Zoho CRM alternatives: 11 CRM tools compared

Zoho CRM alternatives are sought by small teams that outgrow the free edition, and by companies that want the sales tool to be simpler, more established or part of a different suite. Some want a pipeline-only tool, some a larger platform with a wider partner network. They move to focused CRMs, to the big enterprise vendors, or to suite products.

Short answer: The closest replacements for Zoho CRM in our CRM ranking are HubSpot, Pipedrive and Salesforce. Choose HubSpot if marketing and sales share one database and you can accept per-seat plus contact-tier pricing. All 11 alternatives below are ranked products from Best CRM Software in 2026, and each says where it differs from Zoho CRM.

Vendors can pay for visibility on this site; it never changes what we say about a product. How that works.

Zoho CRM

#11 of 14 in our CRM ranking

Why buyers look past Zoho CRM

  1. 01

The free edition ends at three users

Zoho's free edition supports a maximum of 3 users and includes leads, workflow automation, standard reports and mobile apps. It also caps API calls at 5,000 a day, custom email templates at 10 and data exports at 10. A team of four or five has to buy Standard for everyone, so the free tier works as a trial for most growing sales teams.

  2. 02

Features are spread across four paid editions

Zoho's paid editions run Standard, Professional, Enterprise and Ultimate, billed per user. Email integration, calling and multiple pipelines start on Standard. AI agents, inventory management and CPQ start on Professional. Approval processes and multi-team management start on Enterprise. A team needing one feature from each tier ends up on the highest edition.

  3. 03

The product is wide, and the learning curve follows

Zoho CRM covers sales automation, AI assistance through Zia, inventory and CPQ in one product. For a three-person sales desk that mostly needs a pipeline and a mailbox, much of that is unused configuration. Teams in that position often prefer a tool with fewer concepts to learn.

Switch from Zoho CRM if marketing and sales share one database and you can accept per-seat plus contact-tier pricing.

Switch from Zoho CRM if your team lives in a deal pipeline and wants little beyond it.

Pipedrive, #1 of 14 in our CRM ranking →

Salesforce

When Zoho CRM is still the right choice

Zoho CRM remains the right choice for a small team that wants a published free edition for up to three users, a clear per-user ladder and the option to grow into AI agents, inventory or CPQ without changing vendor. If your volumes stay inside the free-edition limits, or you will use the features on the Standard and Professional editions, the move to another tool buys little.

05

What moving off Zoho CRM involves

  1. 01

Export contacts, deals and history separately

Zoho's free edition caps data exports at 10, so plan the export run and check the allowance on your edition before you need it. Confirm that notes, activities and attachments are included, since many importers take contacts and deals only.

  2. 02

Rebuild workflows and approvals by hand

Workflow automation, approval processes and custom functions are tied to Zoho's edition structure. Expect to rebuild them, and compare the automation allowances on the target plan, which several competitors cap per month.
