Proton Mail alternatives: 11 business email hosting tools compared
Teams look beyond Proton Mail when they want hosted business email on their own domain without paying for a whole encrypted suite, or when they need ordinary IMAP access without a bridge app. They move to another privacy-focused mailbox host, to a flat-fee provider that charges per account, or to a server they run themselves.
Short answer: The first three alternatives to Proton Mail in our business email hosting ranking are Tuta, mailbox and Fastmail. Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Choose Tuta if you want encryption by default and accept a vendor-specific client instead of a bridge. All 11 alternatives below are ranked products from Best Business Email Hosting in 2026, and each says where it differs from Proton Mail.
Vendors can pay for visibility on this site; it never changes what we say
about a product. How that works.
Built for: Firms handling sensitive material where the provider must not read it
Not for: Companies needing journaling, archiving or eDiscovery tooling for compliance

Why buyers look past Proton Mail
01
A suite price when the job is a mailbox
Proton's business page lists Workspace Standard at $12.99 per user per month on yearly billing ($155.88 per user per 12 months) and Workspace Premium at $19.99. Both bundle Drive, Meet, VPN and Pass. For a team of ten that is $1,558.80 a year on Standard, which is a lot for people who only need addresses on one domain.
02
Hard caps on domains and on features by tier
Standard supports up to 15 custom email domains with 20 addresses per user, and Premium raises the domain cap to 20. Data retention policies appear only in the Premium column, and the Scribe writing assistant is an add-on on Standard. An agency hosting many client domains meets those caps before it needs the storage.
03
Standard mail clients go through a bridge
Proton describes Mail Bridge as an open-source application that links an account to Outlook, Thunderbird or Apple Mail over IMAP and SMTP, available on paid plans, and it stores mail locally on the machine. Hosts that expose plain IMAP and SMTP need no desktop component, which matters on locked-down or shared computers.

Tuta
Germany · Per user per month, published
The closest match on purpose: encrypted mailbox, calendar and contacts, with servers in Germany and its own web, mobile and desktop apps. Business tiers are Essential (50 GB, 3 custom domains), Advanced (500 GB, 10 domains) and Unlimited (1000 GB). Business prices did not load when we checked, so confirm them on its page.
Switch from Proton Mail if you want encryption by default and accept a vendor-specific client instead of a bridge.
Germany · Per mailbox per month, published; storage add-ons
A German host selling mail only or mail with Drive, Meet and Office. Light is EUR 1, Standard EUR 4 (20 GB mail, custom domains, 50 domain aliases) and Premium EUR 12 per user per month net, with a 30-day trial. Its Light plan lists only three aliases at mailbox.org, with no custom domain.
Switch from Proton Mail if you want a cheaper per-user price and German data centres with an ISO 27001 certificate.
A Melbourne company, independent since 1999. Standard is EUR 6 per user per month (EUR 5 paid yearly) with 60 GB and custom domains; Basic at EUR 4 lists no domain addresses. Third-party apps such as Outlook work with Standard and above, and every plan has 24/7 support and a 30-day trial.
Switch from Proton Mail if you want plain mail clients, shared calendars and a mid-priced plan from an independent vendor.
Switzerland · Free plan with one address; paid per user per month, published; 50% off the first year on annual Business and Enterprise
A Swiss cloud company that says it is wholly owned by its employees. The free tier gives 20 GB of mail and 15 GB of cloud storage; kSuite Pro is listed from CHF 1.76 per user per month with unlimited mail storage and kDrive, kChat and kMeet. Everything is developed and hosted in Switzerland.
Switch from Proton Mail if you want to stay in Switzerland but pay far less per seat and get chat and files too.
Switzerland · Flat plan per account by message volume, published
A bootstrapped Swiss host that prices per account, not per mailbox. Mini is $90 a year, Standard $290 and Maxi $990, each with unlimited mailboxes and domains but daily caps (Mini allows 1,000 incoming and 100 outgoing messages). Support is by email and ticket only, with no phone or chat.
Switch from Proton Mail if you run many addresses or client domains and want to pay by volume, not by seat.
Norway · Per account per year or multi-year, published; sub-accounts added per user
A Norwegian host in Oslo with annual pricing. Micro is EUR 19.95 a year (2 GB, 1 domain), Mini EUR 34.95 (10 GB, 5 domains), Max EUR 79.95 (50 GB, 25 domains). Teammates are sub-accounts billed through a main account, and a 30-day trial needs no card. It lacks a bundled office suite.
Switch from Proton Mail if you want small prepaid plans with sub-accounts per teammate and Norwegian hosting.
Canada · Per user per month by plan, published; plans for healthcare, legal and business
A Vancouver company running since 1999 and sold mainly to healthcare and legal practices. Plans (Basic, Essentials, Growth) add a Business Associate Agreement, secure forms and e-signatures, with custom domains on all three and a 14-day trial. Plan prices did not render for us, and it is not a general office suite.
Switch from Proton Mail if your mail carries client health or legal data and you want forms and a BAA included.
India · Free tier for small teams; paid per user per month, published
Zoho Mail has a Free plan for up to 5 users and one domain, but the page says IMAP, POP and ActiveSync are not included in it. Lite and Premium are billed annually only; Premium lists 50 GB and a 15-day trial. Workplace plans add WorkDrive storage. Amounts did not render on the page we fetched.
Switch from Proton Mail if you want a free starter tier or a path into Zoho's wider business apps.
United States · Flat annual fee per account, published; usage-based pricing above soft limits
A bare-bones host with simple pricing of $10 a year and no hard limits on users, custom domains or storage, plus IMAP, POP3, SMTP and sieve filters. The vendor admits no 24/7 support staff, an interface that some find tricky, and a ban on marketing email. Its infrastructure runs on AWS.
Switch from Proton Mail if you are technical, want the lowest bill for many users and accept self-service support.
United States · Per plan by mailbox count, monthly or annual, published; free trial
Mailboxes on your own domain from a domain registrar's brand, with a 30-day free trial, IMAP, POP3 and SMTP access, a built-in calendar, 99.9% uptime and 24/7 support. We did not verify its plan prices, and the page names no end-to-end encryption, so compare mailbox counts and cost on its own page.
Switch from Proton Mail if you already buy domains there and want ordinary mailboxes without a suite.
Germany · Free and open source; paid support subscription available
Not a hosted service: a dockerized mail server under GPLv3 from The Infrastructure Company GmbH in Willich, Germany, that you install on a server you rent. Its releases bundle SOGo, Rspamd and ClamAV. You pay for the server and own updates, backups and deliverability yourself.
Switch from Proton Mail if you have an administrator and want full control of the mail server and its data.
Stay with Proton Mail if end-to-end encrypted storage is the requirement, and your team uses the other pieces of the bundle: Drive, Meet, VPN and Pass at one per-seat price. Proton AG is a Swiss corporation whose primary shareholder is a non-profit foundation, its apps are open source, and its export tool writes EML and JSON files. If most users already run Bridge happily and use fewer than 15 domains, the cost of moving buys little.

What moving off Proton Mail involves
01
Get your mail out before the contract ends
Proton offers a command-line Mail Export Tool for Windows, macOS and Linux that saves all messages as EML files with metadata as JSON, and EML opens in Thunderbird or Outlook. Individual messages can be exported from the web app. Mail Bridge can also pull everything into a desktop client, from which the client's own export works. Keep the export until the new host confirms the import.
02
Check what the new host can import
Tuta imports EML or MBOX files in its desktop clients, Runbox provides an IMAP Import tool that leaves the old account untouched, and Infomaniak says its wizard retrieves old messages from any IMAP provider. Fastmail lists a guide for moving from Proton. Change MX, SPF and DKIM records only after the import finishes, and lower the DNS TTL beforehand.
03
Decide who can read mailboxes
In Proton's business setup an administrator can mark users as private or non-private, and non-private mail can be viewed and managed by the admin. Hosts without end-to-end encryption can read stored mail at the server level, so settle the policy for archives, leavers and legal holds before you move people.

Questions about replacing Proton Mail
6 answers
How much does Proton Mail for business cost?
At the time of checking the business page listed Workspace Standard at $12.99 per user per month and Premium at $19.99 per user per month, both with a 14-day free trial. Standard bills $155.88 every 12 months. Taxes may apply.
Where is Proton based?
Proton AG, Route de la Galaise 32, Plan-les-Ouates, Geneva, Switzerland. The company says its primary shareholder is the non-profit Proton Foundation, based in Geneva. We list the country as a fact, not a ranking criterion.
Can I use Outlook or Thunderbird with Proton?
Yes, through Proton Mail Bridge, which Proton describes as an open-source application for IMAP and SMTP clients, available to paid plans. Mail is downloaded and stored locally. Providers such as Purelymail, Namecheap Private Email and Fastmail list direct IMAP or third-party app access without it.
Which alternative is cheapest for many users?
Per account, not per seat: Purelymail charges $10 a year on its simple plan and Migadu starts at $19 a year (Micro) with higher plans at flat monthly or yearly prices.
Both cap or soften limits (Migadu has daily message caps, Purelymail has soft limits), so check your volume first.
Which alternatives are encrypted like Proton?
Tuta states that all data in a mailbox is encrypted and that it has zero access to it, and Hushmail sells encrypted email for healthcare and legal use.
For mailbox.org, Fastmail and the others we saw no end-to-end encryption claim on the pages we fetched, so ask each vendor directly.
Can I run my own mail server instead?
mailcow is an open-source (GPLv3) dockerized mail server. It removes the per-seat fee but moves server upkeep, security updates, backups and deliverability to you.
