How to choose call tracking software

Call tracking software assigns distinct phone numbers to adverts, keywords and website visitors, forwards each call to the business, and records which marketing source produced it. The differences that matter are rarely in the feature list, so this is the order we would work through them.

    Decide how much the jurisdiction matters

    These 14 vendors are established in 4 countries across 4 regions (North America 8, Europe 3, Asia-Pacific 2, Elsewhere 1). That decides whose disclosure law applies to what the vendor holds, wherever the servers are.

What a call tracking number and a minute really cost

The plan fee is the smallest part of most call tracking invoices. CallRail bundles five numbers and 250 minutes and then charges for each extra number and minute at listed rates. WhatConverts includes a usage credit and draws numbers and minutes from it. Nimbata ignores duration and charges a flat amount per answered call, and Infinity also bills per call on top of its monthly fee.

CallScaler prices a local number at a fraction of the others, which only matters if you hold many. Mediahawk charges almost four times as much per minute when the call is delivered to a mobile as to a landline. These are five different meters. The cheapest depends on two figures you already have: how many numbers you need and how long your average call lasts.

Dynamic number insertion decides how many numbers you rent

One number per advert is enough for a billboard. Tracking paid search down to the keyword needs dynamic number insertion, where a script swaps the number on the page for each visitor, and that needs a pool large enough that two simultaneous visitors never see the same number. The pool is where allowances run out.

Mediahawk sells a plan as one dynamic pool or ten static numbers and charges monthly for each further pool. Nimbata offers a calculator that sizes the pool from GA4 traffic, but leaves dynamic number insertion out of its Entry plan. CallRail installs it through a JavaScript snippet, and its bundle of five numbers is a starting point for a pool, not a pool. Size the pool first, then read the price list.

  • Estimate peak concurrent visitors from analytics; that is roughly your pool size.
  • Confirm dynamic number insertion is in the plan you are pricing, not the one above.
  • Test the number swap on a staging page before changing the live site.

Local numbers outside North America, and where the conversion is sent

Coverage claims vary more than any other line on these sites. CallRail sells in four countries: the United States, Canada, the UK and Australia. AvidTrak covers the United States and Canada only, and CallScaler describes only US numbers. CallTrackingMetrics states more than 80 countries, Infinity more than 75 territories, and Nimbata and WildJar more than 70 each.

A count is not a guarantee that your city has a local prefix, so ask for the specific area codes. The second question is where the call is reported. Google Ads is named by nearly every vendor here; Microsoft Advertising, Meta and a CRM are where lists diverge, and Nimbata holds Salesforce back for its Agency plan. A call that never reaches the ad platform cannot inform bidding.

  • List the exact cities and number types you need and have the vendor confirm each.
  • Check that your ad platforms and your CRM are in the plan, not an upgrade.
  • Ask whether offline conversions are sent automatically or by scheduled upload.

Keeping your numbers when you leave a call tracking vendor

A tracking number printed on a van or listed in a directory becomes the business's number, and the vendor is the carrier that holds it. The documents differ sharply. CallTrackingMetrics says there is no additional fee to port numbers away. WhatConverts writes the right to port away into its terms. CallScaler charges a fee per number ported out, and Nimbata reserves the right to pass on carrier port-out costs.

Ringba's terms say that numbers on a terminated account become its property and that port requests for terminated accounts are not processed, so the port has to finish before the cancellation. AvidTrak's agreement and Infinity's pricing page do not address the question. Dynamic pool numbers are disposable; numbers used offline are not.

  • Read the termination and porting clauses in the terms before signing, not the FAQ.
  • Keep a list of every number used in print, directories and business profiles.
  • Start the port while the account is active and cancel only once it completes.
