Work out what the first ninety days cost in time
Licence cost is the number in the contract; setup effort is the number that surprises people. Ask every shortlisted vendor who does the configuration, how long it took the last customer of your size, and what happens if that person leaves halfway.

Check the exit before the entry
Ask for an export of your own data in a format you can open, and ask whether it is included or billed as a project. A vendor that hesitates here is telling you what renewal negotiations will feel like in three years.

Match the tool to the size you are, not the size you plan to be
Most regret in this category comes from buying for a headcount that never arrived. The entry-level products here are not worse; they are aimed at a different company.

Decide how much the jurisdiction matters
These 12 vendors are established in 8 countries across 2 regions (Europe 9, North America 3). Where a vendor is established decides which government can compel access to what it holds, which is a different question from where the servers are. For most buyers that is a factor, not a veto.
You are buying a billing system, not a booking screen
Demos open on a timetable because timetables look good. The money is elsewhere. A gym's revenue is a few hundred small recurring collections, a predictable share of which fail every month, and the software's only real job is to collect them and chase the failures without a human touching each one.
Ask what happens on day one after a failed direct debit, day four, and day fourteen: is there a retry schedule, a message to the member, an automatic hold on door access, or an unread report? Magicline and Perfect Gym have answers because European clubs forced them to. Several American products, PushPress and Gymdesk among them, are built around card payments where a decline means something different.
Ask for the failed-payment sequence in writing, with the timings.
Check whether a lapsed payment can suspend door access automatically.
Compare the payment processing cut and the subscription as one number.
Direct debit is not one thing in Europe
SEPA direct debit and British Direct Debit look alike and behave differently. Under a SEPA core mandate a consumer can demand their money back for eight weeks without giving a reason, and up to thirteen months for an unauthorised collection. The British scheme carries its own guarantee and a separate collection industry built around gyms.
That is why Fitmanager, bsport and Magicline handle mandates, pre-notification and dunning as core features while products written for American card billing treat them as an integration. If you collect by direct debit, the product's mandate handling is a bigger buying criterion than anything on the feature grid.
Confirm the product stores and references SEPA mandates rather than just card tokens.
Ask how pre-notification of collection dates is sent, and by whom.
Test one real collection and one deliberate reversal during the trial.
Contract terms and cancellation rights differ by country
This is where generic software quietly breaks the law. German contracts signed since March 2022 cannot lock a member in beyond two years, must roll monthly after the initial term, and websites selling them need a cancellation button. Dutch memberships become monthly cancellable after a first year.
British regulators have taken repeated positions on unfair minimum terms and auto-renewal. Magicline models this because it has to, and Fitmanager reflects Dutch practice. A product that only understands a start date and a renewal date will make your staff enforce terms that are not enforceable, which produces refunds and complaints rather than retention.
Ask the vendor to show a cancellation flow that meets your country's rules.
Check that suspensions, notice periods and cooling-off are fields, not notes.
Have someone local read the standard membership agreement the product generates.
The turnstile outlives the software
Access hardware is the real lock-in in this category, not the data. Gates, readers and kiosks are a capital purchase with a ten-year life, installed by an integrator, and the software that speaks to them is chosen afterwards. Perfect Gym and Gladstone assume that world and integrate with the hardware families a European club is likely to have, such as Gantner readers.
TeamUp and Gymdesk do not play there at all, which is a legitimate choice for a studio with a front desk. The mistake is buying software first and discovering the door controller needs a different vendor, because the door wins.
Write down the make of every reader, gate and locker lock before you shortlist.
Ask for a reference customer running the same hardware you own.
Check whether access rights update in real time or on a nightly sync.
What goes wrong most often when buying gym management software
Choosing on the class timetable screen. Members see it for ten seconds a week; you see the failed-payment report every month.
Ignoring the payment processing cut because the subscription looked cheap. On a few hundred monthly collections it is usually the larger number.
Letting the software define the membership contract. The contract has to satisfy local law first, and then the software has to model it.
Buying access hardware and management software from different projects a year apart. The one that is already screwed to the wall decides.
