How to choose dental practice management software

Dental practice management software runs a dental office: it books appointments, holds tooth and periodontal charts, stores radiographs, produces treatment plans and submits claims to insurers or public schemes. The differences that matter are rarely in the feature list, so this is the order we would work through them.

    Decide how much the jurisdiction matters

    These 15 vendors are established in 4 countries across 3 regions (North America 12, Asia-Pacific 2, Europe 1). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.

Where a dental practice management database actually runs

The first fork in this market is who keeps the server. Open Dental is hosted by the practice itself; its vendor-run cloud is in limited release and open to US customers. Dental4Windows is sold as on-premise software for practices that want control of their own IT, and Dentrix is positioned the same way against its cloud sibling.

MaxiDent and ClearDent let you choose: private cloud or your own servers for the first, and cloud, on-premise or a hybrid link for the second. Oryx, Archy, tab32 and Praktika exist only as hosted services. The difference shows on the day the internet drops: Praktika's own answer is to tether to a phone. It also decides who is answerable for the backup of several years of radiographs.

  • Ask who restores the imaging archive after a failure, and how long the vendor says it takes.
  • For a hosted system, test the appointment book on a phone hotspot before signing.
  • For a local server, price the hardware, backup and remote access alongside the licence.

What dental software is billed per: location, provider, surgery or claim

No two vendors in this ranking meter the same thing. Archy charges one fee per location and leaves users, providers and claims unlimited. Oryx includes two providers per plan and bills each further one monthly. Open Dental covers three providers per location before a per-provider charge begins. Dentally prices by the number of surgeries, Praktika by location with two chairs included and a fee for each chair beyond.

tab32 sets a low base and then charges per claim, per attachment set and per eligibility check. CareStack quotes on a mix of locations, chairs and providers. A four-dentist, six-chair office that files heavily with insurers will therefore rank these products in a completely different order from a single hygienist-supported dentist, and neither should trust a headline figure.

  • Write down providers, chairs, locations and monthly claim count before requesting any quote.
  • Recalculate each offer for the associate you plan to hire next year.
  • Ask which of texting, imaging and eligibility checks sit outside the base fee.

Getting charts and radiographs out of a dental system

Switching means moving odontograms, perio measurements, ledgers and years of images, and vendors are far more forthcoming about arriving than leaving. Oryx is the exception worth noting: its FAQ says an export can be requested at any time and lists radiographs and DICOM files among the contents. Praktika commits to CSV files plus the original image and document files on request or at termination.

Open Dental lets third parties query the database read-only. On the way in, Open Dental and Practice-Web publish a conversion fee, Oryx names separate data and image conversion fees without amounts, and tab32 asks you to contact it. Curve Dental, Dentrix and Dental4Windows did not describe an export route on the pages read for this guide.

  • Ask for the export format of images separately from the export format of patient data.
  • Get the conversion fee for both data and images in the first written quote.
  • Request a test conversion of your own database before committing to a go-live date.

Claims, the NHS and Canadian billing: dental software is national

A dental system is only as useful as the payers it can bill, and that is settled by country. Dentally is integrated with the NHS in England, Wales and Scotland and with HSC in Northern Ireland. ClearDent describes itself as built for Canadian dental practices, and MaxiDent's vendor sells to Canadian clinics. Praktika names Australian integrations such as HICAPS and Tyro.

Oryx states its market as the United States and Canada, Archy says it supports practices across the US, and Curve Dental counts its locations in those two countries. CareStack lists offices in the US, UK and Australia. A product that ranks well here can be unusable for you, so treat the country column as a filter applied before the ranking, not as a detail after it.

  • Name your main insurers or public scheme and ask for a live claim submission in the demo.
  • Check that fee codes for your country are supplied and updated by the vendor.
  • Ask for two reference practices in your own country, not the vendor's.

What goes wrong most often when buying dental practice management software

  • Buying on the monthly base fee and discovering that imaging, texting or eligibility checks are billed as separate modules or per use.
  • Assuming the word 'open' in Open Dental still means a GPL licence; the vendor made it proprietary in version 24.4.
  • Signing before asking how radiographs, not just patient demographics, are exported and in what file format.
  • Choosing a system by feature list when it has never submitted a claim to your country's insurers or public dental scheme.
