QuickBooks Online alternatives: 11 accounting tools compared

QuickBooks Online alternatives are sought by small businesses that meet the list price after the introductory discount ends, and by teams that outgrow the user cap of their plan. Others want an accounting product built around their own country's tax rules. They move to flat per-organisation tools, free or cheaper invoicing products, or bigger systems.

Short answer: The closest replacements for QuickBooks Online in our accounting software ranking are Xero, FreshBooks and Zoho Books. Choose Xero if you have several people in the books and the user cap is the problem. All 11 alternatives below are ranked products from Best Accounting Software in 2026, and each says where it differs from QuickBooks Online.

Vendors can pay for visibility on this site; it never changes what we say about a product. How that works.

Why buyers look past QuickBooks Online

  1. 01

The discount is not the price

On the US pricing page the Simple Start plan is listed at $38 a month and shown at $19 with 50% off for the first 3 months. Essentials is $85 and Plus is $140 on the same terms. A business that budgeted from the promotional figure sees the list price at month four, which is the moment many start comparing.

  2. 02

Users and features step up together

The plans are capped at 1, 3, 5 and 25 users (Simple Start, Essentials, Plus, Advanced), with two or three accountant seats on top. Project profitability and inventory management start on Plus, and workflow automation and Excel syncing on Advanced at $340. Adding a fourth user therefore means paying for a different plan, not one more seat.

  3. 03

    One product, many localised editions

Intuit's QuickBooks site offers a country selector covering more than 195 territories, with localised versions. The UK edition, for example, is built around VAT, MTD for Income Tax and CIS. A business that wants software designed in and for its own tax jurisdiction often finds a local vendor fits its filing routines more closely.

What each one does differently

Xero

New Zealand · Per month by plan, published

Xero's UK plans (Ignite, Grow, Comprehensive, Ultimate) carry no per-user licence fees, which removes QuickBooks' user-cap logic. The entry plan limits sales invoices to 20 and bills to 10 a month, and extra charges apply when included usage is exceeded. Multi-currency starts on the upper two plans.

Switch from QuickBooks Online if you have several people in the books and the user cap is the problem.

FreshBooks

Canada · Per month by plan, published; Lite from $23 USD, extra users $11 each

FreshBooks is priced by billable-client count, not users: Lite covers 5 clients, Plus 50, Premium unlimited, with extra team members at $11 a month each. It is built for invoicing and project time; QuickBooks' deeper bookkeeping and inventory tools are not its focus.

Switch from QuickBooks Online if you bill a small number of clients and want invoicing to be the centre of the tool.

FreshBooks, #1 of 12 in our accounting software ranking →

Zoho Books

India · Free tier under $50K annual revenue; paid per organisation per month, published

Zoho Books has a free plan for businesses under $50K annual revenue, limited to one user plus one accountant and 1,000 invoices a year. Paid tiers run from Standard (3 users) to Ultimate (15 users), with extra users as paid add-ons. It is the cheaper ladder, not the larger ecosystem.

Switch from QuickBooks Online if revenue is under $50K and a free plan covers your invoicing volume.

Zoho Books, #9 of 12 in our accounting software ranking →

FreeAgent

United Kingdom · Per month, published; free with some UK business accounts

FreeAgent is a single-plan product (listed at $22 a month on the US page, with an introductory 50% discount) with a 30-day trial. It includes time tracking, sales tax reporting and multi-currency invoicing, aimed at small businesses and freelancers. There are no tiers to climb as users are added.

Switch from QuickBooks Online if a freelancer or micro-business wants one price and no plan ladder.

FreeAgent, #6 of 12 in our accounting software ranking →

Wave

Canada · Free Starter plan; Pro per business per month, published; fees on payments and payroll

Wave's Starter plan is free, with unlimited invoices, estimates and bookkeeping records; revenue comes from payment processing at 2.9% + $0.60 per card transaction and from add-ons such as payroll. Pro costs $19 a month. It is the lowest-cost route, with support available only as an add-on.

Switch from QuickBooks Online if you want free bookkeeping and will take card payments through the same tool.

Wave, #4 of 12 in our accounting software ranking →

Sage Accounting

United Kingdom · Per month by plan, published

Sage Accounting appears in our data as a UK-based, plan-priced product. We could not load Sage's pricing page in this review (it blocked our requests), so we make no claim about its tiers or user limits. Check current plans against QuickBooks' 1, 3, 5 and 25 user caps before deciding.

Switch from QuickBooks Online if you want a UK-based vendor and have confirmed its plan limits yourself.

Sage Accounting, #10 of 12 in our accounting software ranking →

Exact Online

Netherlands · Per month by package, published; Essentials from 49 EUR, Premium 299 EUR

Exact Online prices by package: Essentials €49 (1 user, 25 sales invoices a month), Plus €99, Professional €159 and Premium €299 with multi-company support and Power BI reporting. Extra users cost €23 to €49 a month. It suits accountant-led Dutch businesses more than a self-service solo user.

Switch from QuickBooks Online if you work with an accountant and need multiple administrations or higher invoice volumes.

Exact Online, #5 of 12 in our accounting software ranking →

Fortnox

Sweden · Packages or single modules per month, published; mandatory Access fee scales with transaction volume

Fortnox is a Swedish cloud platform from Växjö covering accounting, invoicing, payroll and financing, and claims more than 700,000 companies. New customers get the first six months free. The site and rules it follows are Swedish; it is not designed for use in other markets.

Switch from QuickBooks Online if your business is registered in Sweden and wants payroll and accounting in one place.

Fortnox, #3 of 12 in our accounting software ranking →

Visma eAccounting

Norway · Per month by plan, published

Visma eAccounting's Norwegian site offers invoicing free for the first year, then 119 kr a month, with a path to full accounting. It belongs to the Visma group, which also owns e-conomic, Tripletex and others. We read the Norwegian edition only; other countries may differ.

Switch from QuickBooks Online if you are a small Norwegian business starting with invoices and expecting to add bookkeeping later.

Visma eAccounting, #11 of 12 in our accounting software ranking →

Pennylane

France · Invoicing plans for independents published, free tier for micro-enterprises without VAT, paid from 7 EUR a month; company accounting quoted through the accountant

Pennylane prices independents at €7, €14, €24 and €79 a month, all for one user, with the full accounting module only on Premium. It offers a 15-day trial and e-invoicing compliance. Larger companies and accountants are on separate offers, so it is built around French structures.

Switch from QuickBooks Online if you are a French sole trader or small company and want banking and invoicing in one account.

Pennylane, #2 of 12 in our accounting software ranking →

NetSuite

United States · Quoted per organisation

NetSuite appears in our data as quoted per organisation, aimed at larger businesses. We could not load its pages in this review (access was denied), so we state nothing about modules or limits. It is a different class of purchase: implementation projects rather than a monthly self-service plan.

Switch from QuickBooks Online if you are a multi-entity business that has outgrown a small-business ledger.

When QuickBooks Online is still the right choice

QuickBooks Online stays sensible for a business that fits one of its tiers cleanly. Plus gives five users with project profitability tracking, inventory and budgeting, and Advanced gives 25 users with workflow automation and Excel syncing. The 30-day trial on every paid plan lets you test the books on real data. If the user count matches a plan and your accountant already works in it, a switch rarely pays back.

05

What moving off QuickBooks Online involves

  1. 01

Plan the export before the cancellation

Keep your QuickBooks subscription active until the new tool has your opening balances and the first reconciliation matches. Ask your accountant which period to cut over at, and keep a full export of reports and attachments for the retention period that applies to you.

  2. 02

Check tax features against your country

QuickBooks ships separate editions per country, so features such as UK MTD or CIS filing are local. Confirm the target product supports the returns you file, and do not assume a US-built or Nordic-built product covers your jurisdiction.
