Asset tracking software keeps a register of physical equipment, tools and containers, each with a tag or tracker, a location, a custodian and a history.
Vendors price by asset count, by user, by module or by quote, and tags and readers are often extra. This guide ranks twelve products on first ninety days, real price, exit terms and independence.
Some vendors pay for visibility. That never touches an entry, the critical parts included, and following a link to a vendor brings us no income. How that works.
In short
What asset tracking software does
Asset tracking software records where physical equipment, tools and containers are, who holds them and what happened to them, using barcodes, QR tags, RFID or GPS and a shared register.
To rank asset tracking tools we asked, in turn, how much work setup takes, what it truly costs, whether data can be taken back out, whether leaving is possible, and who the product suits. Vendors outside the best-known names fill places 1 to 3 when they exist, and the big brands rank from place 4. For why these five were chosen, and why nothing here gets a numeric score, see how we work.

Onboarding is set out as three to ten business days: a discovery call, then workspace setup with data import, tags, fields and reminders, then training. The price calculator moves by asset count, from 500 to 10,000, and by user count on Starter.
Hardware stays your decision, since the tiers list GPS trackers and RFID readers as things you can add. Over 10,000 assets means an emailed quote, which is the point where the published ladder ends.

Inventory app with QR labels and a free plan, used for equipment

Sortly Inc. of San Francisco builds an inventory app and uses it for equipment too, so it counts items rather than assets. The free plan holds 100 unique items for one user, and Advanced raises that to 500 items and two users.

Asset tracking software records where physical equipment, tools and containers are, who holds them and what happened to them, using barcodes, QR tags, RFID or GPS and a shared register. Feature lists look alike, so we would settle these points one at a time instead.
01
Decide whether you need a published price
Prices are public at 10 products (itemit, Tooltagger, AssetTiger, GoCodes, ShareMyToolbox, Asset Infinity, ToolHound, Wasp Asset, Reftab, Sortly) and on request at the remaining 2, so budget time for quotes if your favourite is in that second group.
02
Ask which country the contract runs through
The 12 companies behind this list are established in 6 countries, by region North America 8, Europe 3, Asia-Pacific 1. Disclosure obligations attach to the company, so they travel with the vendor even when the servers stay at home.
Priced per asset, per user or by quote
Asset tracking tools meter cost in four ways, and the headline figure rarely compares. AssetTiger and GoCodes price by asset count, with AssetTiger including every user and GoCodes capping users per tier. itemit's Starter charges per user, while its Pro tier removes the cap. ShareMyToolbox sells field staff in blocks of five.
Asset Infinity combines both: the register is priced by assets, and maintenance or purchasing is priced per person using it. Trackunit and TrackAbout publish no prices to compare. Take your asset count and the number of people who need to scan, then ask each vendor to quote that exact mix, including any hardware, onboarding and API charge. Compare the yearly total, not the first line of the table.
Count assets and scanning staff separately before collecting any quote.
Ask which paid add-ons you need: API, offline mode, kitting or RFID.
Convert every price to a yearly figure including onboarding.
Tags, readers and trackers in or out of the price
A register is only as good as the labels on the kit. GoCodes ships custom QR tags with the plan, while itemit lists GPS trackers and handheld RFID readers from Pro, fixed readers as a Pro add-on and fixed readers inside Industrial. Wasp Asset sells RFID as a yearly add-on and the scanners from the same company. ToolHound pairs its tool crib software with scanners, RFID tags and a checkout kiosk bought separately.
Trackunit uses Bluetooth tags and gateways. Tooltagger and AssetTiger rely on QR codes read by an ordinary phone camera. Decide whether your kit is hand tools, powered machines or high-value items, because that choice fixes the hardware bill. Rugged environments, such as outdoor sites, often need tags that survive weather and abrasion.
List the item types and pick a tag type for each.
Ask whether labels are included or printed by you.
Price reader hardware and gateways in the same quote.
Inspection dates, calibration and compliance records
Some buyers need proof more than location. Tooltagger calculates the next inspection date per category and offers branded reports from its Premium tier, which suits NEN 3140 electrical checks in the Netherlands. TrackAbout records maintenance, inspection and service events for DOT, OSHA and EPA reporting on cylinders. GoCodes lists calibration tracking and maintenance scheduling in its plan table.
AssetTiger links contracts, warranties and insurance to each asset and warns before they expire. Check that the record can be shown to an auditor in a readable format, that the history cannot be edited quietly, and that a due-date alert reaches the right person. A register without alerts only tells you what went wrong afterwards.
Name each rule or standard you must evidence.
Test an overdue alert with a real due date during the trial.
Export one audit report and read it as an inspector would.
Hosting choices and getting your data out
Hosting differs more than the feature lists suggest. Wasp Asset runs in Wasp's AWS cloud or on your own server, ToolHound can be hosted by the vendor or by the client, and Asset Infinity says the same product runs in the cloud or on-premise. GoCodes hosts on Microsoft Azure.
For exit, Tooltagger lets you download each list as CSV and the whole organisation as one JSON file, and AssetTiger exports reports to CSV or PDF. GoCodes charges a one-time fee for data migration help. Ask each vendor what a full export contains, whether photos and history are included, and what you owe at cancellation. Cloud-only vendors leave the decision to you at contract end.
Ask for a full export, with history and photos, before signing.
Check the notice period and what happens to data after cancelling.
Decide whether your own server is a requirement or a cost.
What goes wrong most often when buying asset tracking software
Buying on the lowest tier price and then discovering that the API, offline mode or RFID lives in a higher tier or a paid add-on.
Comparing per-user and per-asset prices without first counting how many staff must scan and how many items you will actually tag.
Choosing a construction telematics product such as Trackunit for a small tool crib, or an IT-first register such as Reftab for outdoor equipment.
Skipping a trial import of real data, so label sizes, serial number formats and custom fields only show their limits after payment.
