Appian alternatives: 11 business process management tools compared
Teams look past Appian when the per-user, per-month, per-app price list is hard to forecast, when no amounts are published without a sales call, or when a process needs an engine or a lightweight tool rather than a full platform. Options run from open engines that developers embed, through low-code builders, to checklist tools for recurring work.
Short answer: Flowable, Bonita and Camunda head the list of Appian alternatives drawn from our business process management software ranking. The first three places are kept for challengers when the category has enough of them; the best-known brands come after that, in ranked order. Flowable is the one to try if your developers would rather embed an open engine than license a platform. Every one of the 11 products below comes from Best Business Process Management Software in 2026, with a note on how it departs from Appian.
Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.
Pricing: Per user, per month, per app in three tiers; amounts quoted; no-cost Community Edition
Established in: United States
Built for: Regulated case management with audit trails and long-running approvals
Not for: Simple data-entry applications or wide casual audiences
01
Why buyers look past Appian
01
Seats are counted per application
Appian's pricing page says it is priced per user, per month, per app, and the footnote says user licences are entitled per application at each tier. A company with many small processes can therefore pay the seat charge several times, while a platform licence covers all applications.
02
The tier decides what you can build
Standard, Advanced and Premium differ in concrete limits: 5, 25 or unlimited RPA bots, one portal per app against unlimited, and 200K, 500K or 1M AI Actions a month. Process HQ, Case Management Studio and Autoscale are listed from Advanced upward, so a need that appears later can force a tier change.
03
No amounts, and a trial for learning only
The pricing page shows no dollar figures and points to a demo or a contact form. The Community Edition is described as a personal development instance for exploring the platform, and the page gives no limits for it. Buyers who want to compare costs before talking to sales look at vendors with a published entry point.

Flowable
Switzerland · See profile
Flowable publishes its BPMN, CMMN and DMN engines under Apache 2.0, from a Zurich vendor, so a Java team can embed process execution and keep the code if it leaves. The commercial Agentic Case Platform is priced separately and shows no amounts on the site. Business users get less visual tooling out of the box.
Switch from Appian if your developers would rather embed an open engine than license a platform.
Bonita, now trading as Ofelia, is French and offers a Community edition with no time limit or card, capped at 150 process instances a month. Enterprise adds single sign-on, clustering and a stated 99.9% uptime SLA at a custom price. Its site now leads with AI agents, so look for the BPM pages.
Switch from Appian if you want to prototype a process in production-like form before signing anything.
Camunda, from Germany, centres on BPMN and DMN models that developers connect to code, on your servers or as a hosted service. Development use needs no licence, but production needs an Enterprise licence quoted without a list price. The source is under the Camunda License, which is not a permissive one.
Switch from Appian if engineers will own the process layer and you want standard BPMN notation.
Kissflow quotes after a consultation and fixes the price in an annual agreement, with unlimited applications and integrations and no extra charge for AI or API use. That answers the per-app multiplication directly. The pricing page offers a call rather than a self-service plan to start on.
Switch from Appian if you want one annual figure that does not grow with every new app.
Zoho Creator builds apps first and processes second, using Blueprints to define stages and transitions on a record plus built-in approvals. Three tiers, billed monthly or yearly, carry rising limits on data sources and connectors, and the trial runs 15 days without a card. Portals are a paid add-on.
Switch from Appian if a business team wants staged approvals on records and a visible price ladder.
Bizagi prices by consumption, with no limit on users or apps, so outside suppliers can join a process without extra seats. Its Modeler is a separate tool you can start with at no charge. Pricing is quoted, and a surge in cases moves the bill.
Switch from Appian if external participants make seat counting painful and volume is predictable.
Pipefy moves work as cards through phases that a business team can configure without IT. The Starter plan allows 5 processes, 10 users and 50 cards a month; Business removes those caps but bills per user at a price shown after contacting sales. Automation jobs and API calls are metered by plan.
Switch from Appian if a small team needs simple phase-based requests and a free plan to test them.
Decisions, a US vendor that absorbed ProcessMaker, publishes a starting price for Foundation, billed annually, with unlimited users and processes and 1,000 cases a month. Growth and Enterprise are quoted. It runs in the cloud, hybrid or on-premise. The entry price is high for plain approvals.
Switch from Appian if you need a rules engine in the same product and want to avoid seat pricing.
Process Street runs recurring work as checklists with approvals, conditional logic and scheduled runs. Pro opens with a 14-day trial but no plan shows a price, and the Startup plan allows five users, ten guests and 50 API calls a month. It models people tasks, not BPMN diagrams.
Switch from Appian if your processes are onboarding or compliance routines, not cross-system flows.
Nintex offers a cloud platform, a self-hosted K2 edition for data control, and add-ons for document automation, eSign and RPA. The Workflow and Apps trial lasts 30 days. No prices are shown, and you must map named products to needs before comparing quotes.
Switch from Appian if you want a self-hosted edition and a suite that includes eSign and RPA.
Pega is a case management and decisioning platform for large organisations with long projects. The Community Edition trial includes App Studio, Dev Studio and Prediction Studio. The site has no price list and sends buyers to sales, so it replaces Appian at similar scale, not at lower cost.
Switch from Appian if you stay at enterprise scale and case decisioning is the core need.
Flowable: Its BPMN, CMMN and DMN engines are Apache 2.0, so you can leave without asking permission.
02
You want to try a process before signing anything
Bonita: The Community edition has no time limit or card and allows 150 process instances a month.
03
You want a single annual price whatever you build
Kissflow: The price is fixed in an annual agreement with unlimited applications and no AI or API surcharge.
04
You want a published ladder of tiers for business-built apps
Zoho Creator: Three tiers with monthly or yearly billing, and a 15-day trial without a card.
05
You have outside suppliers in the process and dislike seats
Bizagi: Pricing follows consumption, with no limit on users or apps.
04
When Appian is still the right choice
Appian stays sensible when the organisation already runs large case and process programmes on it and uses the higher tiers' features, such as Process HQ, Case Management Studio, unlimited portals and a large RPA bot allowance. Its named capabilities cover orchestration, data fabric, process mining, document processing and AI agents in one place, which a patchwork of smaller tools does not give you. If cost is the worry, ask for the price per app before leaving.
05
What moving off Appian involves
01
Applications are built in Appian's own design
Process models, interfaces and data fabric definitions belong to Appian's platform, so a move is a rebuild rather than an export. Pick one live process, rebuild it in the target and compare effort before planning the rest.
02
Count users per app before you compare quotes
Because Appian licenses per app, list who uses which application and how many bots and AI Actions you consume. Vendors that bill by case volume, flat annual agreement or engine support will price the same estate quite differently.

Does Appian have a free version?
The Community Edition is described as free access to a dedicated Appian instance for exploring the platform and building applications. The page we read gives no details on its limits.
Which alternative publishes prices?
Decisions states a starting price for Foundation, billed annually. Zoho Creator shows three tiers with monthly and yearly billing. Pipefy lists the caps of its Starter plan. Most others quote per organisation.
Can I run an open engine instead?

Which options are built for non-developers?
Pipefy, Process Street and Zoho Creator are set up by business teams. Kissflow and Bizagi also target low-code work, though both quote prices rather than listing them.
