File transfer services send files too big for email by giving the recipient a download link. The market splits into free senders with a size cap, subscription tools that add storage and branding, and per-gigabyte platforms built for media and enterprise.
This guide ranks twelve on ninety-day effort, price once limits bite, exit, independence and fit.
Vendors can pay for visibility on this page. It never changes what an entry
says about a product, including the criticism, and we earn nothing when you click through to a
vendor. How that works.
In short
What file transfer software does
File transfer software uploads large files or folders to a server and gives the recipient a download link, usually with expiry, password protection and tracking, so nothing is attached.
In this order: setup effort, what it really costs, how your data comes back out, whether
you can leave, and who each file transfer tool is built for. One rule sits on top of those tests:
Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Why those five, and why there is no
score out of ten, is on the how we work page.
Pay per GB, monthly plans and licence, published; free 14-day trial
—
Organisations moving very large datasets across long distances on a fixed budget
Small teams sending files to clients a few times a month
Country is where the vendor is headquartered or contracts from, which is a
different question from where your data is hosted. Where the two tell different stories, the
entry says so.

ShareFile solves the client side of storage: a branded portal where a client uploads last year's statements, a request that chases missing files, an approval step and an e-signature, all logged. Accountants in particular have run on it for years.

File transfer software uploads large files or folders to a server and gives the recipient a download link, usually with expiry, password protection and tracking, so nothing is attached. The differences that matter are rarely in the feature list, so this is
the order we would work through them.
01
Decide whether you need a published price
12 of the 12 tools here publish what they cost; the other 0 quote per organisation. The ones you can compare without a sales call: TransferNow, SwissTransfer, Smash, Filemail, MASV, Tresorit Send, Hightail, WeTransfer, Signiant Media Shuttle, ShareFile, Dropbox, IBM Aspera.
02
Decide how much the jurisdiction matters
These 12 vendors are established in 6 countries across 2 regions (North America 6, Europe 6). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.
What a free file transfer tier really limits
Every sender here advertises a free tier, and the limits differ in kind, not just size. SwissTransfer allows 50 GB per transfer but stops at 250 downloads. TransferNow caps at 5 GB and keeps files for seven days with no stored copy. Smash allows 2 GB at normal priority and queues anything larger behind paying users. WeTransfer counts transfers, allowing 10 or 3 GB in any rolling 30 days.
Hightail Lite accepts only 100 MB files. A free tier that fits your largest regular file today can fail in a month, so test it with your real deliverable, note which limit stops you first, and ask what the recipient sees when a transfer is refused. Our rankings favour tools whose free limit is stated plainly on the page, since a surprise limit costs hours during the first ninety days.
Largest file you send in a normal month against the free cap
Whether limits count size, transfers, downloads or days
How long the link lives and whether you can recover it
Per seat, per gigabyte or per year
Transfer tools bill in three incompatible ways. TransferNow, Hightail and ShareFile charge per user or plan, and ShareFile needs three users minimum. MASV charges per gigabyte moved with no seats, and its annual tiers need a 12-month commitment. Signiant sells yearly packages with a published starting price, and IBM Aspera offers pay-as-you-go, monthly plans and a licence.
Model one quarter of your real traffic under each method. A team sending a few large videos a month and a firm sending daily client documents will find opposite winners, and the cheapest headline can reverse once volume or team size is added. Also check who pays when a recipient uploads to you, because drop-off links and requests are sometimes limited to higher tiers, and whether trial usage converts to a contract automatically.

Which features sit behind the top tier, such as SSO or a custom domain
Where files are stored and how they leave
A transfer link is temporary by design, so the exit question is about what you must keep. Smash limits availability to 30 days. SwissTransfer allows 30 days free and longer on paid offers. Dropbox Transfer follows the plan: Basic and Plus links last seven days. Storage region matters for some buyers: SwissTransfer keeps files in Infomaniak's Swiss data centres, TransferNow lets Premium users choose a region, and Filemail Business can choose a data location.
Check where the sent file lives afterwards, because a transfer tool is not an archive and nothing here promises to hold your only copy. Ask for the deletion schedule: Dropbox deletes expired transfers 30 days after expiry on Basic and Plus and 180 days after on paid team plans, which affects what you can recover after a mistake.

How you export transfer history and download reports
Delivery to clients, media pipelines and regulated work
Match the tool to the receiving end. Agencies sending to clients need a branded download page, which Smash, TransferNow and Hightail sell on paid tiers. Media teams moving camera files lean on MASV, Signiant Media Shuttle or IBM Aspera, built for very large volumes. Regulated work needs sign-on and logs: Filemail Business lists SAML and audit logs, TransferNow lists SSO at Enterprise, and WeTransfer Enterprise lists audit logging and SCIM with a 50-user minimum.
Ask each vendor what the recipient sees, whether they need an account, and what the sender can prove afterwards. A tool that suits a creative studio can fail a legal or finance review if tracking cannot be exported, so involve whoever signs off security before you pick a tier.

What goes wrong most often when buying file transfer software
Choosing from the free tier without testing a real file, then discovering a size, download or queue limit on delivery day.
Comparing per-seat plans with per-gigabyte billing on headline rates instead of on a month of actual volume.
Treating a transfer link as an archive when availability ends after days or weeks and files are deleted.
Paying for an enterprise sender when a dedicated drop link and a password already meet the client's request.
