How to choose LIMS software

A laboratory information management system tracks samples, tests, instruments and results through the lab, and records who did what to each sample and when. The differences that matter are rarely in the feature list, so this is the order we would work through them.

    Decide whether you need a published price

    3 of the 12 tools here publish what they cost; the other 9 quote per organisation, which means a sales conversation before you can compare anything. If you are buying without a procurement function, start with the ones that publish: LabCollector, SENAITE, Labforward.

  2. 02

    Work out what the first ninety days cost in time

    Licence cost is the number in the contract; setup effort is the number that surprises people. Ask every shortlisted vendor who does the configuration, how long it took the last customer of your size, and what happens if that person leaves halfway.

  3. 03

    Check the exit before the entry

    Ask for an export of your own data in a format you can open, and ask whether it is included or billed as a project. A vendor that hesitates here is telling you what renewal negotiations will feel like in three years.

    Match the tool to the size you are, not the size you plan to be

Accreditation is the buying trigger, not tidiness

Almost nobody replaces a spreadsheet with a LIMS because the spreadsheet is messy. They do it because an assessor asked how a result can be traced back to an instrument, an analyst and a calibration record. That means the first question is which standard you are being held to. ISO 17025 testing labs need chain of custody, method versions and result approval.

Pharmaceutical labs under GxP need 21 CFR Part 11 electronic signatures and an audit trail nobody can edit. These are different products: Autoscribe Matrix Gemini and QBench are shaped by the first, LabWare and LabVantage by the second. Buying across that line means paying for capability you will never use, or discovering during an audit that you bought the wrong half.

  • Write down the exact standard and clause the auditor cited before shortlisting.
  • Ask each vendor which of their named customers holds that same accreditation.
  • Check whether electronic signatures are standard or a paid module.

Configurable or validated: where the money actually goes

In an unregulated lab, a configuration change is an afternoon. In a validated one, the same change needs a change request, a test script, executed evidence and a sign-off, and that is the bill nobody puts in the business case. It is why LabVantage sells pre-validated packages and why Autoscribe built a graphical configuration tool instead of asking customers to wait for a code release.

The question to put to every vendor is blunt: when we add a test method next year, who does the work and what does the revalidation cost. If the answer is that their developers do it, you have just bought a ten-year consultancy relationship with a licence attached.

  • Ask for the cost of one typical change, quoted, before you sign.
  • Establish whether your own staff can configure without touching code.
  • Count how many changes a normal year brings, then multiply.

Instruments decide the project plan

The demo shows sample login. The project runs late because of the balance, the HPLC and the twenty-year-old instrument with a serial port. Instrument integration is where LIMS implementations lose their schedule, and pricing rarely covers it.

Labforward built its whole platform around that layer, Thermo Fisher SampleManager assumes the instruments are its own, and QBench pushes the problem to an API you have to write against. None of those is free. Before you sign, list every instrument that must send results automatically, with make, model and software version, and ask for each one to be quoted individually rather than as a line called integrations.

  • List every instrument by make, model and software version first.
  • Ask which of them the vendor has connected before, at which customer.
  • Get integration quoted per instrument, not as a single bundled line.

Exit, and who actually owns the configuration

Sample history is regulated data that you may need to produce a decade after you stopped paying the vendor. Ask what an export contains: results only, or results with methods, audit trail, signatures and the attachments. Ask whether that export is a standard feature or a service request with a price.

Self-hosted options change the answer completely, which is part of why SENAITE and LabCollector rank where they do, since the database is already on your own hardware. The second question matters as much. If the configuration lives in the vendor's proprietary tooling and only their staff can read it, you cannot move even when the data is portable.

  • Request a full export during the trial and try to read it elsewhere.
  • Confirm the audit trail and signatures are included in that export.
  • Ask where the configuration is stored and who can read it without the vendor.

What goes wrong most often when buying LIMS software

  • Buying a pharma-grade LIMS for an ISO 17025 testing lab because the demo looked more serious. You pay for a validation apparatus you will never be asked to show.
  • Leaving instrument integration out of the budget. It is the line that slips, and it is almost never included in the licence.
  • Treating configuration as free after go-live. In a validated environment every change is a documented project with a cost.
  • Letting the vendor hold the only copy of the configuration. Data portability is worthless if nobody but them can rebuild the system.
