Where a university already holds a full licence, the access costs you nothing. Qualtrics keeps surveys, workflows, distributions and reports in one project. Export response data and survey definitions first, and list the logic, quotas and embedded data you rely on. Not every tool imports a Qualtrics survey, so budget time to rebuild complex branching in the new editor and check the result against your original.

Replacing the Workflows tab
Qualtrics runs automations such as follow-up surveys or support tickets from inside the project. Most dedicated survey tools handle fewer of these natively. Make a list of every trigger you use, then confirm that each one has a named replacement, a webhook or an integration, before you cancel the contract.
