Best Desk Booking Software in 2026

Desk booking software lets employees reserve a desk, room or parking space before arriving and shows facilities teams which spaces go unused.

This guide ranks twelve products on setup effort, the bill once add-ons are counted, how booking data can leave, and whether you can buy and cancel without a long contract.

We accept payment from some vendors for visibility. Entries are not for sale: the criticism stays, and clicks to vendors are not monetised. How that works.

In short

What desk booking software does

Desk booking software lets staff reserve shared desks, rooms and parking in advance, check in on arrival and release unused bookings, while administrators get booking rules and occupancy reports.

How we ranked these

5 criteria, in order

We ranked the 12 desk booking tools on setup effort first, then total cost, then data export, then exit, then fit for the buyer. On top of them sits one rule. The top three places are for challengers, which means vendors outside the big names, where the category has any, and the household brands come in from fourth place. We explain on how we work why the tests are these five and why no product receives a score.

#1 Clearooms

Rolling monthly desk booking from an English company, tiered by desk count

Ranked #1 of 12 in Best Desk Booking Software in 2026.

Published pricingEurope

The pricing page shows a worked example: 48 desks fall in the 20-49 band, six rooms in the 1-19 band, and twelve parking spaces in their own band, billed monthly or at ten percent less when paid annually.

Terms are rolling, with no set-up or cancellation fee. Clearooms Limited is registered in England and Wales. A floor plan creation service returns drafts within 48 hours. Expect to check analytics depth in a demo.

What stands out
  • Rolling monthly
  • Tiered by desks
  • Parking module
Where it costs you
  • The pages read show no sensor analytics or scenario planning, so facilities teams wanting those need another product.
  • Prices are per desk band, so crossing a band boundary raises the bill in steps.

Wrong for

Large estates needing sensors, space planning and a custom contract

United KingdomPublished monthly prices by desk band, 10% off annual billing; no minimum term; trial offered

#2 Flexopus

Stuttgart booking platform priced per bookable resource with unlimited users

Ranked #2 of 12 in Best Desk Booking Software in 2026.

Published pricingEurope

Flexopus GmbH, entered in the Stuttgart commercial register, lists Starter and Business per resource per month, with a platform fee of one hundred euros a year on annual billing. The Starter tier already carries Teams, mobile apps, parking and room booking.

Business adds single sign-on, group management, check-in and statistics. A 30-day demo plan with pre-configured data needs no credit card. Interface languages number more than ten.

What stands out
  • Per resource
  • SAML on Business
  • Teams app
Where it costs you
  • Premium SVG floor plans cost extra per fifty resources, and a custom domain, custom SMTP and HR link are paid monthly modules.
  • Monthly payers add a one-off setup fee and a monthly platform fee, so cheap per-resource rates look lower than the real bill.
Right for

German-speaking and European offices with many staff sharing few desks

Wrong for

Buyers needing one quote covering sensors and visitor hardware

#3 Officely

Desk booking that lives inside Slack and Microsoft Teams

Ranked #3 of 12 in Best Desk Booking Software in 2026.

Free tierPublished pricingEurope

Officely is a trading name of Hotelflex Limited in England. The pricing page offers a plan for up to five users, then Basic for simple desk booking and Premium with the full feature set, both priced per user per month in several currencies.

Compliance tracking compares logged attendance with policy inside Slack and Teams. A separate parking product, Parkly, and a meeting-room product sit beside it.

What stands out
  • Slack and Teams
  • Per user pricing
  • Parking add-on
Where it costs you
  • Pricing counts every user, so an office with many more staff than desks pays for accounts that rarely book.
  • The terms of service on the site were last updated in October 2023 and name subprocessors, which a privacy team should read.
Right for

Teams already working in Slack or Teams who want booking inside chat

Wrong for

Sites needing floor-plan planning, sensors or a large visitor suite

United KingdomFree plan for up to five users; paid tiers per user per month, prices published; Enterprise quoted

#4 Joan

Room and desk booking sold by plan, tied to displays and badges

Ranked #4 of 12 in Best Desk Booking Software in 2026.

Published pricingEurope

The Joan pricing page begins at forty-nine euros a month for a Team plan with twenty users and two devices, rising through Business, Organization and Enterprise+. Added users cost ninety-nine cents a month and added devices just under ten euros.

Staff booking rooms through Outlook or Google Calendar do not count as users. The seller, Visionect d.o.o., names Slovenia's information commissioner as its regulator. A 30-day trial is offered.

What stands out
  • Plan by size
  • E-paper devices
  • Visitor module
Where it costs you
  • Extra users and devices carry monthly fees, and e-paper badge licences are yearly on top of the plan.
  • Desk booking is one of several modules, so the page gives no desk-only price.

#5 Archie

Per-desk booking with a 14-day test environment after demo

Ranked #5 of 12 in Best Desk Booking Software in 2026.

Published pricingNorth America

Archie's terms define it as 9338-9666 Québec inc., operating under that name. Starter lists one location, QR check-in, seat assignment and occupancy analytics. Pro adds multiple locations, Teams, Outlook and Slack booking, SSO, SCIM and groups.

Enterprise adds a tailored legal framework, custom data residency and migration support. After the demo a 14-day test environment opens. The site says billing is per desk or room.

What stands out
  • Per desk
  • Test environment
  • SCIM on Pro
Where it costs you
  • Access to the product follows a demo, so there is no self-serve sign-up.
  • The terms set an initial term of at least twelve months, so the cheaper Starter plan still commits a buyer.

#6 deskbird

Swiss desk booking priced per active user from 25 users

Ranked #6 of 12 in Best Desk Booking Software in 2026.

Published pricingEurope

A Swiss product focused on booking and attendance, with Teams and Slack integrations that make employees use it. Getting started takes days, and the Business price is published, so no negotiation is needed; Professional and Enterprise are quoted.

Do not mistake it for facility management. Beyond workplace ticketing on Professional, there is no work-order engine, contractor record, compliance register or lease handling, so buildings that need those still need a CAFM next to it.

What stands out
  • Active-user billing
  • Hybrid scheduling
  • Add-on SAML
Where it costs you
  • No maintenance, contract or lease records at all.
  • Cost follows headcount rather than the size of the office.

#7 Skedda

Space booking priced per space, with unlimited users and bookings

Ranked #7 of 12 in Best Desk Booking Software in 2026.

Published pricingNorth America

Skedda's pricing page runs two ladders: Plus and Premier for the United States and Canada, and Starter, Plus and Premier for EMEA and APAC, each billed annually per space with a bundle of spaces included.

Users and bookings are unlimited. Terms name Skedda, Inc., a Delaware corporation, while the about page says the company began in Melbourne. A SOC 2 Type 2 audit is stated, and SAML 2.0 SSO is documented.

What stands out
  • Per space
  • SOC 2 Type 2
  • Wi-Fi occupancy
Where it costs you
  • Plans cap rules, floor plans and booking history at the lower tiers, so heavy rule users move up quickly.
  • Extra administrators are a paid monthly add-on beyond the included set.

#8 Matrix Booking

London vendor with one annual subscription priced per resource

Ranked #8 of 12 in Best Desk Booking Software in 2026.

Pricing on requestEurope

Built for shared public buildings: several organisations in one site, parking you can reserve, equipment loans and charges that cross departments, purchased through a framework route that shortens procurement.

That is a narrow strength but a real one. Maintenance, compliance and contracts must be handled in another system, and outside the public sector a buyer will struggle to find comparable references.

What stands out
  • Annual subscription
  • Per resource
  • Public sector
Where it costs you
  • Booking, visitors and occupancy only, with no maintenance or property records.
  • Few references or customers outside the UK.
Right for

British public bodies sharing rooms, desks and resources between departments

Wrong for

Private firms that cannot use UK public-sector framework routes

United KingdomPer resource on a single annual subscription, quoted per organisation; trial available

#9 Smartway2

Desk and room booking sold as part of the HubStar group

Ranked #9 of 12 in Best Desk Booking Software in 2026.

Pricing on requestEurope

The Smartway2 site lists desk, room, parking and locker booking, Outlook and mobile experiences, and visitor management, with a link to HubStar products.

What stands out
  • Outlook integration
  • Enterprise contract
  • HubStar group
Where it costs you
  • No price appears on the pages read, so cost can only be learned through a sales conversation.
  • The licence agreement renews for one-year periods and lets fees rise yearly, with 90 days' notice needed to stop.
Right for

Outlook-centred offices comfortable negotiating a contract with a London vendor

Wrong for

Buyers wanting a published price or a monthly rolling plan

#10 Mapiq

Dutch workplace platform aimed at sites with 250 or more staff

Ranked #10 of 12 in Best Desk Booking Software in 2026.

Pricing on requestEurope

Mapiq's pricing page lists modules in five groups: resource booking, workplace analytics, space planning, employee experience and operations, plus data connections such as occupancy sensors and Wi-Fi networks. It names no prices.

Mapiq B.V. publishes Dutch-law terms, with disputes heard in The Hague or the Netherlands Commercial Court. Both self-service and full implementation support are offered. The page claims setup is done once with little IT effort.

  • Space planning
  • 250+ staff per site
Where it costs you
  • The site says the platform targets 250 or more employees per location, which excludes small offices.
  • Terms make subscriptions non-cancellable within the agreed term, with renewals unless notice is given 45 days ahead.

#11 Envoy

Visitor management vendor selling desk booking as a priced module

Ranked #11 of 12 in Best Desk Booking Software in 2026.

Published pricingNorth America

The visitor product is the most finished in this category: agreements signed on arrival, host notifications that reach people, badge printing that works, and on Enterprise an integration with the access control you already own.

Price it honestly, since the extra modules are where the invoice grows, and have a European data protection officer check transfer mechanism and retention settings before the first photo is taken at reception.

What stands out
  • Per resource
  • Platform fee
  • Visitor suite
Where it costs you
  • Workplace modules stack on the sign-in base and raise the bill.
  • A US vendor complicates how visitor photos are handled under European rules.
Right for

Offices that want the arrival experience to reflect well on the company

Wrong for

Buyers who need visitor records to stay in Europe

United StatesReservations module per bookable resource per month billed annually, price published; platform fee added

#12 Robin

Boston workplace platform aimed at 500 employees or more

Ranked #12 of 12 in Best Desk Booking Software in 2026.

Pricing on requestNorth America

This is a product for the workplace, not the building. Staff reserve from their calendar, reception signs visitors in, and the space team plans moves on a floor plan connected to real booking data, which overlaps with deskbird and OfficeSpace.

Cleaning, planned maintenance, leases and service contracts sit beyond it, so a second system is needed.

What stands out
  • Floor-plan planning
  • Annual billing
  • Sensor sync
Where it costs you
  • Leases, service contracts and work orders are outside its scope.
  • Quoted pricing means a sales call before any comparison with deskbird.
Right for

Hybrid offices that want booking, visitors and floor-plan planning together

Wrong for

Facilities teams that depend on CAFM, maintenance or lease administration

How to choose desk booking software

Desk booking software lets staff reserve shared desks, rooms and parking in advance, check in on arrival and release unused bookings, while administrators get booking rules and occupancy reports. Work through these questions in order; they separate the products better than a feature matrix does.

  1. 01

Decide whether you need a published price

The split is 8 published against 4 quoted. If you want to compare numbers first, start with Clearooms, Flexopus, Officely, Joan, Archie, deskbird, Skedda, Envoy.

  2. 02

Ask which country the contract runs through

These 12 vendors are established in 7 countries across 2 regions (Europe 8, North America 4). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.

Desk booking software: counting users, desks or resources

The first decision is the unit on the invoice. Officely and deskbird charge per user, deskbird counting only active ones. Flexopus, Envoy and Matrix Booking charge per bookable resource, Skedda per space, Archie per desk or room, and Clearooms per band of desks. Joan sells plans sized by users and devices.

A company with 400 staff and 120 desks pays far less on a per-space or per-resource model than per head, while a 30-person office where everyone has a seat gains little. Add your real user, desk and room counts to each vendor's page before comparing totals, and include any platform fee, since Envoy and Flexopus state one separately. Check the entry size too: deskbird's Business plan starts at 25 users and Mapiq says it targets sites of 250 staff or more.

  • Count staff, desks, rooms and parking spaces and price each model
  • Ask whether a platform or setup fee is added
  • Check whether inactive accounts still count towards the bill

Rolling monthly or annual: what leaving costs

Contract length matters more than most buyers expect. Clearooms is rolling monthly with no minimum term, Officely starts with a one-month initial term, and Joan offers a 30-day trial. Archie's terms set an initial term of at least twelve months, Matrix Booking sells one annual subscription, Robin bills only annually, and the Smartway2 agreement renews yearly unless notice arrives 90 days before the end.

Mapiq's terms treat subscriptions as non-cancellable during the agreed term. Put the renewal date in a calendar when you sign, and ask what happens to price on renewal. A shorter term costs a little more per month at some vendors, such as Clearooms with its ten percent annual saving, but it lets you drop the tool if employees ignore it after the first quarter.

  • Find the initial term and the notice period in the terms
  • Ask whether fees can rise on renewal
  • Test the product during a trial before signing a long term

Where booking data is kept and how it leaves

Utilisation figures are the reason many companies buy, so check the export. deskbird lists custom data exports from Professional upwards, Archie lists CSV report export among its reporting features, and Flexopus lists data exports plus a REST API that starts on its Starter tier. Skedda keeps booking data for up to one, five or seven years depending on plan.

Matrix Booking names AWS hosting, Archie offers custom hosting location on Enterprise. Ask for a sample export during the trial and check that it contains user, desk and time fields, not only totals. If your works council or privacy officer limits employee-level data, check whether the product can switch user analysis off, as Flexopus says it can.

  • Ask for a sample export of bookings during the trial
  • Check the retention period per plan
  • Confirm the hosting location against your policy

Single sign-on, directory sync and who can book

In offices above a few hundred people, access control is a cost item. Flexopus puts SAML single sign-on and SCIM on Business, Archie on Pro, and deskbird sells them as a paid add-on above Business. Skedda lists SAML 2.0 SSO and SCIM in its comparison table. Without directory sync, someone must add and remove accounts by hand each month.

Check how groups map to booking rules, such as limiting a floor to one department, because Skedda, Flexopus and Archie handle this with different plan limits. Also ask who can see colleagues' bookings, and whether that view can be restricted to the same team, before a works council or privacy officer asks.

  • List the identity provider you use and test it in the trial
  • Check which plan unlocks SSO and SCIM
  • Test a rule that limits a floor to one team

What goes wrong most often when buying desk booking software

  • Comparing per-user and per-desk prices without converting both to the same office size.
  • Choosing a plan for its first-year price and missing that SSO, exports or extra administrators sit on a higher tier.
  • Starting a long annual term before employees have used the booking app for a full week of real attendance.
  • Treating a hardware-led platform such as Joan or Mapiq as a simple desk tool and paying for modules the office never switches on.

Frequently asked questions

6 answers
What is the best desk booking software in 2026?

Clearooms takes first place among the 12 we reviewed. Clearooms Limited bills by what you manage, not by headcount. Desks sit in bands from 1-19 upward, meeting rooms cost a set amount each, and parking spaces follow the desk model.

Terms are rolling monthly with no set-up or cancellation fee, so leaving is easy. The weak spot is breadth: the pages read describe booking, visitors and parking, not sensor analytics or space-planning scenarios.

Which desk booking tools publish their pricing?

8 of the 12, with the pricing model each one publishes:
