Perpetual or subscription: read what a PDF editor licence really buys
Buying outright is still common among PDF editors, but the word perpetual hides three different deals. PDF-XChange Editor and Power PDF sell a licence you keep; PDF-XChange includes a year of maintenance and makes renewal optional. Master PDF Editor sells the current version for good and charges half the licence price per year for updates after the first twelve months.
Foxit PDF Editor offers a one-time licence that leaves out the AI assistant, Smart Redact and cloud features. At the other end, Sejda has stopped selling perpetual licences, Soda PDF states it has no perpetual version, and Nitro PDF's one-time Classic purchase expires after three years. Work out the five-year cost per desk, including the updates you will in practice want for security fixes.
Ask whether the licence covers the current version only or future major versions too.
Get the price of year-two maintenance in writing before the first order.
List which features the one-time edition omits compared with the subscription.
Where the PDF is processed: workstation, vendor cloud or your own server
PDFs are contracts, payslips and medical letters, so the route the file takes matters more than in most office software. A desktop editor such as PDF-XChange Editor or Master PDF Editor works on the file where it sits. Browser tools upload it: iLovePDF states that files are deleted from its servers within two hours of processing, which is a retention period, not an absence of one.
Several vendors offer both routes. Sejda says its desktop application processes files on the computer, and iLovePDF says the same of its Windows and Mac application. Stirling-PDF goes a step further and lets you host the whole service, so the browser convenience stays and the upload goes to your own instance. PDFgear says advanced conversions may run on its cloud server.
Decide which document types staff may upload to a browser tool, and write it down.
Check whether the plan you are buying includes the desktop application or only web access.
Ask how long uploaded files are kept and where the deletion period is stated.
One editor across Windows, Mac and Linux is rarer than it looks
Most companies discover the platform problem after the purchase. PDF-XChange Editor runs on Windows only, and PDF Expert runs on Mac, iPhone and iPad only, so a mixed office that picks either ends up licensing two products and supporting two sets of habits. Soda PDF's desktop program is for Windows, with other systems sent to the browser unless the company takes the Business plan.
If Linux workstations are in the estate the list shortens sharply: Master PDF Editor and Xodo's PDF Studio have native builds, Sejda ships desktop packages for it, and Stirling-PDF is reached through a browser. Mobile is a separate question. Foxit PDF Editor includes its iOS and Android apps only in the higher Editor+ plan.

Limits work the same way as editions: Sejda caps recognition at 100 pages per document even for paying users. Trials differ just as much. Xodo gives three days and asks for a card, Foxit PDF Editor gives fourteen days without one, and Master PDF Editor lets you evaluate every function but watermarks the output. Write down the three tasks your team does weekly and price the edition that does all three.
Name the redaction, OCR and form tasks you need and find the edition that includes each.
Run a real scanned document through text recognition before buying, not a sample file.
