Qualio alternatives: 11 quality management tools compared

Qualio sells a cloud quality system to pharma, biotech, medical device and software companies, and its pricing page now opens at 25,000 dollars a year. Teams look elsewhere when that floor is out of proportion to a ten-person company, when the tool has to cover a factory floor instead of a document library, or when they would rather buy from a vendor in their own region. Some want a device-only structure, some want on-premise, and some simply want a quote built around fewer editors.

Short answer: We open the ranking with smaller vendors and put the established brands from fourth place onward. For Qualio users, the top three picks from our quality management ranking are Scilife, SimplerQMS and ZenQMS. Pick Scilife if you want a similar life sciences cloud QMS from a Belgian vendor and a trial first. Each of the 11 alternatives sits in Best Quality Management Software in 2026 and is described against Qualio.

Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.

Qualio

#8 of 18 in our quality management ranking

  • Pricing: Annual subscription by plan (Foundation, Growth, Scale) and edit-user count, quoted; implementation fee on every plan
  • Established in: Ireland
  • Built for: Biotech, pharma and device start-ups preparing for their first regulatory audit
  • Not for: General manufacturers that only need certification against ISO 9001

Why buyers look past Qualio

  1. 01

A flat fee that starts at 25,000 dollars

Qualio's pricing page says plans start at 25,000 dollars per year, billed annually with multi-year options. The fee is flat per plan but rises with the plan, the compliance domains carried, sites and connected systems, and licensed users. For a start-up that only needs controlled documents and training records before a first audit, that opening figure is the main reason to compare.

  2. 02

Edit seats are capped by plan

Only people who author, review and approve are licensed: Foundation lists 5 edit users, Growth 10 and Scale 10 or more, while basic users who read and train are unlimited. That suits a small quality team. A company where many engineers or managers must approve records can reach the limit early and be pushed to a higher plan.

  3. 03

Scope stops at life sciences software and devices

The site names pharma and biotech, medical devices, and software and AI, with frameworks such as ISO 13485, QMSR and ISO 42001. Nothing on the pages we read covers inspection planning or gauge calibration, and Foundation and Growth are single-site plans, with multi-site only on Scale. A manufacturer with several plants fits less well.

What each one does differently

Scilife

Belgium · On request

Scilife is a Belgian cloud QMS sold in three plans, Essential, Core and Core+, tiered by module set, with a trial on offer. Our category record credits it with electronic signatures, training management and a validation package for European pharmaceutical and device firms. A small vendor, it does more configuration for you itself, and it is not meant for general manufacturing quality.

Switch from Qualio if you want a similar life sciences cloud QMS from a Belgian vendor and a trial first.

SimplerQMS

Denmark · Published

SimplerQMS, from Denmark, is the only one in this list with a published entry price: Starter at 17,500 US dollars a year for up to 15 users. That subscription bundles implementation, IQ/OQ/PQ validation, data migration and hosting on AWS and Azure. Staff draft controlled documents in Word and Excel, while approval and audit trail stay in the system. Licence types gate which modules each user gets.

Switch from Qualio if a published starting price below 25,000 dollars and Word-based drafting appeal to you.

ZenQMS

United States · On request

ZenQMS is a small Pennsylvania company selling one eQMS to GxP firms in three packages, Calm, Clarity and Mastery. Documents, training, issues, CAPA, change control and audits sit in every package, and a built-in user range replaces per-seat charges. Higher packages and add-ons such as SCORM training and Insights Pro cost more. Quotes are given per organisation, and the integration list is short.

Switch from Qualio if you want every core module in the base package and a user range instead of seat counting.

ZenQMS, #7 of 18 in our quality management ranking →

Greenlight Guru

United States · Published

Greenlight Guru builds its quality system around the design history file, ISO 14971 risk management and the traceability matrix, and says validation documentation is updated with each release at no extra charge. Subscriptions start at 12,000 US dollars a year, with implementation quoted apart. It is meant for medical devices only, and hosting is American.

Switch from Qualio if you make medical devices and want design controls and risk files already shaped for you.

Greenlight Guru, #14 of 18 in our quality management ranking →

AssurX

United States · On request

AssurX is a US vendor with under two hundred staff that has sold a configurable QMS to FDA-regulated manufacturers since 2000. It is among the few here still licensing on-premise next to the cloud, and solutions ship with validation documentation. Implementation is a services project, nothing about price is public, and the interface looks older than that of the newer cloud tools.

Switch from Qualio if you want to run a regulated QMS on your own servers rather than only in a vendor cloud.

Why AssurX is #13 among 18 quality management products →

QT9 QMS

United States · On request

QT9 QMS puts about twenty modules into one licence: documents, CAPA, audits, calibration, supplier quality and training, with IQ/OQ/PQ validation and unlimited training and support in the quote. Pricing follows concurrent users, deployment and sites rather than named editors. It can be installed on-premise, which helps with data residency worries, though each module is shallower than a specialist product.

Switch from Qualio if you want gauge calibration and supplier quality included and prefer concurrent licences to named editors.

Open the QT9 QMS profile, 9th of 18 in the quality management guide →

Intellect

United States · On request

Intellect, from Los Angeles, builds its QMS as configurable apps, so document control, CAPA, calibration and training forms can be reshaped by your own staff without waiting on the vendor. Our record places it between fixed-path tools and Octave Reliance for flexibility, at lighter weight. Someone must own the configuration, pricing is quoted per organisation, and its validation package is less mature than MasterControl's.

Switch from Qualio if your quality process is unusual and you have an administrator who will shape the forms.

Intellect holds rank 10 among 18 entries in our quality management guide →

roXtra

Germany · On request

roXtra is a German system that starts from versioned, approved documents with a reading-confirmation trail, then adds CAPA, audits and risk as paid modules. It runs on-premise or hosted in Germany and is licensed per user on a quote. The interface is German-first and functional, and the workflow engine is less flexible than the enterprise platforms.

Switch from Qualio if your first aim is ISO 9001 document control and a German hosting option matters.

Why roXtra is #1 among 18 quality management products →

MasterControl

United States · On request

MasterControl has served pharmaceutical and device manufacturers for a long time, and its validation tools are included in the packages, with extra validation support sold apart. Pre-configured, pre-validated packages exist for emerging companies. Licences are named-user and quoted, implementation is a substantial separate line, and upgrades arrive as events rather than routine releases. The interface still shows its age.

Switch from Qualio if an inspector or customer expects a long audit history and a validated environment.

MasterControl, #16 of 18 in our quality management ranking →

Veeva QMS

United States · On request

Veeva QMS puts deviations, CAPA, change control and documents on the Vault platform beside regulatory and clinical content. It is an enterprise subscription priced per application, and full deployments normally run through Veeva services or partners. Emerging biotechs can take the pre-configured QMS Basics edition without an implementation project. Outside a Vault estate, the case for it thins quickly.

Switch from Qualio if your submissions and clinical content already sit in Veeva Vault.

Octave Reliance (formerly ETQ Reliance)

United States · On request

Octave Reliance, formerly ETQ Reliance, is now sold by Octave, the standalone company Hexagon spun off in 2025. Its workflow engine bends furthest in this list, and drag-and-drop builders let quality teams change workflows themselves. A multi-site build is still a project, pricing is quoted, configuration services cost extra, and a single site under two hundred people will find it oversized.

Switch from Qualio if you run several sites with quality processes that no preset workflow fits.

Which alternative for which situation

  1. 01

You want a published price well under 25,000 dollars

SimplerQMS: Starter is listed at 17,500 US dollars a year for up to 15 users, with validation, migration and hosting bundled.

  2. 02

You make medical devices and nothing else

Greenlight Guru: The system is built around design controls, ISO 14971 risk and the traceability matrix, from 12,000 US dollars a year.

  3. 03

You want a Belgian vendor with a trial

Scilife: Three plans tiered by module set, with electronic signatures, training and a validation package for European life sciences firms.

  4. 04

You must keep the QMS on your own servers

AssurX: It licenses on-premise as well as cloud and ships solutions with validation documentation, though price is not public.

  5. 05

You run several sites with unusual workflows

Octave Reliance (formerly ETQ Reliance): Drag-and-drop builders let quality teams reshape workflows, but a multi-site build is still a project.

04

When Qualio is still the right choice

Qualio is the right call when a young regulated company needs to be audit-ready quickly and has a small quality team. Documents, training, CAPA and change control arrive preconfigured, a validation pack ships with every major release, and the vendor says typical deployments go live in under 60 days. Integrations with Jira, SharePoint and OneDrive let engineers keep working in familiar tools. If the budget clears the 25,000 dollar floor, that speed is hard to match.

05

What moving off Qualio involves

  1. 01

Records and signatures need a migration plan

Approved documents, training history, CAPA and supplier records carry the audit trail an inspector reads. Agree with the new vendor how each is imported, how e-signature history is kept, and keep the Qualio export as a read-only archive until the next audit has passed.

  2. 02

    Revalidate before switching users over

A new system needs its own validation evidence before it holds controlled records. Ask each vendor what its validation pack covers, run your own checks on a sample of live procedures, and plan the cutover between audits instead of around one.

  3. 03

Linked tools have to be reconnected

Qualio reads from Jira, SharePoint or OneDrive, support tools and CRMs, and writes training links to ComplianceWire. List every connection in use, check whether the replacement offers the same, and decide who maintains it afterwards.

Questions about replacing Qualio

6 answers
What does Qualio cost?

Its pricing page says plans start at 25,000 dollars a year, billed annually with multi-year options. The fee is flat per plan and depends on plan, compliance domains, sites and connected systems, and licensed users.

Implementation is described as guided and scoped by plan, with no separate amount listed on the page we read.

How many users does a Qualio plan include?

Foundation lists 5 edit users, Growth 10 and Scale 10 or more. Basic users who only read and train are unlimited on all three plans. Only people who author, review and approve records need a licence.

Is there a free trial of Qualio?

The Foundation and Growth plans carry a start for free button, while Scale says to talk to sales. The pricing page does not state the length or terms of that trial, so ask before you plan around it.

Which alternative publishes a price?

SimplerQMS lists Starter at 17,500 US dollars a year for up to 15 users, and Greenlight Guru starts at 12,000 US dollars a year. SimplerQMS bundles implementation and validation, while Greenlight Guru quotes implementation separately.

Which options offer on-premise installation?

AssurX, QT9, roXtra, Babtec and CAQ.Net all list on-premise licences alongside cloud or hosted versions in our category records. Qualio is cloud only in our record, so a move to on-premise is a real change in who runs the system.

Does Qualio suit a manufacturer?

Its pages describe pharma, devices and software, with frameworks such as ISO 13485 and QMSR. We saw nothing about inspection planning or gauge calibration. Factory quality teams usually compare CAQ-style suites such as Babtec or QT9.
