Wrike alternatives: 11 project management tools compared

Teams look for a Wrike alternative when its tier structure becomes the problem: advanced resource planning and budgeting sit on quote-only plans, while the published plans stop at 15 or 200 users. Some move to cheaper per-user tools, others to a tool with simpler tiers, and a few to open-source or German-hosted options.

Short answer: The closest replacements for Wrike in our project management ranking are Asana, monday.com and ClickUp. Choose Asana if you want a similar ladder of plans with portfolios and goals at the Advanced tier. All 11 alternatives below are ranked products from Best Project Management Software in 2026, and each says where it differs from Wrike.

Vendors can pay for visibility on this site; it never changes what we say about a product. How that works.

Wrike

#11 of 14 in our project management ranking

  • Pricing: Free plan; Team and Business per user per month, published; Pinnacle and Apex by quote
  • Established in: United States
  • Built for: An agency or PMO tracking billable work against plan
  • Not for: A team that wants something people adopt on their own
01

Why buyers look past Wrike

  1. 01

The advanced layer is behind a sales call

Wrike publishes Free, Team at $10 and Business at $25 per user per month. Its advanced resource and capacity planning, budgeting and advanced reporting are listed on Pinnacle, and Apex adds more AI actions; both are priced on request. A team that chose Wrike for resource management then finds the answer to what it costs is a quote.

  2. 02

User bands decide which plan you can buy

The Team plan covers 2 to 15 users and Business 5 to 200 users. A department that grows past 15 is pushed up a tier, and one that grows past 200 into a negotiated plan. Tools with flat or banded-free tiers behave differently, so the growth plan matters more than today's price.

  3. 03

A dense tool for casual contributors

Wrike lists Gantt charts, a workload view, time tracking, proofing and approvals, request forms, resource planning and custom workflows as features. For a team that needs a shared board and due dates, that breadth is more interface than the work calls for, and lighter tools suit it better.

When Wrike is still the right choice

Wrike stays the right choice when the work is delivered to requesters or clients and someone must see capacity before committing. Its published feature set covers Gantt charts, a workload chart, time tracking, proofing and approval chains, request forms that route intake, and resource planning, with deeper capacity planning and budgeting on Pinnacle. If those are used weekly and the Pinnacle quote is acceptable, a lighter tool means rebuilding the same controls from several products.

05

What moving off Wrike involves

  1. 01

Request forms and approval chains need rebuilding

Wrike's request forms route intake and its approval chains run through proofing. Document the forms and who approves what, then rebuild them in the new tool's own form and approval builder. Check on which paid tier the target offers approvals, since several keep them on the second-highest plan.

  2. 02

Time and resource data are the hard part

Time tracked in Wrike can be synced with a finance system. Export the history before the cutover, decide whether the new tool needs it in-app or only in the accounting system, and confirm that workload views in the target exist at the tier you plan to buy.

  3. 03

Migrate by project, not by account

Pick a cutover date for each active project and finish or archive what is nearly done. Start new work in the replacement. Running two tools for one project splits the status reports and the proofing history.
