How to choose association management software

Association management software holds member records and grades, collects and renews dues, manages chapters, committees and events, and tracks the credits members must maintain. The differences that matter are rarely in the feature list, so this is the order we would work through them.

    Decide whether you need a published price

    Work out what the first ninety days cost in time

    Licence cost is the number in the contract; setup effort is the number that surprises people. Ask every shortlisted vendor who does the configuration, how long it took the last customer of your size, and what happens if that person leaves halfway.

    Check the exit before the entry

    Ask for an export of your own data in a format you can open, and ask whether it is included or billed as a project. A vendor that hesitates here is telling you what renewal negotiations will feel like in three years.

Members are not donors, and the software knows the difference

A donor CRM records a gift that may never repeat. An association system records an obligation with a date on it, which means dues invoices, renewal reminders, grace periods, lapsing rules and the moment access to the member area is switched off. That renewal machinery is the whole category.

Charities that also sell memberships often buy a donor CRM and chase renewals by hand, which works until the second year. Chapters and committees are where the data model breaks

Federated bodies are the common failure in this market. Regional chapters have their own treasurers, budgets, memberships and sometimes their own bank accounts, and committees cut across all of them. Lighter products model a single organisation cleanly and have nowhere to put that structure, so chapters end up on separate systems and the national office reconciles by spreadsheet.
