ActivTrak alternatives: 10 employee monitoring tools compared

Teams look beyond ActivTrak when the ladder of four annual tiers, the six-month history on the two cheaper ones or the screenshot add-on stops matching what they need. The alternatives below range from flat per-seat analytics and a European vendor to self-hosted suites, field tracking and recording-heavy tools.

Short answer: Looking for a replacement for ActivTrak? WorkTime, DeskTime and Insightful come first in our employee monitoring ranking. The first three places are kept for challengers when the category has enough of them; the best-known brands come after that, in ranked order. Start with WorkTime if you want the same aggregate view with history that never expires and monthly billing. Every one of the 10 products below comes from Best Employee Monitoring Software in 2026, with a note on how it departs from ActivTrak.

Vendors can pay for more visibility on this website, for example a higher place in a ranking or more room on a page. Commercial relationships can also affect which products we feature and how prominently. Every vendor link is marked the same, whatever the arrangement behind it. How that works.

ActivTrak

#4 of 13 in our employee monitoring ranking

  • Pricing: Free plan for 3 users; per worker per month billed annually, published
  • Established in: United States
  • Built for: Mid-sized and larger employers who want workload and productivity trends across teams
  • Not for: Employers who need per-screen evidence or a month-to-month contract
01

Why buyers look past ActivTrak

  1. 01

History is short unless you pay again

ActivTrak's pricing page gives 30 days on the free plan, 6 months on Work Activity Tracking at $10 and Workforce Management at $15, and 1 year on Productivity Optimization at $17. A Data History add-on at $1 per worker per month extends that in one-year steps to a maximum of 3 years. A team that must answer a question from 18 months ago either buys the top tier or the add-on.

  2. 02

Screenshots are a separate purchase with no listed price

The Screen Details add-on adds screenshots, full URLs, alarms and website blocking, and the pricing page offers it for Work Activity Tracking and Workforce Management only. It is not part of Productivity Optimization, and no amount is shown, so the real cost of evidence-based monitoring is settled in the app or with sales. Teams that want images from day one will find tools that price them openly.

  3. 03

Annual billing and a support rule for larger teams

The FAQ says only annual plans are offered, so there is no month-by-month way to test a tier beyond the 14-day trial. The same page says a paid support plan, Premier or Signature, is required for more than 50 licences. A company of 80 people therefore budgets for support on top of the per-worker price before it has compared anything.

Self-hosting needs 250 licences or more.

Switch from ActivTrak if you want two years of history at $8 and prefer images to be an extra you choose.

CurrentWare

Canada · Published

Workstatus

India · Published

Workstatus charges ₹300 for Proof and ₹550 for Profit per user per month, with roughly 20 percent off for annual billing, and keeps 90 and 180 days of history. GPS tracking, geofencing and mileage logs come through a Field Operations add-on of $3 per user per month. A 14-day trial needs no card, and paid plans carry a 30-day money-back guarantee.

Switch from ActivTrak if some of your staff work in the field and need location, not just desktop activity.

We360.ai

India · Published

We360.ai lists Pro at ₹399 and Pro + AI at ₹599 per user per month, both with a year of retention and 12 screenshots an hour. Enterprise goes to 2 years and up to 60 screenshots an hour. The 7-day trial needs no card. Billing in rupees makes the invoice a currency question for European finance teams.

Switch from ActivTrak if a year of history at a low entry price matters more than European invoicing.

Monitask

United States · Published

Monitask lists Pro at $6.49, Business at $8.99 and Business Premium at $12.99 per user per month on annual billing, with a 10-day trial. Storage is only 1 month on Pro and 2 on the others. The card, comparison table and FAQ on its pricing page show different amounts, so ask for a written quote before ordering.

Switch from ActivTrak if you want periodic screenshots in the plan and can live with a month or two of storage.

KeepActive

Cyprus · Published

KeepActive publishes three annual prices per user per month: Time Tracking at $2.75, Employee Monitoring at $5.50 and Data Loss Protection at $11. Visual monitoring begins at the middle tier, and data-loss and insider-threat detection at the top. The page we read does not describe hosting options or retention, so those need a written answer first.

Switch from ActivTrak if entry price is the deciding factor and visual monitoring is acceptable.

Controlio

United States · Published

Controlio records the screen continuously instead of sampling it, offers an optional invisible agent and can be deployed on-premises. Basic costs $6.67 and Advanced $9.99 per user per month on annual billing, with 5 users minimum, 6 months of storage on Basic and up to 36 months on Advanced. Enterprise starts at 100 users. A 14-day trial covers 10 users.

Switch from ActivTrak if you need a continuous recording as evidence, and your policy allows that level of capture.

Controlio holds rank 2 among 13 entries in our employee monitoring guide →

Veriato

United States · Published

Veriato's user activity monitoring costs $18 per user per month billed annually, with a 5-user minimum. Its pricing page lists email, chat, screenshots, files, network activity and keystrokes among what is recorded. The insider risk product is quoted from 20 users. It is a security tool first, which is far from ActivTrak's analytics position.

Switch from ActivTrak if the real question is insider risk and security investigations, not productivity.

Which alternative for which situation

  1. 01

You are in the EU and want a European supplier

DeskTime: It is Latvian, invoices in euros at €5.50 (Pro) and €8.25 (Premium) per user per month excluding VAT, and has a 14-day trial.

  2. 02

You want history that does not expire

WorkTime: Every paid plan keeps unlimited history, from $6.99 per employee per month, and a free plan covers 3 employees.

  3. 03

You want two years of data and optional screenshots

Insightful: Workforce Analytics is $8 per seat on annual billing with 24 months of retention, and screenshots cost $3 to $4 extra.

  4. 04

You also need web filtering or USB control

CurrentWare: BrowseReporter is $12 per user per month, the suite $20, with a $1,440 yearly baseline and a 14-day trial.

  5. 05

You have field staff who work away from a desk

Workstatus: The Field Operations add-on gives GPS, geofencing and mileage logs for $3 per user per month.

04

When ActivTrak is still the right choice

ActivTrak is still the stronger choice when you want analytics without surveillance as a stated posture. Its security page says screenshots are off by default, privacy is on by default, employees can see their own work insights and access is role-based. It lists SOC 2 Type 1 and Type 2, certified SSO for Okta, Entra ID and OneLogin, and encryption at rest and in transit. There are no user minimums, a 14-day trial and a free plan for 3 workers. If your needs are met inside the 6-month or 1-year window, a move adds work for little gain.

05

What moving off ActivTrak involves

  1. 01

Decide what history you need to carry

ActivTrak keeps 30 days, 6 months or 1 year depending on the tier. Ask what can be exported before the contract ends, and decide whether old reports are summarised once or kept as files.

  2. 02

Tell staff before the new agent goes live

A different tool may capture more or less than ActivTrak did, for instance screenshots or GPS. Update the policy and the notice to employees first, and check whether works council or privacy review applies.

  3. 03

Pilot one team, then compare reports

Install the new agent on one team beside the old one for a month. Compare active time and application categories, since each vendor classifies productive and unproductive differently.
