Zoho Desk alternatives: 11 help desk tools compared

People look for a Zoho Desk alternative when the per-user ladder puts phone, multiple departments or a sandbox two or three editions above the entry price, or when they want hosting and data exit under their own control. Most move to another ticketing help desk with a different price curve, to a self-hostable open-source option, or to a shared inbox with fewer moving parts.

Short answer: The first three alternatives to Zoho Desk in our help desk ranking are Freshdesk, Zendesk and Help Scout. Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Choose Freshdesk if you want a similar per-agent ladder with a published AI session price. All 11 alternatives below are ranked products from Best Help Desk Software in 2026, and each says where it differs from Zoho Desk.

Vendors can pay for visibility on this site; it never changes what we say about a product. How that works.

Zoho Desk

#11 of 14 in our help desk ranking

  • Pricing: Free plan for 3 users; paid per user per month, published

  • Built for: A company already on Zoho that wants a full help desk at a low seat price
  • Not for: A team that wants the most polished interface

Why buyers look past Zoho Desk

  1. 01

    Features sit on a five-step per-user ladder

Zoho Desk lists a free edition plus Express, Standard, Professional and Enterprise, all priced per user per month and billed annually. Phone support, multiple departments and the round-robin rule arrive at Professional, while the sandbox, live chat through Zoho SalesIQ and the multi-brand help centre arrive at Enterprise. A team that needs one Enterprise item pays the Enterprise rate for every full agent.

  2. 02

The free edition is small and the trial ends in a downgrade

The free edition covers 3 users with limited features, and the pricing FAQ says service-level agreements are not available in it. The 15-day trial needs no credit card, and when it ends the account falls back to the free edition. The page we read was priced in rupees with a currency selector, so a buyer outside India should confirm the figure in the chosen currency before comparing.

  3. 03

    Leaving takes planning

Zoho Desk backups are created from Setup, Data Administration, and only the primary contact can create and download them. The result is one ZIP of CSV files per module, attachments are delivered as secure links that must be fetched through the API, and links expire after 7 days. After a full backup the next one has to wait 30 days, and forum topics are not included.

Zendesk, #9 of 14 in our help desk ranking →

Help Scout

A shared-inbox help desk with a Free plan for up to 5 users, then Standard at $25, Plus at $45 and Pro at $75 per user per month. The free plan has 1 inbox and 100 contacts a month. Its free plan limits you to 10 saved replies and 10 tags.

Switch from Zoho Desk if your support runs on email and chat and you want a smaller product with a free tier for 5 users.

Help Scout, #2 of 14 in our help desk ranking →

Zammad

Germany · Free self-hosted; managed cloud published per agent

Cloud at $39, $59 and $99 per agent per month, but with agent minimums of 5, 10 and 25 at those tiers. Lite agents start in the middle tier. Deskpro Private is the same product installed on-premise or in a private cloud, with pricing on request, which Zoho Desk does not offer.

Switch from Zoho Desk if you need the help desk installed on your own servers or private cloud.

It is built for IT and internal service teams, with alerts, on-call schedules, asset management and change approvals. Its feature list centres on service-desk work, not on customer-support channels such as social messaging.

Switch from Zoho Desk if the main users are internal IT or operations teams, not outside customers.

Jira Service Management, #12 of 14 in our help desk ranking →

Front

United States · Per seat per month, published, $25 to $105 billed annually; 14-day trial only

A shared inbox with ticketing, priced per seat: Starter $25 for up to 10 seats, Professional $65 for up to 50 seats and Enterprise $105. The Starter plan allows a single channel type. Front, #3 of 14 in our help desk ranking →

Crisp

Crisp, #7 of 14 in our help desk ranking →

Intercom

United States · Per seat per month, published; AI agent charged per outcome

Per-seat plans at $29 (Essential, shown at $19 for new customers), $85 (Advanced) and $132 (Expert) per month, plus its Fin AI agent from $0.99 per outcome. Advanced includes 20 free Lite seats and Expert 50. Cost therefore moves with the number of AI-resolved conversations as well as with seats.

Switch from Zoho Desk if you want an AI agent doing a large share of answers and can budget a per-outcome fee.

Intercom, #10 of 14 in our help desk ranking →

HubSpot Service Hub

United States · Free tier; paid per seat per month, published

Free for up to 2 users, then Starter, Professional and Enterprise per seat. Professional and Enterprise carry required one-time onboarding fees of $1,500 and $3,500 on the page. It sits inside the HubSpot CRM family, so the case is strongest for teams already tracking contacts there.

Switch from Zoho Desk if your sales and marketing already run on HubSpot and you want support records on the same contacts.

HubSpot Service Hub, #13 of 14 in our help desk ranking →

Gorgias

United States · Per month by ticket volume, published

Built for online shops, with integrations for Shopify, WooCommerce, BigCommerce and Magento. The helpdesk is priced by ticket volume, never per agent: $10 for 50 tickets, $60 for 300 and $360 for 2,000 tickets a month on monthly billing. The AI agent is extra, and it is a poor fit outside e-commerce.

Switch from Zoho Desk if you run an online shop and want a price based on tickets instead of the number of agents.

When Zoho Desk is still the right choice

Zoho Desk remains a sound choice when a small team wants a free edition for 3 users to start and a per-user ladder that adds phone at Professional and 50 light agents at Enterprise. It also suits buyers who value a tool that can run in several Zoho data-centre regions, and who accept that backups must be requested by the primary contact. Stay if your needs fit within one edition. Move if one feature forces the whole team up a tier.

05

What moving off Zoho Desk involves

  1. 01

Take the backup before the trial ends

Ask the primary contact to run a full backup well before cancelling, because only that person can create and download it and the next full backup is 30 days away. Then run a custom backup for the final weeks (up to 31 days each). Fetch the attachments through the API while their links are valid, since the ZIP holds CSV files and links only.

  2. 02

Count seats by role before you compare prices

Zoho Desk charges light agents separately on Professional and includes 50 on Enterprise. Alternatives treat the same people differently: Help Scout Pro allows up to 50 light users, Intercom Advanced includes 20 free Lite seats, and Deskpro offers lite agents from its Professional tier. List full agents, viewers and approvers first, then price each vendor on that split.

Questions about replacing Zoho Desk

6 answers
Is there a free version of Zoho Desk?

Yes. The free edition gives 3 users with limited features, and the pricing FAQ says SLAs are not available in it. A 15-day trial of the paid editions needs no credit card and falls back to the free edition when it ends.

Which company makes Zoho Desk?

Zoho Desk is a product of Zoho Corporation Private Limited, which owns the Zoho trademark according to its terms, and its contact page lists an office in Chennai, India.

Can Zoho Desk data be exported?

Yes, through Data Administration. A backup is one ZIP of CSV files per module. Attachments are provided as secure links fetched through the API, forum topics are excluded, and only the primary contact can create it.

Which alternative can I run on my own servers?

Zammad is open source under AGPLv3 and can be self-hosted, with paid support contracts. Deskpro Private installs on-premise or in a private cloud, with pricing on request.

Which alternative is priced by workspace or ticket volume instead of per user?

Crisp charges per workspace with seats included, and Gorgias prices its helpdesk by monthly tickets and never per agent. Gorgias is aimed at online shops.

Is there a cheaper per-agent ladder than Zoho Desk Professional?

Zoho's page was shown in rupees, so compare in your own currency. Freshdesk Pro is $55 and Zendesk Suite Team EUR 55 per agent per month billed annually. Check the features you need before treating that as like for like.
