite. The page does not state a country of establishment or any price.

What stands out
  • For accounting firms
  • Unlimited treatments
  • Hosted options
Where it costs you
  • The product page shows no price and routes every enquiry through sales.
  • Cloud access comes through Virtual Office CS or the wider CS Professional Suite as a service.
Right for

Accounting practices that prepare depreciation for many client files inside the CS suite

Wrong for

A single company wanting a self-service register without a firm contract

Not stated by the vendorQuoted per organisation; sold through a sales contact; hosted options available

#7 FOUNDATION

Construction accounting suite whose fixed asset module posts depreciation to the ledger

Ranked #7 of 11 in Best Fixed Asset Management Software in 2026.

Pricing on requestNorth America

The vendor lists purchase, salvage, market and insurance values per asset, manufacturer details and personal property tax valuations. Reports summarise cost and value by category, purchase date and status, and show depreciation history by book type.

A separate equipment module covers heavy machinery by job. Fixed assets are described as a module of one accounting system, so a move means taking data out of the whole suite.

What stands out
  • For contractors
  • Module pricing
  • GAAP and tax books
Where it costs you
  • Pricing is shown only through a contact form and depends on the modules selected.
  • The module is written for contractors, so other industries get features they will not use.
Right for

Contractors who want equipment and long-term asset books inside their construction accounting system

Wrong for

Companies outside construction or wanting a stand-alone register

United StatesQuoted per organisation; priced by the modules you add

#8 Odoo

Accounting app with asset management that creates depreciation journal entries

Ranked #8 of 11 in Best Fixed Asset Management Software in 2026.

Free tierPublished pricingEurope

Odoo treats asset management as one feature of its accounting app: it tracks assets, builds depreciation schedules and posts amortisation journal entries automatically. Published per-user prices and a free one-app plan make a first cost estimate easy, which is rare in this list.

The open question sits in the fine print, because the pages checked do not name the plan or edition that includes the asset function. Ask for that in writing, since a core licensed under LGPL version 3 does not settle what the paid tiers contain.

What stands out
  • LGPL core
  • Per user pricing
  • Asset schedules
Where it costs you
  • The features page does not say which plan carries asset management, so the right tier has to be confirmed before you commit.
  • Hosting on Odoo.sh for custom developments is not included in the published plans.
Right for

A company already running Odoo accounting that wants depreciation schedules and automatic amortisation entries without adding a separate register

Wrong for

A buyer who needs written proof of the asset function in a named edition before signing

BelgiumFree one-app plan; per-user monthly plans published; trial offered

#9 Asset Panda

Dallas-based asset tracking platform with a fixed asset management solution page

Ranked #9 of 11 in Best Fixed Asset Management Software in 2026.

Pricing on requestNorth America

Asset Panda comes from the tracking side of the market. Barcode labels and mobile audits are its core, and the fixed asset solution it lists is aimed at keeping accurate records for finance and audits.

Its claim of more than 10,000 organisations served since 2012 points to a mature product for counting things. For a buyer of fixed asset software the gap matters: nothing fetched describes depreciation, so ask for a demonstration of that run before treating it as a register.

What stands out
  • Barcode scanning
  • Mobile audits
  • Public sector
Where it costs you
  • The pages checked do not mention depreciation calculation, so a general ledger depreciation run may need another system.
  • Prices sit behind a quote form, so the bill cannot be compared with other registers in advance.
Right for

An organisation that first needs labelled assets counted by phone and wants a fixed asset record for auditors on top

Wrong for

A finance team whose main job is monthly book and tax depreciation with journals posted to the ledger

United StatesQuoted per organisation; demo offered

#10 Intuit Fixed Asset Manager

Desktop depreciation tool for tax professionals, sold alone or with ProSeries

Ranked #10 of 11 in Best Fixed Asset Management Software in 2026.

Published pricingElsewhere

The listing says the product is included in PowerTax Library and PowerTax Lite, and available stand-alone or for ProSeries Tax professionals only. Depreciation flows automatically into the client file and the tax file.

The page footer names Intuit Inc. without giving a country of establishment, so no country is stated here. The fetched page describes no cloud register and no trial, so ask the vendor how data leaves the program.

What stands out
  • Tax professionals
  • ProSeries link
  • Stand-alone
Where it costs you
  • The page frames the product around tax professionals and their clients' returns.
  • It is sold as software to download, with no cloud register described on the page.
Right for

Tax practices that already prepare client returns in Intuit ProSeries software

Wrong for

Companies seeking a ledger-linked register for their own books

Not stated by the vendorPublished one-off price for the stand-alone software

#11 Acumatica

Cloud ERP fixed asset module with separate tax and reporting depreciation books

Ranked #11 of 11 in Best Fixed Asset Management Software in 2026.

Pricing on requestNorth America

Acumatica offers one of the fuller asset feature lists in this guide: acquisitions, additions, transfers, splits, adjustments and disposal, plus assets under construction and leased or rented property.

Multiple depreciation books let financial, tax and reporting figures differ cleanly. Users are unlimited, so adding approvers does not raise the licence. What you buy, though, is the surrounding ERP, which makes this a company-wide project and not a quick register replacement.

What stands out
  • Cloud ERP
  • Multiple books
  • Unlimited users
Where it costs you
  • The fixed assets module is only available as part of the ERP, so a register-only buyer pays for a platform decision.
  • The pricing page shows no amounts, and the cost depends on applications, business usage and resources.
Right for

A mid-sized finance team that already needs cloud ERP and wants separate financial, tax and reporting depreciation books within it

Wrong for

A small team that only wants a standalone register running within a week

United StatesQuoted per organisation; priced by applications and resources, not per user

How to choose fixed asset management software

Fixed asset management software records each capitalised asset, calculates book and tax depreciation, tracks transfers, disposals and construction in progress, and produces the schedules and journal entries accountants need. A feature table will not settle this choice. These steps will.

  1. 01

    Start with pricing transparency

5 vendors on this page sell by quote, while 6 publish a pricing model you can read today: Fixed Asset Pro, Depreciation Calculator Pro, xAssets, ERPNext, Odoo, Intuit Fixed Asset Manager.

  2. 02

Decide how much the jurisdiction matters

Where a company is established decides which courts and regulators can reach it. Here that means 5 countries: North America 5, Elsewhere 3, Asia-Pacific 2, Europe 1.

  3. 03

    Check the open source options

Source code is available for ERPNext. Running it yourself swaps the licence fee for your own upkeep.

How do you choose fixed asset management software for tax and book depreciation?

Fixed asset management software is chosen first by the books it keeps. Fixed Asset Pro lists 68 methods across six books, and Depreciation Calculator Pro splits federal tax, state tax and GAAP reports. Acumatica keeps separate financial, tax and reporting books inside its ERP ledger, and Fixed Assets CS advertises unlimited treatments.

Decide how many bases you report on, such as US tax, IFRS and a management view, before you compare screens. Then test a real asset with a short life, a disposal and a mid-year purchase. Ask each vendor to show the same asset in every book, and confirm that tax rules update when the law changes. Depreciation Calculator Pro states annual updates, and the update is sold separately from the licence.

  • List every reporting basis you must keep
  • Test one purchase, one disposal and one transfer in each book
  • Ask how tax-law changes reach the software and who pays for them

Should fixed asset management software sit inside the ledger or beside it?

The ledger decision shapes the project. Acumatica, Odoo, ERPNext and FOUNDATION keep assets inside a larger accounting system, so asset records and the ledger share one system. That helps a company already on that system and forces a rollout on one that is not. AssetAccountant takes the other route, detecting new assets from Xero, QuickBooks, Sage Intacct or Dynamics 365 and producing journals back.

Fixed Asset Pro and Depreciation Calculator Pro sit outside the ledger, so their output has to be carried across. Ask which side owns the register when the two disagree. Choosing a module inside an ERP also means leaving it when the ERP changes, so check that the register can be exported on its own.

  • Decide whether the ledger or the register is the system of record
  • Ask how journals reach the ledger and how disposals reverse
  • Export the full register to a file during the trial

What does fixed asset management software really cost for one company?

Price models in this market are far apart. Fixed Asset Pro and Intuit Fixed Asset Manager publish a price for installed software, and Depreciation Calculator Pro adds a paid annual update. Odoo charges per user per month beyond its one-app plan, xAssets prices Express by user with licence blocks of assets, and ERPNext charges nothing for the software and bills hosting by usage on Frappe Cloud.

AssetAccountant, Acumatica, FOUNDATION and Asset Panda give prices only after contact. Put the first ninety days in hours, not licences: data cleanup, migration and training take staff time that no price list shows. Ask each quoted vendor for a written price covering your asset count, entities and users.

  • Count assets, entities and users before asking for a quote
  • Add yearly update or renewal fees to the first-year price
  • Estimate hours for cleaning the opening register

Is a fixed asset register the same as asset tracking software?

A register for accounting and a tracker for physical items answer different questions, and mixing them is the commonest error in this category. Asset Panda is built around scanning and audits, and its fetched pages do not mention depreciation calculation. xAssets tells buyers that its free demonstration instances omit depreciation, while its Express listing includes asset accounting and depreciation.

Fixed Assets CS and the two stand-alone depreciation programs start from depreciation instead and say less about locating items. Write down whether auditors need a physical count, tax-book schedules, or both. If you need both, check that scanning and depreciation sit in one product or that two products can share a file.

  • Separate the physical count need from the depreciation need
  • Ask whether depreciation is in the edition you are pricing
  • Run a sample audit with scanned assets in the trial

What goes wrong most often when buying fixed asset management software

  • Buying an asset tracker such as Asset Panda for tax depreciation without confirming that it computes depreciation.
  • Pricing only the licence of Odoo, ERPNext or Acumatica and forgetting the ERP rollout around the asset module.
  • Choosing single-user software like Depreciation Calculator Pro for a team that must share one register.
  • Skipping a full export test, so the register cannot leave later, whether it sits in Fixed Assets CS, FOUNDATION or an ERP.
