When Salesforce is still the right choice

Keep Salesforce if you run a large sales organisation with complex territories, an administrator on staff and a process no packaged CRM can model. Its extensibility and partner ecosystem are real advantages at that scale, and the implementation cost has already been paid. The pipeline tools here were never designed for hundreds of sellers across overlapping territories, and moving would mean rebuilding that logic somewhere else.

What moving off Salesforce involves

    Your configuration does not come with you

    Records export; the platform built around them does not. Every custom object, rule and territory someone was paid to configure has to be rebuilt in the new system or deliberately dropped. Use the move to list what the sales team actually uses, which is usually far less.

    Find a home for each add-on

    Sales Cloud rarely stays alone, so list every add-on on the current contract and decide what replaces it. Some alternatives cover marketing or service in the same product, others leave them to separate tools. An add-on nobody replaced is how a migration ends up running two systems.

    Years of history, and what to leave behind

    A long-running Salesforce instance holds duplicates, dead leads and notes in free-text fields. Import what sellers will use and archive the rest somewhere cheaper. Map the old stages onto the new pipeline before the cutover date, and run your real export through the new import tool during the trial.

Microsoft Dynamics 365 Sales is the nearest in scale and governance, and it makes most sense when the company already runs on Microsoft 365 and Azure.

It shares the main drawback: implementation partners are effectively mandatory, and storage and add-ons are priced separately from the seat.

Is there a cheaper alternative to Salesforce with similar features?

Zoho CRM is the usual answer. It includes territory management, forecasting and a workflow engine at a published per-seat price, and competes feature for feature with far more expensive software. Expect a busy interface and a product that assumes you will add other Zoho applications.
