Where the minimum charge bites
Buildium attaches a minimum unit count to each tier, so the bill follows the plan you qualify for, and small landlords pay mostly for the minimum. AppFolio's monthly minimum is substantial and deliberately filters out portfolios below a few hundred units. For the wide band of agencies under that size, Buildium is the one that can be justified per door.

Running operations from one system
AppFolio sells screening, payments, insurance and maintenance coordination as part of the product, and does it well enough that staff stop switching between systems. Buildium covers accounting, leasing, applications, maintenance and owner portals in one place, and earns on payments and screening too. For an agency treating leasing and maintenance as full operations, AppFolio is the more complete environment.

How each vendor pushes the bill upward
The pressure comes from different directions. Buildium's entry tier withholds features an agency needs daily, so the advertised price is rarely the one paid. AppFolio's margin sits in value-added services such as screening, insurance and payments, which brings upsell pressure of its own. Both add cost beyond the licence; which is easier to live with depends on the agency.

Trust accounting and who steers the roadmap
American managers need three-way trust reconciliation, and Buildium is named as doing it properly; our data makes no such statement about AppFolio either way, so that point cannot be compared. On ownership, Buildium belongs to RealPage and its roadmap answers to that larger owner. Nothing in our data records a comparable ownership concern for AppFolio.

Outside the United States neither fits: both assume American payment rails, and AppFolio does not apply abroad at all. A British agent should look at Arthur Online, which is built around the deposit protection rules, and a commercial portfolio with rent reviews and break options needs Re-Leased.

Can Buildium or AppFolio be used outside the United States?
AppFolio is explicit that none of it applies outside the United States. Buildium is likewise an American product whose trust accounting follows American rules. Deposit law and payment rails differ by country, so a portfolio elsewhere needs software written for that market.
