BILL alternatives: 13 accounts payable automation tools compared

People search for BILL alternatives for three reasons: the per-user fee that grows with every approver, a ledger BILL does not sync with at the plan they can afford, or a business that sits outside the United States. BILL's AP and AR plans run from $49 to $89 per user per month, with per-payment fees on top. The ways out are per-document pricing, payment-first tools, or suites built around invoice compliance in Europe.

Short answer: The first three alternatives to BILL in our accounts payable automation ranking are Melio, Tipalti and Stampli. Places 1 to 3 go to challengers, vendors outside the best-known brands in a category, wherever the category has them; the established names follow from place 4 in their ranked order. Choose Melio if you are a small US business with a handful of users and mostly ACH payments. All 13 alternatives below are ranked products from Best Accounts Payable Automation Software in 2026, and each says where it differs from BILL.

Vendors can pay for visibility on this site; it never changes what we say about a product. How that works.

BILL

#17 of 17 in our accounts payable automation ranking

  • Pricing: Per user per month, published: Essentials $49, Team $65, Corporate $89, Enterprise quoted; payment fees extra
  • Established in: United States
  • Built for: A US company routing invoice approvals and supplier payments next to QuickBooks or Xero
  • Not for: A business outside the United States, or one with many occasional approvers

Why buyers look past BILL

  1. 01

The seat count is the bill

BILL Essentials is $49, Team $65 and Corporate $89 per user per month, and its own pricing page says AP and AR are priced per user. Cheaper approver-only seats start on Corporate. A company that wants department heads to approve invoices pays for each of them, so the cost follows the org chart rather than the invoice volume.

  2. 02

The ledger sync sits on the middle plans

On the plan grid, Essentials moves data by CSV import and export. Automatic two-way sync with QuickBooks Online and Xero starts on Team, and sync with NetSuite, Sage Intacct and Microsoft Dynamics, plus three-way matching, is an Enterprise item with custom pricing. A finance team on a mid-sized ERP often finds the plan it needs is the one without a published price.

  3. 03

Payment fees are separate from the subscription

BILL's published fee table lists $0.59 for an ACH payment, $1.99 for a mailed check, $19.99 for an international USD wire and 1.0% for an instant payment (minimum $9.99, maximum $100). A business paying thousands of suppliers a month adds up these charges next to the subscription, so total cost depends on the payment mix.

What each one does differently

Melio

United States · Free Go plan with 5 ACH payments a month, then $0.50 each; paid plans from $25 a month, published; card payments 2.9%

Melio publishes a free Go plan for one user with 5 ACH payments a month and $0.50 for each one after that. Paid plans are Core at $25 a month and Boost at $55, each with $10 per extra user. It targets small businesses paying bills, with far less capture and matching than BILL's top plans.

Switch from BILL if you are a small US business with a handful of users and mostly ACH payments.

Tipalti

United States · Published entry prices (AP from $99 a month, mass payments from $249) plus per-transaction charges; final price quoted

Tipalti charges a platform fee that starts at $99 a month for AP and $249 for mass payments, with unlimited users, then adds transaction pricing. Its centre of gravity is paying many suppliers or payees in 200+ countries, with tax form collection and licences in the US, Canada, UK and EU, where BILL is built for domestic bills.

Switch from BILL if you pay a large number of suppliers or contractors across borders and need tax forms collected.

Tipalti, #10 of 17 in our accounts payable automation ranking →

Stampli

United States · Quoted per organisation

Stampli keeps the questions and answers about an invoice on the invoice itself, and its pricing page lists unlimited entities and vendors with a quote required. Its assistant is called Billy. It integrates with Oracle NetSuite, Sage Intacct, SAP and Microsoft Dynamics, which are ERPs BILL reserves for its Enterprise tier.

Switch from BILL if invoices stall on email threads and you run an ERP that BILL syncs only at Enterprise.

Stampli, #7 of 17 in our accounts payable automation ranking →

Yooz

France · Monthly subscription by document volume, unlimited users; bands quoted

Yooz sells its Gold edition on documents processed per month, with an unlimited number of users and 4 hours of onboarding service included. That removes the per-approver cost BILL creates. The trade is a volume band you pay even in a quiet month, and a free trial of 15 days.

Switch from BILL if many managers need to approve and your invoice count is steady and predictable.

Yooz, #1 of 17 in our accounts payable automation ranking →

ApprovalMax

United Kingdom · Per organisation per month by tier, published

ApprovalMax is an approval layer rather than a payment network. Its Xero plan bands are 100, 300 or 500 documents a month with unlimited approvers, in Standard, Advanced and Premium tiers, and a 14 day trial. It connects to Xero, QuickBooks Online and NetSuite, and pays bills only through ApprovalMax Pay.

Switch from BILL if you run Xero or NetSuite and want multi-level approval rules without paying per approver.

ApprovalMax, #2 of 17 in our accounts payable automation ranking →

AvidXchange

United States · Quoted per organisation, volume based

AvidXchange operates its own payment network (AvidPay) and a supplier hub where suppliers choose virtual card, AvidPay Direct or mailed check. Its pages target real estate, community associations and construction, and it integrates with Yardi, MRI and Blackbaud. No price list is published, and it is a licensed US money transmitter.

Switch from BILL if your AP volume is high enough to hand the supplier payment work to an outsourced network.

AvidXchange, #15 of 17 in our accounts payable automation ranking →

MineralTree

United States · Quoted subscription; payment fees vary by method

MineralTree sells three separate products: Vendor Payments inside Sage Intacct, TotalAP as a mid-market invoice-to-pay platform and Inspyrus for enterprises. It stresses virtual cards that earn rebates and payment optimisation. Pricing is by quote, and the page lists Sage Intacct, NetSuite, Acumatica and Oracle ERP connectors.

Switch from BILL if you are on Sage Intacct or an Oracle ERP and want card rebates to offset payment cost.

MineralTree, #9 of 17 in our accounts payable automation ranking →

Ottimate

United States · Quoted per organisation

Ottimate aims at multi-location operators: its industry pages name restaurants, hotels, country clubs, senior living, grocery and healthcare practice networks. It codes line items, routes approvals and pays vendors directly, and connects to QuickBooks, NetSuite, Sage, Acumatica and Dynamics. It does not publish prices.

Switch from BILL if you run many locations with line-item invoices from food and supply vendors.

Ottimate, #11 of 17 in our accounts payable automation ranking →

Vic.ai

United States · Quoted per organisation

Vic.ai splits its product into named modules: APSuite for invoice processing, PO matching and approvals, VicInbox, VicPay for bill pay, VicCard for expenses and VicAnalytics. It describes itself as AI-first, and the pages we fetched give no price. BILL, by contrast, shows a per-user price.

Switch from BILL if invoice volume is high enough that automated coding matters more than a published price.

Vic.ai, #8 of 17 in our accounts payable automation ranking →

Rossum

Czechia · Annual contract by document volume; Starter published from $18,000 a year, higher tiers quoted

Rossum only captures documents: Starter begins at $18,000 per year with unlimited seats, email, API or manual upload and a validation screen. Its plans list capture, validation and workflow, with no payment feature on the pricing page, so it sits beside an ERP rather than replacing BILL. Its offices are listed in Czechia, the US, the UK and Luxembourg.

Switch from BILL if extraction accuracy and an API matter, and payments already run through your bank or ERP.

Rossum, #5 of 17 in our accounts payable automation ranking →

Medius

Not stated by the vendor · Quoted per organisation

Medius covers AP automation, e-invoicing, payments, procurement, sourcing, contracts and expense in one suite, and its site is available in English, Swedish, French, Dutch, Danish and Norwegian. Its navigation carries pages on global and French e-invoicing mandates. Pricing is not published, and the site gives a US office address in Jacksonville, Florida.

Switch from BILL if you operate in several European countries and e-invoicing rules drive the buying decision.

Medius, #6 of 17 in our accounts payable automation ranking →

04

When BILL is still the right choice

BILL remains the sensible choice for a US company that wants approval routing, supplier payments and invoicing in one product, tied to QuickBooks or Xero on the Team plan. Its network of 4M+ vendors, W-9 collection and the free Spend & Expense plan are things most alternatives here do not bundle. If your payments are domestic, your users are few, and the $65 Team plan covers your ledger, none of the alternatives is a clear step up.

05

What moving off BILL involves

  1. 01

Count approvers before you count invoices

Per-user pricing means the number of people who touch a bill decides the cost at BILL, while Yooz, ApprovalMax and Tipalti charge on documents or platform tiers. Make a list of who creates, approves and only views, then price each tool on that list and on a typical month of invoices.

  2. 02

Vendors keep their payment details in the old network

Suppliers connected through the BILL network, and the bank details tied to them, do not move across by themselves. Plan a supplier notice, check each new tool's vendor onboarding, and run the first payment cycle on small amounts. Tipalti and Stampli both collect supplier data through their own portals.

  3. 03

Open bills and approvals cross the cut-over line

Choose a date after which new invoices enter only the new system, let in-flight approvals finish in BILL, and export the bill history first. Check how the new tool posts to your ledger, because BILL's own sync differs by plan and by accounting software.

Questions about replacing BILL

6 answers
What is the cheapest alternative to BILL?

Melio has a free Go plan for one user with 5 ACH payments a month and $0.50 for each additional one, and its Core plan is $25 a month.

Both are published prices as of 29 October 2026. It suits small US businesses paying domestic bills.

Is there a BILL alternative that does not charge per user?

Yes. Yooz bills by documents processed per month with unlimited users, Tipalti starts at $99 a month with unlimited users and adds transaction pricing, and ApprovalMax allows unlimited approvers within document bands of 100, 300 or 500 a month.

Which BILL alternative suits a European company?

BILL's pages describe paying vendors outside the U.S. in 130+ countries, which is not the same as serving a non-US business. Esker (Lyon, France), Basware (Espoo, Finland) and Medius cover European e-invoicing. ApprovalMax connects to Xero and NetSuite.

How does BILL pricing compare with a quoted tool such as Stampli?

BILL publishes per-user prices and a fee table. Stampli publishes no number and asks for a quote, with unlimited entities and vendors on its pricing page. Ask both for a price based on your own invoice and payment volume, including payment fees.

Does BILL work with NetSuite and Sage Intacct?

Per BILL's pricing page, automatic sync with NetSuite, Sage Intacct and Microsoft Dynamics belongs to the Enterprise plan, which is quoted. The Team plan syncs with QuickBooks Online, QuickBooks Pro, QuickBooks Premier and Xero. Check which tier your ERP needs before comparing.

Is there an alternative that only reads invoices and leaves payment elsewhere?

Rossum extracts data from documents and does not pay them, with Starter from $18,000 a year and unlimited seats. ApprovalMax handles approval rules on top of Xero, QuickBooks Online or NetSuite. Both leave payment to your bank or ERP.
