    Who gets a login

    Xero states that all plans include unlimited users at no extra cost. QuickBooks Online lists one user on Simple Start, three on Essentials, five on Plus and 25 on Advanced, with two or three accountant seats on top. Adding a fourth colleague therefore means moving from the $85 plan to the $140 one, which changes the real cost more than the list price does.

    Accountant familiarity

    Both vendors help you find an adviser. Intuit's Find a ProAdvisor search covers the US by zip code or town and filters by industry and service, and certification means passing a proficiency exam. Xero says more than 250,000 accountants and bookkeepers use its software and links to its own finder. The deciding factor is which product your own accountant already works in.

    Xero's Early plan costs $25 a month in the US and is limited to 20 invoices and five bills; unlimited invoicing starts on Growing at $55. QuickBooks Online lists a free plan with one user, two invoices a month and one bank connection, then Simple Start at $38 for a single user. Light invoicers start cheaper on Xero, while growing teams meet a cap on either.

    Xero includes bank reconciliation on every plan and scales its analytics by tier, from a 30-day cash flow forecast on Early to 180 days, KPIs and benchmarking on Established. QuickBooks Online grades reporting by plan as well: general reports on Simple Start, enhanced on Essentials, comprehensive reports and budgets on Plus. A transaction-heavy business values the first; one managed by reports values the second.

    QuickBooks Online includes inventory management and project profitability from Plus at $140 a month. Xero lists basic inventory on all plans, sells advanced inventory as an optional add-on for Growing and Established, and reserves project tracking and multiple currencies for Established at $90. Both push product or project businesses to an upper tier; which costs less depends on how many users you need.

    Both extend beyond the ledger, in different ways. Xero relies on an app store of more than 1,000 connected apps, so you choose the extras yourself. QuickBooks Online integrates widely too, but it also promotes its own payroll, payments and capital products relentlessly from inside the interface. For people who want to work undisturbed, Xero is the calmer environment.

When neither fits

A business whose stock is the core of the operation is stretched on both: Xero charges extra for advanced inventory and QuickBooks Online holds inventory back until Plus. Zoho Books offers warehouses, serial and batch tracking on its Elite plan, and NetSuite is a full ERP for groups with several entities.
