Zoho Mail alternatives: 11 business email hosting tools compared

Zoho Mail is a hosted business email service from the Zoho group that sells mailboxes on your own domain, alone or inside the wider Workplace suite. People look for a Zoho Mail alternative when the free plan stops fitting, when IMAP and POP access matter, when they want a host in a specific jurisdiction, or when they would rather pay for mail alone than for a suite.

Short answer: The first three alternatives to Zoho Mail in our business email hosting ranking are Purelymail, Migadu and Runbox. Our rule for order: vendors outside the big brands go first, and the largest names are not placed in the top three. Choose Purelymail if you run many addresses on many domains and will configure DNS yourself. These 11 products are all in Best Business Email Hosting in 2026; the notes say how each one compares with Zoho Mail.

Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.

Zoho Mail

#7 of 18 in our business email hosting ranking

  • Pricing: Free tier for small teams; paid per user per month, published
  • Established in: India
  • Built for: Cost-driven small companies that already run several other Zoho products
  • Not for: Buyers who need their own sending reputation rather than a shared pool

Why buyers look past Zoho Mail

  1. 01

Why does the Zoho Mail free plan stop fitting?

The Zoho Mail free plan covers up to 5 users on one domain with 5 GB of mail per user. Its pricing page states that IMAP, POP and ActiveSync are not included on that plan. A team that wants Outlook, Thunderbird or a phone mail app therefore has to move to a paid plan.

  2. 02

Which Zoho Mail plan do you need for retention and storage?

Zoho Mail separates its tiers by storage and compliance tools. Mail Premium lists 50 GB of mail plus 50 GB of retention storage per user, with eDiscovery and S-MIME. Workplace Professional lists 100 GB plus 100 GB of retention. Anyone needing archiving ends up choosing between several plan names.

  3. 03

Where does Zoho Mail keep your data?

Zoho's privacy policy says data is processed and stored in the United States, the European Economic Area and other countries where Zoho operates. It names no data centre locations, and the free plan footnote says it is offered only in selected data centres. Organisations that must name a country ask the vendor, or choose a host with a single stated location.

What each one does differently

Purelymail

United States · Published

Purelymail charges a flat 10 dollars a year for the account, with no stated hard limit on users, domains or storage. Heavy use can move you to a per-resource advanced price. It speaks IMAP and SMTP, which Zoho's free plan leaves out. Our category record notes the operator is very small and support is a ticket form.

Switch from Zoho Mail if you run many addresses on many domains and will configure DNS yourself.

Migadu

Switzerland · Published

Migadu bills per account by message volume, not per mailbox: Micro is 19 dollars a year with 200 incoming and 20 outgoing messages a day, Mini 90 dollars with 1,000 and 100. Mailboxes are unlimited on every plan. The company is Swiss, and webmail and groupware are minimal.

Switch from Zoho Mail if you want one flat fee for a long list of mailboxes and aliases.

Runbox

Norway · Published

Runbox, hosted in Norway, sells yearly plans from Micro at 19.95 euros with 2 GB of email storage and one custom domain, up to Max250 at 179.95 euros with 250 GB and 100 domains. Extra domains cost a 4.95 euro add-on. Webmail and calendar are plain, and sub-accounts are added per user.

Switch from Zoho Mail if you want Norwegian hosting and published yearly prices on standard IMAP.

mailbox

Germany · Published

mailbox is a Berlin-hosted service that adds an Open-Xchange layer of calendar, contacts, tasks and video meetings to each mailbox. Its private page says custom domains come with the Standard and Premium plans, and a family of four on Standard pays 12 euros a month billed annually. Mobile apps are third-party.

Mailfence

Belgium · Published

Mailfence is a Belgian service built on standard OpenPGP, so your keys stay portable and IMAP clients still connect. Prices are per user per month. Our category record describes its interface as old-fashioned, its storage quotas as modest and its administration for larger teams as thin.

Switch from Zoho Mail if you want encryption you control with keys that are not locked to one client.

Tuta

Germany · Published

Tuta is a German encrypted mailbox that also encrypts subject lines and calendar entries. It runs only on its own clients, with no IMAP and no SMTP for applications, so anything sending automated mail needs a separate service. Prices are per user per month, and exports are readable cleanly only by Tuta.

Switch from Zoho Mail if privacy of subject lines and calendars matters more than client choice.

Fastmail

Australia · Published

Fastmail, an Australian company, sells Basic at 4 euros per user a month with 6 GB, Standard at 6 euros with 60 GB and Professional at 10 euros with 150 GB. Custom domains start on Standard, and trials run up to 30 days. It supports IMAP and JMAP and has a guided import tool.

Switch from Zoho Mail if you want mail only, with 60 GB per user and an easy import from Zoho.

Fastmail review, listed at 4 of 18 business email hosting products →

Proton Mail

Switzerland · Published

Proton Mail, from Switzerland, encrypts mailboxes so the provider cannot read them. Desktop clients need the Bridge application, server-side search is limited, and exporting years of mail is slower than plain IMAP. It is priced per user per month on published plans.

Switch from Zoho Mail if your threat model needs a provider that cannot read the mailbox.

Proton Mail comes 8 of 18 when business email hosting products are ranked here →

Infomaniak kSuite

Switzerland · Published

Infomaniak kSuite pairs mail with storage, video calls and shared calendars from a Swiss provider that owns its data centres. A free plan includes one address, and annual Business and Enterprise plans get 50 percent off the first year. Simultaneous document editing is thinner than in Zoho's Writer and Sheet.

Switch from Zoho Mail if you want a Swiss, suite-style replacement for Workplace.

mailcow

Germany · Published

mailcow is free, open source software that assembles Postfix, Rspamd and SOGo in Docker, with unlimited mailboxes and no licence fee. A paid support subscription is sold through servercow.de. The cost moves from the invoice to your administrator, who owns patching, backups and blocklist removals.

Switch from Zoho Mail if an administrator is already on payroll and you want no per-user cost.

mailcow holds rank 18 among 18 entries in our business email hosting guide →

Rackspace Email

United States · Published

Rackspace Email prices per mailbox per month on its website, has no long-term contract and offers phone support at any hour. It is a mail-only product from a cloud services company. Our category record notes that Rackspace closed its hosted Exchange service after a 2022 ransomware attack, so ask about continuity.

Switch from Zoho Mail if you want mail without a bundle and a person to call at night.

Which alternative for which situation

  1. 01

You run many addresses across many domains on a tiny budget

Purelymail: It charges a flat 10 dollars a year with no stated hard limit on users or domains, over standard IMAP and SMTP.

  2. 02

You want Norwegian hosting with a fixed yearly price

Runbox: Plans run from 19.95 euros for 2 GB and one domain up to 179.95 euros for 250 GB and 100 domains.

  3. 03

You want mail only, with 60 GB per user and a guided import

Fastmail: Standard is 6 euros per user a month with a custom domain, and trials run up to 30 days.

  4. 04

You want a Swiss suite to replace Workplace

Infomaniak kSuite: Mail, drive, video and shared calendars come from one Swiss provider, with a free plan for one address.

  5. 05

You have an administrator and want no licence cost

mailcow: The software is free and open source, and you own patching, backups and blocklist removals.

04

When Zoho Mail is still the right choice

Zoho Mail stays a sound choice for a small team that wants the cheapest paid tier from a vendor of real scale, or one that already uses Zoho apps. The Workplace plans add WorkDrive, Writer, Sheet, Show, Meeting and a password manager under one login, and Zoho lists 24/7 email and phone support and over 750 apps through Zapier. Check the plan list before leaving.

05

What moving off Zoho Mail involves

  1. 01

How do you export Zoho Mail before closing the account?

Zoho Mail offers migration through IMAP, POP or an Outlook Exchange server, according to its features page. For leaving, copy every folder over IMAP into the new host before changing MX records, and keep the Zoho mailbox open until you have compared folder counts.

  2. 02

What happens to Workplace files, calendars and chat?

Mail is the easy part. WorkDrive files, shared calendars, Cliq chat and Writer documents sit in other Zoho products, and a mail-only host will not take them. List what each person uses beyond mail and decide where those pieces go first.

  3. 03

What should you change in DNS?

Lower the TTL on your MX records a day ahead, then switch MX, SPF, DKIM and DMARC records to the new host together. Messages sent in the gap can land in either mailbox, so check both for a few days.

Questions about replacing Zoho Mail

6 answers
Is there a free alternative to Zoho Mail?

Infomaniak kSuite lists a free plan with one address, and Tuta and Mailfence both list free personal plans.

None of the free plans matches Zoho's 5 users on one domain with 5 GB each. Purelymail at 10 dollars a year is the nearest low-cost option for many users.

Which Zoho Mail alternative supports IMAP on every plan?

Purelymail, Migadu, Runbox, Fastmail and mailcow all describe standard IMAP and SMTP. Tuta has none. Zoho states that IMAP and POP are not included on its free plan, so a move to any of these opens up mail clients.

What does Zoho Mail cost per user?

Zoho's pricing page names Mail Free, Mail Lite, Mail Premium, Workplace Standard, Workplace Professional and Workplace Enterprise. The per-user prices were not visible in the page text we read, so check the live page for amounts. Mail Lite and Mail Premium are annual billing only.

Which alternative hosts in Europe?

Migadu and Infomaniak are Swiss, mailbox and Tuta German, Runbox Norwegian and Mailfence Belgian. Fastmail is Australian and Purelymail American. Zoho's privacy policy lists a data protection officer in Utrecht but names no mail data centre locations.

Can I run my own mail server instead of Zoho Mail?

mailcow is the practical self-hosted route, with no per-user licence cost. You own updates, backups, reverse DNS and spam reputation. A paid support subscription exists, but it does not remove the on-call work.

Which alternative is cheapest for a small team?

For a team of five, Fastmail Basic at 4 euros per user a month is 20 euros a month.

Migadu Mini at 90 dollars a year covers unlimited mailboxes, and Purelymail is 10 dollars a year. Compare storage and message limits, not just the headline price.
