Equipment rental software takes a reservation, checks that the gear is free on the dates asked, sends it out, brings it back and bills the customer.
This guide ranks eleven products on first-ninety-day setup, the bill once seats, locations and add-ons are counted, data exit, vendor independence and which kind of rental business each suits.
Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.
In short
What equipment rental software does
Equipment rental software tracks which items are free on which dates, produces quotes, contracts and invoices for rentals, and records pick-ups, returns and maintenance for tools, machines and event gear.
The ranking follows five checks. Setup effort comes first, then real cost, then the route for getting data out, then lock-in, then the intended buyer. One rule sits on top of those tests: places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. We explain on how we work why the tests are these five and why no product receives a score.
London-built hire software with a one-user starter plan and per-seat pricing
Ranked #1 of 11 in Best Equipment Rental Software in 2026.
Free tierPublished pricingEurope
The pricing page shows three tiers. Starter is free for one user. Professional starts with a seat price for user one, then discounts each further seat; billing is in GBP and the dollar figure is only an approximation.
Hosting, updates and backups on Amazon AWS are included in the seat price, and the FAQ says no storage fee grows with inventory. Customers import inventory, clients and suppliers through CSV templates. Enterprise is priced on application.
What stands out
Starter plan
Per user pricing
No setup fee
Where it costs you
Starter is capped at one user and basic stock control, so any team of two or more pays from day one.
Sandbox accounts, migration support and CDC data replication are listed only on the quoted Enterprise tier.
Right for
Small and mid-sized hire shops wanting a low entry price and seat-based billing
Wrong for
Large groups needing replicated data or sandbox testing without a quote
United KingdomFree plan for one user; Professional per user per month, prices published; Enterprise quoted on request

Where it costs you
Barcode scanning is a paid add-on per user, and extra locations are billed per location per month.
Advanced pricing rules and advanced coupon rules are not in the lowest plan, which matters for seasonal or weekend rates.

Peppol e-invoicing runs through a paid Billit integration, listed for Belgium, Luxembourg and the Netherlands only.

What stands out
Unlimited users
Event production
RFID add-on
Where it costs you
Each added location, RFID scanning, QuickBooks sync and a beta test site are separate monthly add-ons.
The price floor is stated for one plan, so smaller shops with a handful of items face the same entry cost.

Where it costs you
QuickBooks integration, sub-renting and work orders need Premium, and GPS and telematics links need the quoted Enterprise tier.
Both published plans are billed annually, so a monthly exit is not on the pricing page.

Equipment rental software tracks which items are free on which dates, produces quotes, contracts and invoices for rentals, and records pick-ups, returns and maintenance for tools, machines and event gear. Feature lists look alike, so we would settle these points one at a time instead.
01
Check who publishes a price
The split is 9 published against 2 quoted. If you want to compare numbers first, start with HireHop, Booqable, Rentman, Flex Rental Solutions, EZRentOut, RentMy, Quipli, Current RMS, Goodshuffle Pro.
02
Weigh the vendor's home jurisdiction
2 regions are represented (North America 7, Europe 4). A vendor outside your own legal area is not a problem as such, but it changes who can compel it to hand over data.
Equipment rental software: what you are billed for
Rental products charge for different things, and the unit decides the bill. HireHop, Current RMS and Goodshuffle Pro charge per user, and Rentman bills each module by Power User. Quipli sells a yearly fee for each location, with staff numbers unlimited. Flex Rental Solutions lists a base price with no seat charges and bills added locations on top.
EZRentOut and RentMy sell flat tiers, and Point of Rental and RentalResult quote only after contact. A ten-person office with one yard fares well under flat or per-location pricing, while a one-person shop can start on HireHop's free single-user plan. Count office users, warehouse staff and yards before comparing, and ask whether read-only or limited seats cost less: Goodshuffle Pro prices limited users below full users.
Write down seats, yards and warehouse staff before opening any price page
Ask which features sit behind the second tier
Convert annual per-location prices to a monthly figure
Availability, sub-renting and downtime rules
A rental system earns its fee at the moment it refuses a double booking. Booqable offers downtime scheduling for repairs, buffer periods and temporary sub-rental stock. EZRentOut puts sub-renting in Premium, not Growth. Goodshuffle Pro offers pools of interchangeable items and automatic set-asides as an advanced inventory add-on, and Rentman schedules gear against project time.
Ask each vendor what happens when you accept an order beyond stock. Booqable lists allowing shortages as a setting, so ask whether a vendor blocks or permits overbooking. Test one tricky order, such as a three-day booking spanning a service interval, during the trial, and watch whether the calendar, the pull sheet and the invoice all agree afterwards. Disagreement between those three screens is the earliest sign of trouble.
Create an order that overlaps a service period
Check whether overbooking can be allowed or blocked
See whether sub-rented stock changes availability automatically
Event gear or yard machinery: pick the right origin
Origin shapes the product. Rentman, Flex Rental Solutions, Current RMS and Goodshuffle Pro grew from event, production and AV work, so crew planning, pull sheets and quoting are central. EZRentOut, Quipli, Point of Rental and RentalResult grew from yard and fleet work, with work orders, dispatch, telematics or ERP links. RentMy and Booqable serve smaller shops that take bookings online.
A concert supplier gains little from GPS connectors, and a construction yard gains little from call sheets. Match the first screen you see in the demo to the job your staff do each morning. Point of Rental and RentalResult also serve dealerships and medical fleets, which widens their scope but not necessarily your fit. Ask for a reference customer whose fleet looks like yours.
Ask for a demo using your own category of equipment
Check whether crew scheduling or work orders are included
Confirm the vendor already serves customers like yours
Barcodes, payments and accounting add-ons
Add-ons turn a cheap plan into an expensive one. Booqable charges for barcode scanning per user, and Flex Rental Solutions charges separately for RFID and for the QuickBooks link. Goodshuffle Pro prices website integration and QuickBooks Online as monthly extras, and Rentman sells quoting, invoicing and payments as add-ons. RentMy settles card payments through Fortis Payments by default. Quipli lists QuickBooks sync and payments inside Core.
List the scanners, card readers and accounting link you need, then add each one to the vendor's base price. Quipli bundles QuickBooks sync, Stripe and GPS tracking into Core, which makes its yearly fee easier to forecast than a cheap plan with five extras. Goodshuffle Pro also sells card readers as a one-off purchase. Compare totals only after every extra you would use is on the same line.
List the add-ons your counter and warehouse actually need
Ask which payment processor is required
Check whether the accounting link is included or extra
What goes wrong most often when buying equipment rental software
Comparing Rentman's module price with Quipli's per-location price without adding add-ons and counting users.
Choosing a booking-site tool such as Booqable or RentMy for a yard that needs work orders, then adding a second system.
Assuming a quoted price from Point of Rental or RentalResult will match a published plan once seats and locations are added.
Skipping the sub-rental test, so the first double booking appears with a real customer and not in the trial.
