Why buyers look past Expensify

    A per-member bill with two billing models

    Expensify lists two paid workspace plans. Collect is $5 per unique member per month on pay-per-use billing. Control is $18 per member per month on an annual subscription, or $36 on pay-per-use, and the annual subscription can be discounted by up to 50% depending on how much approved USD spend goes through the Expensify Card. Finance teams that do not issue that card pay the higher end, and many start comparing flat-fee or free tiers.

    Reports first, spend control second

    Expensify began with receipt scanning and expense reports, and its pages now also cover travel, a Visa commercial card with up to 2% cash back, bill pay and invoicing. The workflow is still organised around an employee submitting an expense and someone approving it. Teams that want budgets, virtual cards per vendor and procurement approval before money leaves are shopping in a different category of product.

    The free plan is for individuals

    The free Submit workspace lets an individual employee code and submit expenses, but it leaves out approvals, payments and integrations. A company cannot run its process on it. Several alternatives publish free tiers for the whole organisation, such as Ramp, Brex, Zoho Expense and Navan, so the comparison with them is on what each free tier withholds.

Corporate card management and cash advances start at Standard. It is part of the Zoho suite and lacks Expensify's own card and its travel booking.

Payhawk is headquartered in London and sells modules for travel, cards and expenses, bill pay and procure-to-pay, charging a fixed foundation plus per-unit fees for cards, reimbursements and invoices. A Growth programme at £149 a month covers UK and EEA businesses under 20 employees. Pricing is more modular than Expensify's per-member rates and takes more effort to estimate.

When Expensify is still the right choice

Expensify stays the better choice for a team whose problem is exactly receipts and reimbursement: SmartScan reads receipts from a photo, bring-your-own-cards imports transactions from more than 10,000 banks without switching cards, and it connects to more than 45 systems including QuickBooks, NetSuite, Xero and Sage Intacct. If you already hold company cards you like and the Collect or Control price per member is acceptable, a card-led platform solves a problem you do not have.

What moving off Expensify involves

  1. 01

    Settle open reports before you cut over

    Expense reports in flight are the hardest thing to move. Agree a cutover date, let approvers clear the queue and make sure reimbursements are paid before the old workspace is closed. Export historical reports first, because your auditors may expect them in the format in which they were approved.

    Rebuild policy rules and accounting mappings

    Categories, approval chains and the mapping to your ledger belong to the workspace. Rebuild them in the new tool and test with one team against your accounting package. Expensify lists integrations with QuickBooks, NetSuite, Xero and Sage Intacct, so check that your ledger is supported on the other side before committing.

    Cards change the project

    Moving to a card-led tool such as Ramp, Pleo or Brex means replacing company cards, which involves a credit or KYC process and time for cards to arrive. Plan that separately from the software cutover, and keep the existing cards in use until the new ones work.

Is there a free alternative to Expensify?

Zoho Expense has a free plan for up to 3 users, Ramp has a free plan, Brex has a free Essentials plan, and Navan expense is free for the first 5 users.

Expensify's own free Submit workspace covers only individual employees without approvals or integrations. Check which limits apply to your team size.

Which Expensify alternative is best for European companies?

Pleo (Denmark), Spendesk (France), Moss (Germany), Mooncard (France) and Payhawk and Soldo (UK) are all based in Europe.

Each issues its own cards, so a move is also a change of card provider. Check the countries each operates in, as Moss and Mooncard list their markets explicitly.

Do I have to switch my company cards?

Not with Expensify, which supports bring-your-own-cards linking cards from banks. Card-led alternatives such as Pleo, Soldo and Moss are designed around their own cards. Ask each vendor what happens to spend on your existing cards before choosing.

Why is Yokoy not in this list?

Yokoy is in our category data, but its domain now redirects to Perk, a travel and spend platform, so we could not verify Yokoy as a standalone product. We left it out rather than describe a product we could not confirm.
