Decide how much the jurisdiction matters

Per page, per gigabyte, or flat: the bill you cannot predict
Data room pricing is the only line in a transaction budget that grows with your own diligence. Volume-based models charge by page or by gigabyte, and they were designed when document sets were curated. They are not curated now. One scanned property archive or a video walkthrough can move the invoice by a multiple, and it always happens in the week the deal is busiest.
SecureDocs charges a flat monthly fee with unlimited users and documents, while netfiles, Virtual Vaults, Admincontrol and Drooms publish monthly prices you can read before signing. Firmex and Datasite quote, Firmex on a storage allowance and Datasite on scope and timeline. Both assumptions slip, and both are chargeable.
Ask for the price at three times your estimated document volume.

Permissions are the product, and they work per page
A folder-level permission is not enough for a real transaction. The buyer's lawyers may see the employment contracts, their commercial team may not, and neither should see the salary column. Ask to configure that in the trial yourself rather than watch it demonstrated.
The related question is redaction: who removes the personal data before disclosure, and does a machine or a junior lawyer do it. The audit log is evidence, and it is read after the deal
The log matters most when something has gone wrong: a warranty claim two years later, a dispute over what was disclosed, a regulator asking who had access. At that point you need a record showing which user opened which document, when, and for how long, and you need it in a form that survives outside the vendor's interface.
Ansarada and Datasite treat this depth as a selling point. Smaller rooms record enough for normal use but export less readily. The test is simple: export the full activity log during the trial and see whether it stands on its own as a document.

Closing day: what happens to the room
Every data room ends, and most contracts are vague about the ending. The buyer usually wants a complete archive of exactly what was disclosed, indexed as it was at signing, because it becomes part of the warranty position. The seller wants the room shut and the access revoked.
Ask three things before you sign: is the closing archive included or an extra charge, what form does it take, and how long does the vendor keep your documents afterwards.
