Help desk software is bought for the ticket queue and regretted over the price of the channels around it. We rank on what a full agent seat costs once messaging, voice and a knowledge base are included, how the automation handles volume without insulting customers, and how quickly the conversation history exports.

Full disclosure.
In short
What help desk software does
Help desk software turns customer messages from email, chat and other channels into tracked tickets, routes them to agents, and reports on how long each one took to resolve.
Four things, in this order: how much setup the first ninety days take, what the price becomes
once the modules a normal buyer needs are added, how your data comes back out if you leave,
and who the product is genuinely for. Feature counts are the least useful comparison in
software, because every vendor ticks every box.
We do not publish a score out of ten. A number like 8.4 is a judgement dressed as a
measurement, and nobody can check it. What you can check is on this page: what each product
costs, where the vendor is established, whether the price is published, and what we think it
is bad at. Our full method is on the how we work page.
A store where agents need order context in the ticket
Country is where the vendor is headquartered or contracts from, which is a
different question from where your data is hosted. Where the two tell different stories, the
entry says so.

Freshdesk gives you routing, SLAs, a knowledge base and automation at a price the incumbent charges for the ticket queue alone, and the free tier is usable rather than a trap. For a growing support team it removes the choice between capability and budget. Reporting and the mobile app trail Zendesk, and the automation builder gets fiddly once you have more than a dozen rules interacting.

Zendesk's advantage is the ecosystem: an app for every adjacent system, a large pool of agents who already know it, and reporting mature enough for a support operation to be managed on. Everything works and nothing surprises. The price is the highest here once per-channel add-ons are counted, and simple requirements — a satisfaction survey, a second brand — often mean another app rather than a setting.

Intercom owns in-product support: the messenger, product tours and an AI agent that resolves a real share of conversations rather than deflecting them into a queue. For a software company supporting users inside the application, nothing else is as coherent. Pricing mixes seats, reachable contacts and AI resolutions, which makes forecasting the bill genuinely difficult before you have run it for a quarter.

Help Scout deliberately hides the machinery: customers get replies that look like email, not case numbers, which suits businesses where support is part of the brand. Shared inbox, saved replies and a simple knowledge base cover most of what a small team needs. It is not built for telephone queues, strict SLA reporting or agent pools in the dozens.

Zoho Desk offers multi-brand portals, SLAs, telephony and automation at a fraction of the category price, and if the rest of your stack is Zoho the customer context flows through without connectors. Standing alone it feels less coherent, and the interface conventions take adjusting to. For a company already inside the suite it is close to a default.

Front is the right shape when support, sales and operations answer the same mailbox and need to draft replies together, with internal comments that never reach the customer and assignment that behaves like a shared inbox rather than a ticket system. Help desk software turns customer messages from email, chat and other channels into tracked tickets, routes them to agents, and reports on how long each one took to resolve. The differences that matter are rarely in the feature list, so this is
the order we would work through them.
01
Decide whether you need a published price
8 of the 8 tools here publish what they cost; the other 0 quote per organisation, which means a sales conversation before you can compare anything. If you are buying without a procurement function, start with the ones that publish: Freshdesk, Zendesk, Intercom, Help Scout, Zoho Desk, Front, Jira Service Management, Gorgias.
02
Work out what the first ninety days cost in time
Licence cost is the number in the contract; setup effort is the number that surprises people. Ask every shortlisted vendor who does the configuration, how long it took the last customer of your size, and what happens if that person leaves halfway.
03
Check the exit before the entry
Ask for an export of your own data in a format you can open, and ask whether it is included or billed as a project. A vendor that hesitates here is telling you what renewal negotiations will feel like in three years.
04
Match the tool to the size you are, not the size you plan to be
Most regret in this category comes from buying for a headcount that never arrived. The entry-level products here are not worse; they are aimed at a different company.
05
Decide how much the jurisdiction matters
0 of these 8 vendors are established in Europe. Where a vendor is established decides which government can compel access to what it holds, which is a different question from where the servers are. For most buyers that is a factor, not a veto.
What goes wrong most often
Shortlisting on a feature matrix. Every vendor ticks every box, so the matrix tells you nothing and costs a week.
Testing with clean data. Import the messy export from the system you are replacing, because that is what the first week will actually look like.
Letting the demo be run by the vendor. Ask for a sandbox and do your own three most common tasks in it, timed.

Frequently asked questions

What is the best help desk in 2026?
Freshdesk leads our ranking of 8. Gives you routing, SLAs and a knowledge base at a price the incumbent charges for the queue alone, and the free tier is genuinely usable. Built in Chennai, incorporated in California. Reporting and the mobile app trail Zendesk.
How did you rank these help desk tools?
On what separates products after the demo: how much setup the first ninety days take, what the price becomes once the modules a normal buyer needs are added, how your data comes back out, and who the product is genuinely for. Not on feature counts, and not on a score we invented.
Which help desk tools publish their pricing?
Freshdesk, Zendesk, Intercom, Help Scout, Zoho Desk, Front, Jira Service Management, Gorgias. The other 0 quote per organisation.
Is there a free help desk option?
Freshdesk, Zoho Desk, Jira Service Management offer a free tier or a free self-hosted edition. Read what the free tier excludes before you plan around it.
Which help desk vendors are European?
None of the tools in this category are established in Europe.
Do you get paid for these rankings?
Some links on the page are commercial and commercial relationships can affect which products we cover and where they appear. They never change what an entry says, including the criticism. The full arrangement is on our disclosure page.
How often is this help desk guide updated?
Whenever the facts move: a price change, an acquisition, a product that stops being maintained. The published and updated dates at the top of the page are real, and a review means someone went back to the vendor documentation rather than bumping a date.
Not on this list, or listed and unhappy with what it says? A factual correction is free and
applied whoever asks for it. If you want the product taken apart properly, we do
commissioned analysis — you see it before it is
published, and the judgements stay ours.
