Teams look beyond Medallia when the question is small: one prompt on a website, a board for feature requests, or a quarterly NPS round. Its pricing page counts Experience Data Records in annual tiers and shows no amounts, and the platform spans contact centre, employee listening and market research. The list below runs from small European vendors to enterprise peers.
Short answer: We open the ranking with smaller vendors and put the established brands from fourth place onward. For Medallia users, the top three picks from our customer feedback software ranking are Refiner, Featurebase and Usersnap. Pick Refiner if an in-app NPS or CSAT prompt is the whole job and you want the meter to be monthly active users. These 11 products are all in Best Customer Feedback Software in 2026; the notes say how each one compares with Medallia.
Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.
Pricing: Quoted per organisation; annual tiers by experience data records
Established in: United States
Built for: Enterprises already measuring customer experience on the Medallia platform and its panels
Not for: Teams buying a standalone survey tool at a small, predictable cost
01
Why buyers look past Medallia
01
A price that only a sales call reveals
Medallia's pricing page uses a single metric, the Experience Data Record, which covers all data from one customer or employee interaction, sold in annual tiers. It names no tier, threshold or amount, and it offers a demo and a sales contact but no trial. A team that wants to compare three tools before a budget meeting cannot put a number next to Medallia.
02
Scope that exceeds a feedback widget
The platform page lists Signals for capture, an Admin Suite, Act for role-based reporting, AI and analytics, and an Integration Layer, spread over customer, employee, contact-centre and market-research suites. A product team asking one question inside its app inherits an architecture built for company-wide programmes, and the administration that comes with it.
03
Where the data lives is not on the pages we read
The platform page shows certification logos, among them SOC 2, GDPR, HIPAA, FedRAMP and HITRUST, but says nothing about data residency, and the Agile Research page speaks only of enterprise-grade security. European buyers with a residency requirement have to ask before the demo, not after it.

Refiner
France · See profile
Refiner is a French SAS run by a small remote team in Europe, aimed at SaaS companies. Its Essentials plan has unlimited responses and team members, with MAU ceilings of 500,000 on Essentials and 1,000,000 on Growth. A 30-day trial allows 100 responses, then a free plan with 25 responses a month. Event tracking and CRM links start in Growth.
Switch from Medallia if an in-app NPS or CSAT prompt is the whole job and you want the meter to be monthly active users.
Featurebase, from CORDNET OÜ in Estonia, bundles feedback boards with a helpdesk. The free plan has one seat, Growth costs $29 per seat a month, Professional $59 and Enterprise $99, and its AI agent charges $0.49 per resolved conversation. The terms say hosting is primarily in the EU. Every plan card lists feedback, so the seat count decides the bill.
Switch from Medallia if feature requests and a public roadmap matter and the same people can also answer support tickets.
Usersnap GmbH in Linz publishes euro prices: Starter €49 with two seats and two projects, Growth €129 with unlimited seats and 10 projects, Professional €219, Premium €459. A free month of Premium unlocks after two channels are set up and 20 items collected. It gathers visual bug reports and ideas through widgets, not NPS rounds.
Switch from Medallia if testers and customers should send annotated screenshots and you want an Austrian vendor with prices in euros.
Survicate S.A. of Warsaw offers a 10-day trial without a card and prices by responses and data points. Growth starts at $114 a month billed annually, Pro at $349 and Enterprise at $569, while the pricing page contradicts itself on seats and limits for Growth. Webhooks and the export API come with Pro, so check that before choosing the entry plan.
Switch from Medallia if website, email and in-app surveys should sit in one tool with a Polish counterparty and visible starting prices.
Canny is bootstrapped and describes itself as profitable, with a Free plan for 25 tracked users and Pro at $79 a month billed yearly for 100 or more. Business starts at 5,000 tracked users by quote. It collects requests, votes and signals on one board and sends no NPS surveys, so it replaces the product-feedback part of Medallia only.
Switch from Medallia if the work is deciding which feature requests to build, and you prefer a vendor with no outside investors.
Qualaroo, part of the ProProfs family, runs Nudge prompts on web pages. The free plan stops at 50 responses; Essentials is $19.99 a month billed annually, Business $49.99 and Enterprise from $149.99. Business meters email sends and pageviews, and adds heatmaps and session replay. SSO and API access wait for Enterprise.
Switch from Medallia if a short on-page question at a moment of intent is enough and the budget is tens of dollars a month.
AskNicely, of Portland, Oregon, sells NPS and CSAT programmes with unlimited users on three plans named Learn, Grow and Transform, from 500 responses a year. Contracts are mainly annual, downgrades apply only at term end, and there is no trial, only a demo. NiceAI and reputation tools are optional, and SSO costs $1,500 a year.
Switch from Medallia if relationship NPS across service teams is the programme and frontline coaching on scores matters.
Birdie takes in NPS results, app-store and public reviews, tickets, calls, chats and social mentions from 80+ sources, among them Medallia and Qualtrics, and ranks the themes by business impact. It sends no surveys itself. The site publishes no prices and offers a 30-minute demo, and an MCP connector exposes the data to AI agents.
Switch from Medallia if feedback already sits in several tools and the gap is analysis, not collection.
UserVoice charges by admin seat, not by customer count: Launch from $12,000 a year with 20 admins, Business from $22,000 with 50. Feedback, portal users and view-only admins are unlimited, and Jira, Salesforce, HubSpot, Slack and Teams links are on every plan. The 30-day trial begins after a demo, and most teams launch in 4 to 6 weeks.
Switch from Medallia if sales, success and product should share one feedback portal and admin seats are few.
Sprig describes itself as an enterprise survey platform with Design, Field, Analyze and Synthesize agents. Surveys go out by email, link, web and mobile SDKs for iOS and Android, with a panel of 300K+ verified participants. The pages we read give no pricing basis, only a demo, so cost stays unknown until the call.
Switch from Medallia if a research team wants studies designed, fielded and summarised by agents and can recruit from a panel.
InMoment is sold by package and is the closest peer to Medallia in reach: surveys, conversational intelligence, reputation, analytics and listening. Its home page shows regional sites for North America, DACH, the UK and Asia Pacific, no prices, and a demo request. It suits a buyer who wants an enterprise vendor but a different one.
Switch from Medallia if you run a global programme and want a second enterprise quote to set against Medallia's.
You want one in-app NPS prompt priced by active users
Refiner: Essentials carries unlimited responses and team members, with a 30-day trial that allows 100 responses.
02
You want to rank feature requests with your customers
Canny: The Free plan covers 25 tracked users, and Pro is $79 a month billed yearly.
03
You want a helpdesk and a feedback board in one subscription
Featurebase: Paid seats cost $29, $59 or $99 a month, and the terms say hosting is primarily in the EU.
04
You want to analyse feedback already scattered over tools
Birdie: It reads reviews, tickets, calls and NPS exports from 80+ sources and sends no surveys.
05
You run service-team NPS and need unlimited users
AskNicely: Plans start from 500 responses a year on annual terms, with a demo instead of a trial.
04
When Medallia is still the right choice
Medallia remains the better fit when one platform must cover customers, employees, contact centre and market research, and when closed-loop action sits in the same system. The pricing page counts unlimited users and puts analytics, workflows and security inside the Experience Data Record tier, with no separate charge per channel. The platform page names Salesforce, Adobe and ServiceNow integrations and describes one Total Experience profile per customer. If those programmes are live, splitting them across small tools will cost more than it saves.
05
What moving off Medallia involves
01
Count the records you really send
Medallia sells by Experience Data Record, so ask what volume each programme generated last year. That number sets the budget for tools priced by responses, seats or active users, and it shows which programmes could simply stop.
02
Export survey history and closed-loop cases before the term ends
Request raw responses, comments, scores and the action history in a file format your new tool can import. Agree who holds the archive, and check whether trend lines will survive the break.
03
Rebuild the survey triggers and integrations, then run both side by side
Triggers, segments and the Salesforce or ServiceNow links will not carry over. Run one programme in the new tool for a full cycle, with Medallia still live, before moving the rest.

Questions about replacing Medallia
7 answers
What is the best alternative to Medallia for a small team?
Refiner ranks first in our list. It runs in-app, web, mobile and email surveys, with unlimited responses and team members from the Essentials plan, and it is built by a French team.
Featurebase, Usersnap and Survicate follow, each with prices or plans published on their sites.
How much does Medallia cost?
Medallia does not publish an amount. Its pricing page says pricing is a single Experience Data Record metric in annual tiers, with unlimited users, and offers a demo or a sales contact.
Tools such as Canny, Qualaroo and Usersnap print prices, which makes a first comparison possible.
Is there a Medallia alternative that is not American?
Refiner is French, Survicate Polish, Featurebase Estonian and Usersnap Austrian. Canny, Qualaroo, AskNicely, UserVoice, Birdie and InMoment are American, and Sprig does not state a country on the pages we read.
Which tool replaces Medallia for NPS surveys only?
AskNicely runs NPS and CSAT with unlimited users from 500 responses a year, on annual contracts. Refiner and Survicate send NPS inside products and by email at a lower entry point. Qualaroo lists NPS, CSAT and CES tracking even on its free plan.
Can I collect feature requests instead of survey answers?
Yes. Canny, Featurebase, UserVoice and Usersnap collect requests and ideas. Canny's Free plan covers 25 tracked users, and Featurebase's free plan has one seat. None of them substitutes for Medallia's contact-centre or employee programmes.
Which alternative analyses feedback we already have?
Birdie. It reads NPS data, reviews, tickets, calls and social mentions and groups them into themes, but sends no questionnaires. If you also need to collect new answers, pair it with a survey tool.
Does any alternative offer a self-serve trial?
Refiner gives 30 days with 100 responses, Survicate 10 days without a card and Usersnap a free month of Premium after setup. UserVoice starts its 30-day trial after a demo, while AskNicely, Birdie, Sprig and InMoment lead with demos.
