Best Business Process Management Software in 2026

Business process management products range from standards-based engines to no-code card tools, and their prices rest on different units.

This guide ranks twelve of them on what the first ninety days cost, what the invoice becomes with the modules a normal team needs, how models and data leave, and whether you can run the product without a partner.

Vendors can pay for visibility on this page. It never changes what an entry says about a product, including the criticism, and we earn nothing when you click through to a vendor. How that works.

In short

What business process management software does

Business process management software lets an organisation model, run and monitor repeatable work across people and systems, usually with a visual designer, a workflow engine, forms and reporting.

How we ranked these

5 criteria, in order

In this order: setup effort, what it really costs, how your data comes back out, whether you can leave, and who each business process management tool is built for. One rule sits on top of those tests: Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Why those five, and why there is no score out of ten, is on the how we work page.

#1 Bonita

Process engine with a no-cost Community edition and a visual designer

Ranked #1 of 12 in Best Business Process Management Software in 2026.

Free tierPublished pricingEurope

Bonita gives a team the engine, a process designer and a UI builder in the Community edition, with no time limit. The engine code sits on GitHub under LGPL 2.1, which helps if you ever need to run it yourself.

The 150 instances a month cap is the line where a pilot becomes a purchase, and from there Enterprise is priced per organisation.

What stands out
  • Community edition
  • Visual designer
  • Paris vendor
Where it costs you
  • The Community edition stops at 150 process instances a month, so a busy process outgrows it quickly.
  • Single sign-on, clustering and the stated uptime SLA belong to the Enterprise edition only.
Right for

Teams that want to build and run one real process before signing anything

Wrong for

Buyers who need a published Enterprise price list

#2 Camunda

BPMN and DMN orchestration engine for teams with developers

Ranked #2 of 12 in Best Business Process Management Software in 2026.

Pricing on requestEurope

Camunda separates modelling from execution cleanly: BPMN and DMN files are standard formats, and the same models run on the self-managed engine or the hosted SaaS.

The hosted console is in the EU, and a lapsed trial leaves you a no-cost modeller. The licence is the catch, since the source is available under the Camunda License and production needs a paid agreement.

What stands out
  • BPMN and DMN
  • Developer-led
  • Self-managed or SaaS
Where it costs you
  • Production use of the self-managed product needs an Enterprise licence, and the price is not on the site.
  • Most of the value arrives through developers writing connectors and workers, so business teams depend on engineering.
Right for

Engineering-led organisations that want standard BPMN and DMN models driving their code

Wrong for

Business teams hoping to build processes without developers

GermanyNo-cost development use; production licence quoted; 30-day SaaS trial

#3 Flowable

Apache-licensed BPMN, CMMN and DMN engines plus an enterprise platform

Ranked #3 of 12 in Best Business Process Management Software in 2026.

Pricing on requestEurope

Flowable is the only product here whose core engines are Apache 2.0 licensed and cover BPMN, CMMN and DMN, which makes case management a first-class option rather than a workaround.

The company is headquartered in Zurich and also lists offices in Germany and the United States. The paid platform adds enterprise cloud, in a shared option with all-in pricing or a dedicated one with infrastructure billed apart.

What stands out
  • Apache 2.0 engines
  • Case management
  • Zurich vendor
Where it costs you
  • No prices appear on the site, and the dedicated cloud option bills infrastructure on top of the licence.
  • The engines are written in Java, so embedding them assumes a Java team.
Right for

Java teams and regulated firms that want open engines under a paid platform

Wrong for

Business users who expect to configure everything without developers

SwitzerlandEngines carry no licence cost; enterprise platform priced separately, trial offered

#4 Pipefy

No-code process cards with a capped no-cost plan for small teams

Ranked #4 of 12 in Best Business Process Management Software in 2026.

Free tierPublished pricingNorth America

Pipefy suits a department that wants a process live in days: the Starter plan is free of charge and includes templates, a request tracker and basic automations.

The limits are explicit, 5 processes, 10 users and 50 cards a month. Business bills per user and unlocks the API, role-based access and electronic signature, while Enterprise adds single sign-on and white labelling.

What stands out
  • No-code
  • Starter plan
  • Per-user billing
Where it costs you
  • Business and Enterprise prices are shown only through sales, so a growing team cannot budget from the page.
  • Automation jobs, API calls and storage are capped per plan, which limits integration-heavy processes.
Right for

Operations teams that want to start a no-code process alone

Wrong for

Teams that need BPMN modelling or on-premise hosting

United StatesFree Starter plan with hard caps; Business and Enterprise through sales

#5 Decisions

Rules engine and workflow platform that merged with ProcessMaker

Ranked #5 of 12 in Best Business Process Management Software in 2026.

Self-hostablePublished pricingNorth America

Decisions bundles a rules engine with workflow, and says it is not built around per-user pricing. The Foundation tier lists unlimited processes and users with a dedicated customer success manager.

The product runs in the cloud, hybrid or on-premise. Its own about page says it merged with ProcessMaker, so older ProcessMaker customers now deal with this company, and its site no longer lists ProcessMaker as a separate product.

What stands out
  • Rules engine
  • No per-user pricing
  • Cloud or on-premise
Where it costs you
  • The published entry price is a four-figure monthly amount billed annually, which is heavy for a small team.
  • The Foundation tier includes 1,000 cases a month, and higher volumes mean negotiating a larger package.
Right for

Mid-market firms that need rules, workflows and on-premise options together

Wrong for

Small teams that only want simple approval flows

United StatesFoundation starting price published; Growth and Enterprise quoted

#6 Bizagi

Consumption-priced BPM platform with a free-to-start process modeller

Ranked #6 of 12 in Best Business Process Management Software in 2026.

Pricing on requestNorth America

Bizagi dates its move into dedicated BPM software to 2002 and says its subscription places no limit on users or apps, with cost following consumption.

The Modeler is a free-to-start tool for mapping processes that imports Visio, XPDL and BPMN files and publishes to PDF, Word and Excel. The company started in Bogota in 1989, and its offices page names a Virginia address as corporate headquarters.

What stands out
  • Consumption pricing
  • Process modeller
  • Cloud platform
Where it costs you
  • The price needs a quote or brochure, and consumption billing makes spend track case volume.
  • The modeller and the automation platform are separate offers, so check which one a quote covers.
Right for

Firms with many outside users and case volumes that vary month to month

Wrong for

Buyers who want a price list and fixed monthly seats

United StatesConsumption-based, quoted per organisation; unlimited users and apps

#7 Kissflow

Workflow and low-code platform sold on fixed annual agreements

Ranked #7 of 12 in Best Business Process Management Software in 2026.

Pricing on requestAsia-Pacific

Kissflow states unlimited applications and integrations, public or private cloud hosting and no surcharges for AI or API usage, all inside a fixed annual agreement.

It positions itself as a low-code platform for enterprise operations, so expect application building as well as workflow. The group is OrangeScape in India, and Kissflow Inc is a Delaware company serving customers outside India.

What stands out
  • Fixed annual price
  • Low-code
  • No usage surcharges
Where it costs you
  • The pricing page offers a quote and a consultation, not a plan you can start on alone.
  • The fixed annual agreement commits you for the year even if a process is dropped.
Right for

Enterprises that want a fixed annual price without usage meters

Wrong for

Small teams that want to sign up and pay by card

IndiaQuoted per organisation; fixed annual agreements without AI or API surcharges

#8 Process Street

Checklist-style workflows for recurring work, with a 14-day Pro trial

Ranked #8 of 12 in Best Business Process Management Software in 2026.

Pricing on requestNorth America

Process Street turns procedures into reusable runs with forms, conditional logic, approvals, task permissions and scheduling.

The Startup plan caps users at five and guests at ten, with 5,000 data set records, and the plan tables list SOC 2 Type 2 and SAML single sign-on. Because it records work done by people rather than machines, it complements an engine instead of replacing one.

What stands out
  • Checklists
  • Recurring workflows
  • Pro trial
Where it costs you
  • No plan shows a price, so cost can only be learned through sales.
  • It manages checklists and approvals, not BPMN models or long-running orchestration.
Right for

Small teams standardising onboarding, compliance checks and other recurring routines

Wrong for

Organisations that need BPMN models or engine-level orchestration

United StatesQuoted per organisation; 14-day Pro trial; reduced Startup offer

#9 Appian

Process and case platform priced per user, per month, per app

Ranked #9 of 12 in Best Business Process Management Software in 2026.

Pricing on requestNorth America

Appian is a process engine first, which is why it wins in banking, insurance and government: cases that run for months, rules an auditor can read, and a complete record of who approved what.

If that is the problem, little else here competes. If the problem is a form and a table, Appian is an expensive way to solve it, and users will notice the interface is built for correctness rather than pleasure.

What stands out
  • Three tiers
  • Per-app pricing
  • Community Edition
Where it costs you
  • Interfaces are functional rather than attractive
  • Per-user price is high for a broad audience
Right for

Regulated case management with audit trails and long-running approvals

Wrong for

Simple data-entry applications or wide casual audiences

United StatesPer user, per month, per app in three tiers; amounts quoted; no-cost Community Edition

#10 Zoho Creator

Low-code app builder with Blueprints for staged approval processes

Ranked #10 of 12 in Best Business Process Management Software in 2026.

Pricing on requestAsia-Pacific

Inside a Zoho estate, Creator is close to free at the margin: same login, same data, mobile applications generated automatically, and a published price that undercuts everything else on this page.

Outside that estate the calculation changes completely. Deluge is a dead end skills-wise, parts of the builder feel a decade old, and you are deepening a commitment to one suite for everything.

What stands out
  • Blueprints
  • Low-code
  • Yearly saving
Where it costs you
  • Deluge scripting is used nowhere outside Zoho
  • Only sensible inside an existing Zoho estate
Right for

Companies already on Zoho One needing an application the suite lacks

Wrong for

Organisations with no other Zoho products in use

IndiaThree tiers, monthly or yearly billing; 15-day trial without a card

#11 Nintex

Cloud workflow plus self-hosted K2, sold through several named products

Ranked #11 of 12 in Best Business Process Management Software in 2026.

Self-hostablePricing on requestNorth America

Nintex offers a cloud platform and K2, a self-hosted edition marketed for full control and data sovereignty. A 30-day trial covers the Workflow and Apps product, while the other trials state no length.

Document automation, eSign and RPA appear as further areas of the platform. The company's Bellevue address appears in its legal terms, and no prices are published anywhere on the pricing page.

What stands out
  • Cloud and K2
  • Process mapping
  • Document and eSign
Where it costs you
  • The site shows no prices, and the offer spreads over several named products.
  • Self-hosted K2 and cloud Nintex Automation are different editions, so a move between them is a migration.
Right for

Organisations that want cloud and self-hosted automation from the same vendor

Wrong for

Buyers who want one product and one price to compare

United StatesQuoted per organisation; 30-day trial of Workflow and Apps

#12 Pega

Case management and decisioning platform with a Community Edition trial

Ranked #12 of 12 in Best Business Process Management Software in 2026.

Pricing on requestNorth America

Pega has delivered software since 1983 and describes a platform that combines AI decisioning with workflow automation. The Community Edition trial opens App Studio, Dev Studio and Prediction Studio for developers.

Corporate headquarters are in Waltham, Massachusetts. With no pricing page and such a wide platform, the first ninety days are mostly scoping and training rather than building.

What stands out
  • Case management
  • Decisioning
  • Enterprise scale
Where it costs you
  • No price list is published, and buyers are routed to sales or a custom demo.
  • The scope, covering case management, decisioning and AI, is larger than a single process needs.
Right for

Large organisations running case-heavy operations that justify a long scoping project

Wrong for

Teams that want a quick start or a visible price

United StatesNo price list on pega.com; Community Edition trial available

How to choose business process management software

Business process management software lets an organisation model, run and monitor repeatable work across people and systems, usually with a visual designer, a workflow engine, forms and reporting. The differences that matter are rarely in the feature list, so this is the order we would work through them.

  1. 01

Decide whether you need a published price

3 of the 12 tools here publish what they cost; the other 9 quote per organisation. The ones you can compare without a sales call: Bonita, Pipefy, Decisions.

  2. 02

Decide how much the jurisdiction matters

These 12 vendors are established in 5 countries across 3 regions (North America 7, Europe 3, Asia-Pacific 2). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.

Business process management software: engine, designer or form builder

Business process management software is sold in three shapes, and mixing them up is the commonest early error. An engine such as Camunda or Flowable executes BPMN models written to a standard and relies on developers for connectors. A designer-plus-engine bundle such as Bonita gives business analysts a visual tool and a UI builder on top.

A form-and-card tool such as Pipefy or Process Street needs no models at all and records tasks done by people. Decide which shape your process needs before comparing prices, because the shapes bill differently: licences, per-user seats or case volumes. Ask each vendor which standards its models use and whether a model built there will open elsewhere.

  • Does the product export models as BPMN, CMMN or DMN files?
  • Who builds the integrations: a developer, a partner or a business user?
  • Which unit is billed: user, app, process instance or case?

Camunda, Flowable and Bonita: what you can try without a contract

Three engines let you test with real processes before a sales call. Camunda allows development use without a licence and a 30-day SaaS trial, after which a modelling-only account remains. Flowable publishes its engines under Apache 2.0 and also offers a trial of the commercial platform. Bonita Community has no time limit but stops at 150 process instances a month.

These are different kinds of free, and each ends at a different wall: Camunda at production, Bonita at volume, and Flowable at the paid platform features. Write down what your pilot must prove, then check whether that wall falls before or after it, and whether a trial that expires on day thirty gives you enough real cases to judge.

  • Does your pilot need production use, or only development?
  • How many process instances a month will the pilot create?
  • Which licence covers the engine code you embed?

Pipefy, Kissflow and Decisions: reading the price model

The pricing of no-code and mid-market process tools hides the unit. Pipefy has a Starter plan with hard caps, while Business bills per user and shows no amount. Kissflow quotes a fixed annual agreement and says it adds no surcharge for AI or API usage. Decisions publishes a starting price for Foundation, billed annually with 1,000 cases a month included, and quotes the higher tiers.

Compare the three on the same sheet: users, volume, integrations and the term you commit to. A fixed annual price is predictable but binds you for the year, whereas a consumption price tracks your busiest month. Ask for the overage rule in writing before signing.

  • What happens to the bill when volume doubles?
  • Is the term annual, and what does early exit cost?
  • Which limits sit on the plan you would actually need?

Appian, Pega and Nintex: platforms bought through sales

Appian, Pega and Nintex are sold through conversations, and none of their pages shows a price. Appian says it charges per user, per month and per app in Standard, Advanced and Premium tiers, so each added app multiplies the seat cost. Pega offers a Community Edition trial and a custom demo but no price list.

Nintex splits the offer into cloud, self-hosted K2 and further areas, and its Workflow and Apps trial lasts 30 days. Plan the first ninety days as scoping and training time, and ask in the first call for a written quote that lists every module you would need, the hosting model it assumes and the support level it includes.

  • Which modules are included in the quote and which are extra?
  • Is there a trial or sandbox before the contract?
  • Who owns the process models if you leave?

What goes wrong most often when buying business process management software

  • Choosing an engine such as Camunda for a team without developers, then finding that the business analysts cannot change a connector.
  • Comparing Pipefy's Starter limits with a paid tier of Bonita or Decisions as if the caps and the units were the same.
  • Treating Appian's three tiers as a price when the amount is per user, per month and per app, so the app count drives the invoice.
  • Signing a fixed annual agreement with Kissflow or a consumption deal with Bizagi before measuring how many cases a month the process really creates.

Frequently asked questions

7 answers
What is the best business process management software in 2026?

Bonita leads our ranking of 12. Bonita starts with a Community edition that has no time limit and no card, capped at 150 process instances a month, so a small team can model, build and run a process before any contract.

Enterprise adds single sign-on, clustering and a stated 99.9% uptime SLA at a custom price. The vendor now trades as Ofelia and leads with AI agents, so the BPM product sits deeper in its site.

Which business process management tools publish their pricing?

3 of the 12, with the pricing model each one publishes:

  • Bonita: Free Community edition with a monthly instance cap; Enterprise price set per organisation.
  • Pipefy: Free Starter plan with hard caps; Business and Enterprise through sales.
  • Decisions: Foundation starting price published; Growth and Enterprise quoted.

The other 9 quote per organisation.

Is there a free business process management tool?

Bonita, Pipefy offer a free tier or a free self-hosted edition.

Where are these business process management software vendors established?

In 5 countries across 3 regions: North America 7, Europe 3, Asia-Pacific 2.

  • Bonita: France.
  • Camunda: Germany.
  • Flowable: Switzerland.
  • Pipefy: United States.

What should you use instead of Bonita?

Camunda and Flowable are the next two on this page. Camunda is for Engineering-led organisations that want standard BPMN and DMN models driving their code; Flowable is for Java teams and regulated firms that want open engines under a paid platform.

Who should not buy Bonita?

Buyers who need a published Enterprise price list. The Community edition stops at 150 process instances a month, so a busy process outgrows it quickly..
