A booking link and a booking system are different purchases
Calendly, YouCanBookMe and Microsoft Bookings solve the problem of a person sharing their availability. TIMIFY, SuperSaaS and Appointedd solve the problem of a business allocating capacity. The second kind has to understand that a physiotherapy session needs a therapist, a treatment room and sometimes a machine, all free at the same moment, and that if the machine breaks the affected bookings must be found and moved.
Personal tools model a person and a time and nothing else. The prices look comparable because both quote a modest monthly figure, which is why buyers on the wrong side of this line only discover it during implementation, usually when someone asks how to stop two clinicians booking the same room.
Write down one real appointment and list everything it consumes besides a person's time.
If the list has more than one item, remove the personal booking tools from the shortlist.
Ask what happens to existing bookings when a room or machine becomes unavailable.
No-shows, deposits and who holds the money
Reminders reduce no-shows; deposits end them. The question is who processes the card. Acuity takes a deposit through your own payment provider and leaves the relationship alone. Fresha charges a low subscription and earns on its in-house payments and a fee on new marketplace clients, which makes it cheap on day one and, if you take payments through it, harder to leave in year three, because switching means moving scheduling and money at once.
Check whether the deposit is refundable through the software, what the cancellation window does automatically, and whether the customer record and payment history export together. A business that takes deposits without agreed cancellation rules will spend more time arguing about refunds than it saved on empty slots.

Every product here wants access to a calendar, and in a Microsoft or Google organisation that request often needs administrator consent rather than a user tick. This is where Microsoft Bookings wins without being better software, since it runs inside the tenant and grants nothing new, and where Cal.com offers a choice of US or EU hosting on its Organizations plan, with on-premise access reserved for enterprise customers. Ask each vendor where the booking data is stored, how the calendar token is protected, and what happens to both when the subscription ends.
Get the exact OAuth scopes in writing and show them to whoever administers your tenant.
Ask whether appointment content is stored by the vendor or only referenced in your calendar.

Test the ugly week, not the empty one
Demonstrations use an open calendar. Your business has a Tuesday with a staff absence, a double booking, a customer in another time zone and a bank holiday that only applies to one branch. Load a real week during the trial and break it deliberately.
