Hotel systems are sold by room count, revenue percentage and monthly minimum, and the headline figure rarely survives a channel manager, a payment terminal and a second property.
This guide ranks twelve hotel PMS products on what the first ninety days cost, what the invoice becomes once distribution is added, how easily your data leaves, and whether the product runs without a partner.
Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.
In short
What hotel property management software does
Hotel property management software runs a property's reservations, room inventory, check-in, housekeeping and guest billing in one system, and usually connects to booking sites, payment terminals and accounting.
Each hotel property management tool was put through the same five questions, in sequence: how hard is setup, what does it really cost, how does data come back out, can you leave, and who is it for. Challengers hold places 1 to 3 wherever the category has them. Established brands begin at place 4. Reasons for the choice of tests, and for skipping a score out of ten, can be read on the how we work page.
Family-run booking system with a one-unit plan and public prices
Ranked #1 of 12 in Best Hotel Property Management Software in 2026.
Free tierPublished pricingEurope
Sirvoy answers the first-ninety-days question better than most: the free plan lets one unit try the booking engine and payments before paying anything, and paid tiers have no setup fees or written contracts. The real price shows up at distribution.
Pro adds the channel manager, team permissions and guest history, and a second connected property adds a monthly charge. Text messages are billed per message. Budget for Pro from the start if you sell on booking sites.

Per-unit cloud PMS from Calgary with yearly contracts and 30-day exit

Published pricingNorth America
The price is easy to model: units multiplied by a flat rate, with a monthly floor and tiers published up to 149 units. Unlimited users and a booking engine without commission are included, along with accounting, a tape chart and group management.
The catch is the integration allowance. A property under 15 units gets a payment gateway and nothing else included, so a channel or lock connection is an extra decision. The yearly renewal needs a calendar reminder, though notice is 30 days.

One subscription sized by rooms and revenue, with chargeless data export
Ranked #3 of 12 in Best Hotel Property Management Software in 2026.
Published pricingEurope
Pricing follows size, not module count: rooms plus annual net revenue set the fee, with overage above the included revenue and a one-time onboarding fee. That removes the usual module-by-module negotiation but ties cost to turnover, so a good year raises the bill.
OTA connections through RoomCloud cost per channel, while the Booking.com link is Clock's own. Exit is unusually well documented: export is available at no charge, and data is held twelve months after closure before deletion.

Munich API-first PMS billed per room, with a monthly minimum
Ranked #4 of 12 in Best Hotel Property Management Software in 2026.

Apaleo keeps the core narrow: inventory, reservations, rates, accounting and payments, then sells everything else through a store of over two hundred apps. The APIs for booking, finance, payments and profiles carry no extra charge, which is the strongest independence argument in this list.
The cost is assembly. Each app is a separate vendor, and Apaleo Pay is billed on payments from a starting rate. Plan integration hours, not only licence fees, before signing.

Metered PMS and channel manager where you pay per room and link
Ranked #5 of 12 in Best Hotel Property Management Software in 2026.
Published pricingEurope
Beds24 treats pricing as a meter rather than a plan. A base account scales with units, each channel link is charged per room type per channel, and extra users, subdomains and integrations are priced one by one.
That is honest and cheap at five rooms, but difficult to forecast at fifty rooms across four channels. The feature list is wide, from a booking engine to a central inbox for Airbnb and Booking.com, so model the full link count before comparing.

Berlin hotel software, modular, cancellable monthly, priced after a demo
Ranked #6 of 12 in Best Hotel Property Management Software in 2026.
Pricing on requestEurope
The appeal is flexibility on both axes: modules are chosen to fit the property, and the contract is described as cancellable monthly, so a wrong choice is cheaper to undo than with yearly terms.
Data is stated to be processed in Germany, which some buyers will need in writing. The weakness is opacity. Without public prices the module list has to be costed in a call, so ask for a written quote naming every module and partner fee.

The FAQ explains the model that the plan cards hide: a minimum flat fee, then a percentage of monthly realised booking revenue from all channels once a threshold is passed.
At the Sell tier the minimum is small and the threshold modest, so a busy property pays mostly on revenue. A yearly flat-fee option exists for the Essential plans, which is worth asking sales about if your revenue is high and steady.

Boutique-hotel PMS with channel manager, websites and handled data import
Ranked #8 of 12 in Best Hotel Property Management Software in 2026.

Setup effort is the product here. The vendor imports your data, keeps the historical records and trains the staff, which shortens the first ninety days for a property leaving an older system.
The cost is that nothing is published: PMS, booking engine, channel manager, websites and messaging are separate products in a suite, and the pricing page only offers a quote. Ask which of them the quote includes and what migration is billed as.

QloApps scores highest here on independence, because the code is yours under an open licence and the self-managed plan has no recurring licence fee. The price moves to labour: a PHP and MySQL server, installation, backups, and community support only.

The distinctive promise is on the integration line: payments, channel managers and door locks connect without separate fees, and upgrades and remote consultation are in the monthly price.

Hotelogix is a broad bundle on paper: front desk, housekeeping, point of sale, a channel manager with GDS connectivity, a web booking engine and central reservations for multiple properties. The price is the open question.

Guestline is a suite rather than a single tool: PMS, distribution, digital check-in, payments, EPoS, revenue management and catering sit in the same range.
The acquisition in 2023 matters under the independence test, since the vendor is now part of a larger group and the product is moving to a new platform. No prices are shown, so the entry cost is a sales conversation. Confirm the migration timetable and what changes for your contract.

Hotel property management software runs a property's reservations, room inventory, check-in, housekeeping and guest billing in one system, and usually connects to booking sites, payment terminals and accounting. Compare on the following points, in this order, before you compare features.
01
Decide whether you need a published price
5 vendors on this page sell by quote, while 7 publish a pricing model you can read today: Sirvoy, WebRezPro, Clock PMS+, Apaleo, Beds24, HotelRunner, QloApps.
02
Decide how much the jurisdiction matters
The vendors on this page are based in 9 countries (Europe 5, North America 3, Asia-Pacific 2, Elsewhere 2). The country of the contracting company sets which authorities can ask it for your data, whatever the hosting region.
03
Decide if open source matters
Source code is available for QloApps. Running it yourself swaps the licence fee for your own upkeep.
Room, unit or revenue: how hotel PMS pricing is metered
The cheapest quote and the cheapest invoice are different in this market because the meter differs. Apaleo bills per room with a monthly floor, so a small guesthouse pays for rooms it does not have. WebRezPro bills per unit with a published table that also fixes how many integrations are included.
Clock PMS+ sizes the subscription on rooms plus annual net revenue, and HotelRunner charges a minimum fee plus a percentage of booked revenue above a threshold. Sirvoy sells tiers, with the channel manager in the top one. The question to ask each vendor is what happens to the fee in a strong summer, because two of these models rise exactly then.
Model your busiest month's revenue and room count against each vendor's meter.
Ask what the monthly minimum is and whether it applies below your room count.
Check which integrations are bundled at your size and which are billed separately.
The channel manager is where the real price hides
Almost every independent hotel needs a channel manager, and this market splits on how it is sold. Sirvoy lists it only under the Pro tier. Beds24 charges per channel link per room type, so four channels on five room types is twenty small charges. Clock PMS+ connects Booking.com itself but bills RoomCloud connections per channel per month, up to ten.
HotelRunner moves it into the Sell tier, and ThinkReservations lists it as a separate product in its suite. A low entry price is therefore only an entry price. Count the booking sites you sell on today, price the connections at every vendor, and only then compare totals.
List every booking site you sell on and price each connection separately.
Ask whether the channel manager is a plan tier, an add-on or a metered line.
Check whether payment processing is bundled or billed as a percentage.
Open APIs against a closed suite: Apaleo, Stayntouch, QloApps
A PMS becomes a hub for payments, locks, revenue tools and accounting, so who may connect to it matters more than the feature list. Apaleo includes its APIs at no extra cost and sells apps from a store of over two hundred, which suits a hotel with developers. Stayntouch puts unlimited interfaces in the monthly fee.
QloApps goes further and publishes its source under the Open Software Licence 3.0, at the price of running and securing it yourself. The suites that bundle everything, such as Guestline inside Access Hospitality, trade that openness for fewer vendors to manage. Decide which cost you would rather carry: integration work or dependence.
Ask whether API access is included or sold as a separate product.
Ask who pays when a connected app changes its own pricing.
For self-hosting, price server, backups and security hours, not the licence.
Leaving a hotel PMS: notice, export and the first renewal
Hotel systems hold the guest history and the rate structure that a replacement needs, so exit terms are part of the purchase. Clock PMS+ states in its service terms that export is available without charge at any time, with two months' notice and data retained twelve months after closure. WebRezPro renews yearly but allows 30 days' notice without penalty.
Sirvoy and Beds24 advertise no contracts, and ibelsa describes monthly cancellation. Others publish nothing on exit, so ask in writing for the export format, whether it includes guest history and folios, and what is charged for assistance, before the first signature rather than after the first complaint.
Request the export format and a sample file during the trial or demo.
Confirm notice period and renewal date in the order form, not the website.
Ask what happens to your data, and for how long, after closure.
What goes wrong most often when buying hotel property management software
Comparing per-room prices without applying the monthly minimum, which turns a small guesthouse's cheap quote into a flat charge.
Buying a plan for the front desk and finding the channel manager is the tier above, or a meter that grows with every booking site.
Choosing a bundled suite for convenience and discovering later that the vendor has been acquired and the product is moving platforms.
Skipping the data export test, then learning at renewal that guest history leaves as a report rather than a file.
