Workvivo alternatives: 11 employee communication apps tools compared

Teams that shortlist Workvivo usually want a social-style staff hub and then hit a quote-only price, a demo in place of a trial, and an owner that is a video-meeting company. They move to another staff platform with a different audience (frontline, desk or mixed), a different price model, or a vendor that is not part of a larger suite.

Short answer: The first three alternatives to Workvivo in our employee communication apps ranking are Staffbase, Simpplr and LumApps. Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Choose Staffbase if you need to reach shift workers without corporate email and want to start with one channel. All 11 alternatives below are ranked products from Best Employee Communication Apps in 2026, and each says where it differs from Workvivo.

Vendors can pay for visibility on this site; it never changes what we say about a product. How that works.

Workvivo

#6 of 12 in our employee communication apps ranking

  • Pricing: Quoted by licence count and add-ons; demo, no trial
  • Established in: Ireland
  • Built for: Employers whose frontline staff never open a company email
  • Not for: Buyers who actually need engagement measured and benchmarked
01

Why buyers look past Workvivo

  1. 01

The price exists only after a sales conversation

Workvivo publishes no price. Its pricing page says the cost depends on how many licences you need and on your organisation, and asks you to request a quote. It also states that there is no trial, only a demo shaped around your business. You cannot compare it with a published per-user price before you talk to sales.

  2. 02

Modules are bought as separate pieces

The pricing page offers Workvivo HQ or the Seer listening product as the starting plan, with add-ons for HQ Agent (agentic search), Chat, Workvivo TV (digital signage) and deeper analytics. A buyer who wants the feed, chat and screens together should ask for each line to be quoted, since the starting plan alone does not include them.

  3. 03

Ownership by Zoom and a chat built on its SDK

The footer reads Workvivo by Zoom Limited, the pricing page says Chat is powered by Zoom's Video SDK, and the Workvivo newsroom says Zoom acquired the company in 2023. If you want a staff platform from a vendor that is not part of a meeting-software group, or one with a different audience such as shift workers, the shortlist changes.

What each one does differently

Staffbase

Germany · Quoted per organisation; frontline, mixed and enterprise pricing

Sells an employee app, intranet and email as separate channels, with quotes split into frontline, whole-workforce and enterprise configurations. It states a typical 90 days from signed contract to branded launch and hosts in Frankfurt on Azure and AWS. Prices are not published, so it is no cheaper to evaluate.

Switch from Workvivo if you need to reach shift workers without corporate email and want to start with one channel.

Simpplr

United States · Quoted per organisation with volume-based pricing; demo offered

Intranet-led platform from a Silicon Valley company, quoted by organisation size with volume-based rates and four releases a year. Its pricing page says 14-day trials exist but must be requested. Customer Success and Global Support upgrades are optional extras, and the page gives no amounts.

Switch from Workvivo if you want an intranet-first platform and a requested trial before you sign.

Simpplr, #9 of 12 in our employee communication apps ranking →

LumApps

France · No price list on the site; demo request

French intranet founded in Lyon in 2012 that now carries the Beekeeper frontline app inside its AI Employee Hub. The site routes buyers to a demo and shows no price list. Beekeeper's unified rollout is planned in phases over 12 to 18 months, so the product you buy may still be changing.

Switch from Workvivo if you want one vendor for an office intranet and a frontline app, and can accept a phased merger.

LumApps, #7 of 12 in our employee communication apps ranking →

Happeo

Finland · Quoted per organisation across three plans; trial button on the site

Intranet built around channels and announcements that connects to Google Workspace, Microsoft 365 and Slack, with three plans (Starter, Growth, Enterprise) and no published prices. AI search and an MCP server are in every plan. It does not name a country of establishment; its team is spread over four cities.

Switch from Workvivo if your staff live in Google Workspace and you want channels more than a social feed.

Happeo, #3 of 12 in our employee communication apps ranking →

Poppulo

Ireland · Quoted per organisation; talk-to-sales on every product line

Four separately quoted lines: email, a mobile app and intranet, employee advocacy, and digital signage. Its email channel adds targeting, approvals and an unlimited-users claim. Support is stated as 24/7 from in-house staff, though coverage varies by product line. Poppulo has combined with Four Winds Interactive and SmartSpace.

Switch from Workvivo if email to staff is your main channel and you want approvals and governance on it.

Poppulo, #5 of 12 in our employee communication apps ranking →

Firstup

United States · Quoted per organisation in three tiers; intranet is an add-on

Campaign-style tool in three quoted tiers (Essential, Professional, Premier) that publishes once to email, app and desktop and retargets staff who did not act. Employee journeys sit in the top tier, and the intranet is an add-on that needs sales. Firstup, Inc. is based in San Francisco.

Switch from Workvivo if you run internal communication like campaigns with targeting and follow-up.

Firstup, #8 of 12 in our employee communication apps ranking →

Microsoft Viva Engage

United States · Core features bundled with Microsoft 365 enterprise plans; premium tier published

Communities and leader posts inside Microsoft 365 and Teams. Core features come with Microsoft 365 enterprise plans; premium features need a Viva licence listed at USD 2.00 per user a month for Employee Communications and Communities. It is a Microsoft product and the app in Teams needs admin deployment.

Switch from Workvivo if you already pay for Microsoft 365 enterprise and want to add to it before buying another platform.

Microsoft Viva Engage, #11 of 12 in our employee communication apps ranking →

Appspace

United States · Quoted by devices and Premium Users; 60-day trial

Licensed by devices and Premium Users, with a 60-day trial and free admins. Its Employee App shows content only to Premium Users and needs single sign-on with just-in-time user creation. Extra storage is USD 0.10 per GB and bandwidth USD 0.15 per GB a month. Digital signage is part of the same bundle.

Switch from Workvivo if office or shop-floor screens matter as much as the app and you want a long trial.

Appspace, #10 of 12 in our employee communication apps ranking →

Connecteam

Israel · Published tiers with a flat price for the first 30 users; 14-day trial

A published-price option from Israel: the Communications Hub starts at a flat USD 35 a month on monthly billing for the first 30 users, with a per-user amount beyond that. A plan for up to 10 users is free for life. Single sign-on and two-factor sit in the Enterprise tier only.

Switch from Workvivo if you run a small or mid-size deskless team and want to see a price before talking to anyone.

Connecteam, #2 of 12 in our employee communication apps ranking →

Speakap

Netherlands · Quoted per organisation by tier and licensed users; demo only

Dutch platform for frontline teams in three tiers (Basic, Premium, Premium Plus) with no published price; cost follows plan and licensed users, and contracts are annual with a demo first. Branded apps and single sign-on start at Premium. It states go-live in as little as 15 days.

Switch from Workvivo if you want a Dutch vendor, frontline focus and a stated go-live time of a few weeks.

When Workvivo is still the right choice

Workvivo is still the right choice when you want a social-style staff hub with a feed, knowledge hubs, journeys and livestreams, and you are comfortable with a vendor owned by Zoom. Its security page states ISO 27001 and an annual SOC 2 Type 2 report under NDA, and the Chat add-on suits organisations already using Zoom. If your main need is a social feed and you will buy it through a sales process anyway, rebuilding on another quote-only platform changes little.

What moving off Workvivo involves

  1. 01

Ask for the same questions in writing from every vendor

Because nearly every platform here is quoted, send each one the same inputs: licence count, split between desk and frontline staff, which add-ons you need (chat, signage, surveys) and your contract length. Staffbase says a proposal follows 3 to 5 business days after a first conversation, so allow a few weeks for a fair comparison.

  2. 02

Plan the content and the people data, not only the feed

Your staff directory, groups and posts are the work. Check how each vendor syncs from your HR system (Speakap lists HR sync from Premium, Workvivo lists over 60 HR tool integrations) and what can be exported before you cancel. Run both platforms side by side for a pilot group first.

Questions about replacing Workvivo

6 answers
Is there a cheaper alternative to Workvivo?

Only a few vendors here publish prices. Blink lists Core at USD 3.75 and Pro at USD 5.00 per user a month billed annually, and Connecteam lists the Communications Hub from USD 35 a month for the first 30 users.

The others are quoted, so compare quotes with the same licence count.

Is there a Workvivo alternative with a trial?

Appspace offers a 60-day trial, Simpplr says 14-day trials can be requested, and Blink and Connecteam have trial buttons or a 14-day trial. Workvivo itself states that it offers a tailored demo and no trial.

Which Workvivo alternative suits frontline workers?

Staffbase, Speakap, Blink and LumApps (with Beekeeper) all describe frontline use, such as reaching staff without corporate email. Check each vendor's login method and how shift workers are licensed, since that decides the bill.

Is there a European alternative to Workvivo?

Staffbase (Germany), Speakap (Netherlands), LumApps (France) and Poppulo (offices in Cork and Denver) are options, and Workvivo itself lists its contact address in Ireland. Blink is in London. Country is a fact to check against your data rules, not a quality mark.

Does Workvivo belong to Zoom?

Its footer reads Workvivo by Zoom Limited and the company's newsroom says Zoom acquired it in 2023. The privacy policy still names Workvivo Limited with an address in Cork, Ireland.

Can I use Viva Engage instead of a separate platform?

If you have a Microsoft 365 enterprise plan, community and conversation features are included. Premium features, such as campaigns and branded employee apps, need a Viva licence, and the branded app requires Teams.
