Best Professional Services Automation Software in 2026
Professional services automation software joins the work a services firm sells: estimating, staffing, time capture, project delivery and invoicing.
Vendors price it per user, per package or by quote, and the entry tier often leaves out the resource or finance module that makes it a PSA. This guide ranks twelve products on first-ninety-day effort, real price, exit terms and independence.
Vendors can pay for visibility on this page. It never changes what an entry
says about a product, including the criticism, and we earn nothing when you click through to a
vendor. How that works.
In short
What professional services automation software does
Professional services automation software joins the estimate, staffing plan, timesheets, project budget and client invoice of a firm that bills for people's time, so margin stays visible while work runs.
In this order: setup effort, what it really costs, how your data comes back out, whether
you can leave, and who each professional services automation tool is built for. One rule sits on top of those tests:
Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Why those five, and why there is no
score out of ten, is on the how we work page.
Managed service providers that need tickets, SLAs, billing and procurement in one system
Consultancies and agencies that bill project fees rather than managed contracts
Country is where the vendor is headquartered or contracts from, which is a
different question from where your data is hosted. Where the two tell different stories, the
entry says so.
Small-firm PSA with a free plan, published prices and no contracts
Ranked #1 of 12 in Best Professional Services Automation Software in 2026.

Ninety days with Avaza is mostly configuration, because every account starts with a 14-day trial of all features and no credit card.
The cost builds through user types: timesheet, admin or finance, scheduling and chat seats are counted separately, and the Business plan raises the included numbers rather than removing the meter. Cancellation is by email and plans carry no contract, but ask for the export format in writing before you load history.

Self-funded agency and consultancy platform with published tiers and a trial

Productive is a strong answer for agencies that are tired of joining a scheduler, a timesheet and a spreadsheet of margins. Budgets, bookings, time and invoices sit on one record from the cheapest tier up, so profitability per project is a screen rather than a monthly exercise.
The catch is commitment. Use it only for resourcing and you pay for a suite; use it fully and it becomes the system of record, which means a real migration and a conversation with whoever owns your accounting package, whose integration starts on the Professional tier.

Birdview states a four to six week go-live for its PSA edition, covering workflow setup, data migration, training and launch, and a 14-day trial is offered before that.

Modular quote-to-cash PSA priced per user by combination of apps

Scoro starts from the quote rather than from the calendar, which is the right order for a consultancy: the budget is the constraint, and the plan has to stay inside it. Utilisation, billable hours and profitability come out of the same dataset.
Getting there requires setting up services, rates and templates first, so the first weeks are configuration rather than scheduling, and the mid-priced plans split quoting and resourcing, so the full chain means the End-to-end plan. A five-user minimum and per-user pricing make it a poor fit below that size.

Rocketlane fixes the period where a surprising share of churn is actually created: the weeks between signature and first value, when the customer is waiting on a task nobody assigned.
Projects, templates and a shared portal make that visible to both sides, and published pricing with a 14-day trial means you can test it without procurement. It is not a customer success platform and the vendor now sells it chiefly as a professional services platform, so most buyers will end up running it alongside one.

Workamajig bundles project management, resourcing, a general ledger and training into one per-user price, with the twelfth month free on an eleven-month prepayment. The first ninety days are heavy: the page says go-live takes two to three months with a dedicated trainer.

Accelo's pitch is margin visibility: retainers, fixed-fee projects and hourly work run together, and capacity planning sits beside project financials. The pricing page says implementation guidance and onboarding support are included in the starting price and that most teams run within weeks.

Kantata is aimed at the point where spreadsheets stop working: revenue recognition, forecast accuracy and utilisation targets all depending on the same resource plan. For consultancies at that scale it does consolidate a genuine mess.

On Salesforce, Certinia is coherent in a way standalone tools cannot match: the opportunity becomes the project, the project consumes resources, and the revenue recognises against the same record with no interface in between.
Away from Salesforce, none of that applies and the economics collapse, because platform licences, an administrator and implementation services all come before the first booking is made. Exit is a Salesforce migration, which is its own project with its own budget.

MSP-focused PSA with ticketing and billing in two packages

ConnectWise PSA runs an MSP from tickets to billing: Essentials covers projects, tickets, SLAs, customer portal and time tracking, and Pro adds quoting, agreements, accounting integrations, purchasing and RPA bots. Pricing is by request.
For a non-MSP services firm the fit is weak, because the structure assumes managed contracts. Check the order form for term length and package, and ask which accounting system the billing connects to, since that integration sits in Pro.

How to choose professional services automation software
Professional services automation software joins the estimate, staffing plan, timesheets, project budget and client invoice of a firm that bills for people's time, so margin stays visible while work runs. The differences that matter are rarely in the feature list, so this is
the order we would work through them.
01
Decide whether you need a published price
7 of the 12 tools here publish what they cost; the other 5 quote per organisation. The ones you can compare without a sales call: Avaza, Productive, Birdview, Scoro, Rocketlane, Workamajig, BigTime.
02
Decide how much the jurisdiction matters
These 12 vendors are established in 5 countries across 4 regions (North America 9, Europe 1, Asia-Pacific 1, Elsewhere 1). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.
Per user, per package or by quote: how PSA pricing is metered
The same word, PSA, covers four different billing meters. Avaza counts user types separately, with timesheet, finance, scheduling and chat seats each priced. Scoro charges per user for a chosen combination of apps and sets a five-seat minimum. Rocketlane and Workamajig quote a per-member or per-user figure by tier.
Kantata, Accelo, Certinia and Deltek Polaris publish no figure at all, so the price arrives after a demo. The number on a pricing page therefore says little until you know which users need which seat type, and whether quoting, resourcing or invoicing sits in the base. Build one worked example for your own headcount and ask every vendor to price it the same way, including onboarding.
Count how many people only log time and how many plan or invoice.
Ask each vendor to price the same ten-person scenario in writing.
Check whether a minimum seat count or tier band applies to you.
The module that makes it a PSA often sits one tier up
A tool that tracks time and projects is not yet a PSA until it also staffs and bills. Rocketlane puts resource planning, invoicing and revenue recognition at Premier. Productive holds rate cards, billable-time approvals and skills for Professional and revenue forecasting for Ultimate. BigTime keeps multi-currency invoicing and project budgeting for Premier and sells quoting and resource management as modules.
ConnectWise PSA moves sales, finance and procurement into Pro. The cheapest published tier is therefore usually a project tool with timesheets. List the four jobs you need, estimating, staffing, time and invoicing, and find the lowest tier that covers all of them. That tier, not the first one, is your comparison price.
Mark which of estimating, staffing, time and invoicing you must have on day one.
Read the plan comparison table, not the headline price.
Ask which modules are separate products and what they cost.
Self-funded, investor-owned or built on another platform
Who owns the vendor, and what it is built on, decides how much you depend on a partner. Productive describes itself as self-funded and profitable. BigTime says it is private equity funded. Certinia is built on the Salesforce platform, so a licence conversation includes Salesforce, and Kantata sells a separate edition on Salesforce.
Workamajig and Birdview both say the software can run on your own servers, which reduces vendor dependence at the cost of running it. None of this ranks a product by itself, but it tells you who can change terms and who you must keep paying. Ask each vendor what happens to price at renewal, and who decides.
Ask who owns the vendor and what its renewal pricing policy is.
Check whether the product requires a third-party platform licence.
If self-hosting is offered, price servers, backups and support hours.
Leaving a PSA: notice, renewal and the data you can take
A PSA holds time, rates and invoice history, so exit terms matter. BigTime's agreement renews automatically and the customer must give written non-renewal notice at least sixty days before term end. Avaza advertises no contracts and cancellation by email to its support team. Birdview's FAQ says a hosted database can be transferred to you on request, and Workamajig discounts an eleven-month prepayment, which locks in a year.
Scoro and Rocketlane publish no exit terms on the pricing pages read. Ask for a sample export during the trial, with time entries, rates and invoices, and confirm in the order form how and when you can leave, before signing, because prepaid terms and automatic renewals both move the exit date.
Get the notice period and renewal date from the order form.
Request a sample export of time entries, rates and invoices.
Ask whether prepayment is refundable if you leave early.
What goes wrong most often when buying professional services automation software
Choosing on the entry price and discovering that staffing and invoicing live in the next tier up.
Treating a quote-only vendor as expensive or cheap before the same scenario has been priced by every vendor.
Buying an MSP-oriented PSA such as ConnectWise PSA for a project consultancy, or a creative-agency system such as Workamajig for an IT firm.
Missing a renewal notice date, such as BigTime's sixty days, and committing to another full term.
